DUTIES OF SITE ADMINISTRATION
Having more than 9 years’ experience in UAE, currently working as Site Administrator handling day-to-day
administrative affairs of the project under supervisor Project Manager and make sure the policies and
procedures of the company are strictly followed:
A. Annual Leave:
1. Employee ( Staff up to forman seeking Annual leave should fill the leave request form along with
Passport release form and submit to Site Administrator who will get approval from the concerned
engineers and Project Manager and will forward to Admin & Personal Department.
2. Employee (Charge hand & Artisans) seeking Annual leave should fill the leave request form along
with passport Release & Air Ticket requisition form and submit to site Administrator who will get
approval from the concerned engineers and Project Manager and will forward to Admin & Personal
Department.
3. Time card with site store clearance will be forwarded to Admin Department for payroll.
B. Emergency Leave:
In addition to the procedure for Annual leave, employee should submit the required documents for the
below mentioned related cases in case of employee completed 1 year. If the employee not completed 1
year, he / she had to provide “Undertaking letter” along with all necessary documents.

C. Re-joining of Employee:
Procedure for rejoin for the below mentioned categories. Site Administrator will forward the rejoining
report to Admin & Personal Department.
1.1: Staff: He should report to Site Administrator and hand over the passport.
1.2: Staff residing in camp: He should hand over the passport to camp boss and report to Site
Administrator / Time-Keeper at the site office.
1.3: Workers: He should hand over the passport to camp boss and report to Time-Keeper/Site
Administrator at the site office.
D. Transfer of Employee:
Notification of Transfer of employee will be e-mailed by Site Administrator to concerned Site Admin &
Personal Dept and other concerned.( The following will be observed upon the actual transfer )
1.1: Time card & site store clearance will be sent to transfer site within 1 day.
1.2: employee will be transferred with tool box & other PPEs.
E. Joining of Employee
Notification of joining of employees will be e-mailed by Site Administrator to Admin & Personnel Dept,
transferring site and other concerned. (The following will be observed upon the actual joining.)
1.1: Safety induction will be done for the newly joined employees in co-ordination with safety officer.
1.2: PPEs. will be provided to newly joined employees in co-ordination with Safety/ Store-Keeper /
Central Store.
F. Resignation of Employee
Site Administrator will forward necessary documents to Admin/ Personal Department.
1.1: Staff: Resignation letter with receipt and date stamp along with “Exit Interview” report will be
Forwarded to Admin. Dept by Site Administrator.
1.2: Worker: Resignation letter with Receipt and date stamp will be forwarded to Admin Dept by the Site
Administrator.
G. Termination of Employee
Site Administrator will forward necessary documents to Admin/ personal Department.
1.1: Staff: Site Administrator will forward necessary documents (Final Handing over, Time card, Labor
card, and Insurance card & Attendance card to Admin Dept. upon completion of notice period.
1.2: Workers: Site Administrator will forward necessary documents (Final Handing over, Time card,
Labor card, and Insurance card & Attendance card to Admin Dept. upon completion of notice period.
H. Personal Requirements of Employee
Notification of personal requirements if employees will be e-mailed by Site Administrator to Admin Dept,
and distribute the document to the employee when received from personal department.
I. Evaluation report of Employee
1: The newly joined employees will be evaluated by their superiors and recommended by Project
Manager and the same will be sent to Admin Dept, through Site Administrator.
2: Site Administrator will arrange the yearly evaluation of employees with their superior and Project
Manager and same will be sent to Admin Dept.
J. Time keeping Staff Employee & Employees Relations
1: Site Administrator will ensue that no misuse or malpractice occurs concerning the time logging for
staff and workers which will be physically done by Time-keeper.
2: Site Administrator will ensure through time keeps that over time work of the workers will be as per the
guidelines of over time.
3: Site Administrator will send the time cards to Personal Dept. maximum by 1st of succeeding month
with making sure that the time keeper has completed the following.
3.1: Obtained signatures of Employee, Supervisor and Project Manager.
3.2: Over time in excess of 2 hour had prior approval of Project Manager.
3.3: Sick leave attached.
4: Site Administrator will keep the histogram of Manpower & required report will be provided to
concerned persons.
5: Site Administrator will in close co-ordination with camp boss either directly or through time keepers
6: Site Administrator will inform the Admin Dept regarding the un procedural activates of the
employees.
7: Site Administrator will convey the decisions of the Project Manager and Admin Department to
employees and try to avoid any adverse effect and ensure smooth site functioning .
K. Transmittal Incoming & Outgoing
A site Administrator will handle all kinds of Incoming & Outgoing transmittal.
