- Hello, I am Mitchell Derrey, a Senior Designer and Team Leader at Silver Fox Productions. I want to take a moment to show a quick video tutorial on how to import and export the Quick Access Toolbar. You’ll want to set this up before you begin working in PowerPoint so that your most frequently used commands are easily accessible. One of the easiest ways to cut down the amount of time you need to create or edit a slide is to put the most frequently used commands in an area that you can quickly access. In all Office products you can find the Quick Access Toolbar either below or above the ribbon. The default in PowerPoint is to only have 4 icons available: Save, Undo, Redo and Start From Beginning. This toolbar can be customized from an extensive list of commands that you would normally have to hunt for through the various ribbon tabs. To change what icons are displayed here, click on the File tab and select Options. This will open the PowerPoint Options window. Select Quick Access Toolbar from the Menu and we’ll be able to begin customizing the toolbar. In the Choose commands from drop down box, change Popular Commands to All Commands. This will bring up all of the options that can be added to the Quick Access Toolbar. Before we start customizing, we’ll want to make sure that the Show Quick Access Toolbar below the Ribbon box is checked. This will put the toolbar just above the slides for easy access. Now, to add the commands that you use frequently, scroll through the list until you find something you wish to add. We’ll start with Align Left. Click on Align Left so that it highlights and select Add. This will add the icon to the box on the right. This is your Quick Access Toolbar and the order in which the tools will display. You can move the icons up or down the list by highlighting the tool in the box on the right and using the up or down arrows on the right side of the box. When you have your Quick Access Toolbar set up the way you want it, click ok and all of the tools will populate below the ribbon. You can also save your toolbar and take it with you so that you never have to recreate it. To do this, open the PowerPoint Options window back up. (Click on the File tab, select Options, and then select Quick Access Toolbar.) Now we want to Export the Toolbar. Click on Import/Export and select Export all customizations. Choose where you want to save your toolbar and select Save. To install your toolbar on another computer, follow the same directions but this time we’re going to Import the Toolbar. (Click on the File tab, select Options, and then select Quick Access Toolbar.) Click on Import/Export in the bottom right corner of the window. This time we’re going to select Import customization file. Find where you saved your toolbar (it’ll be an .exportedUI file) and select Open. PowerPoint will ask you if you “want to replace all existing Ribbon and Quick Access Toolbar customizations for this program.” Select Yes and the list will populate for you. Select OK and the toolbar will be ready for you to use. Now no matter what ribbon tab you’re on, you’ll have quick access to all of the tools you regularly use.
