2. Current data collection process
Assignments marked
and collected
CRAs photocopied
Data from CRAs
entered into excel
15 samples
photocopied/printed
from online and all
assignments returned
Data converted into
report
Samples
depersonalised and
digitised
3. Issues identified
• Unit coordinators ignoring or forgetting requests to collect
accreditation samples
• Doubling up with
• Data entry (by UC and Kim)
• Photocopying & scanning work (Performed twice by Kim)
• Lack of physical space for accreditation data
4. Proposed data collection process
Grades are downloaded
from Review/Unit
coordinator sends
student results to T&L
team
Data converted into
Report
Assignment samples are
downloaded from
Blackboard/scanned
from original
Samples are
depersonalised
(redacted) using Adobe X
Pro 10.1.8 and saved to
the shared drive
Completed yearly
reports and data are
merged together and
sent to printery
5. Solution
• An aim for more electronic submission. More courses offered to educate
academics on new forms of electronic submission for assessment
• More Unit Coordinators to submit their grades using the Review system
OR Unit Coordinators to share their marking excel worksheets with the T&L
team
• Original copies of assignment samples to be scanned immediately and
depersonalised using Adobe Pro 10.1.8
• Electronic assignments kept on the T&L shared system until 8 weeks before
they are required when they are merged into one document using Adobe
Pro 10.1.8 are sent to the printery and printed and bound for the
accreditation panels
6. Adobe Acrobat 10.1.8
• Used in Govt organisations across Australia to remove sensitive
information from files and is endorsed by the Office of the
Australian Information Commissioner (OAIC 2014).
• No cost can be installed on any QUT computer
• Blacks out information that is highlighted by a user within
documents and then sanitises the document
• Redaction process totally removes any trace of personal data which
means AoL files and data could later be uploaded safety on an
online system without privacy breach.
