• Identify best practices for managing
funds & record keeping
• Identify which documents to be
retained
• Reporting requirements

4. 1- Stewardship
• Is the responsible management &
oversight of grant funds

5. 2- Financial Management Plan
• Bank account for funds
• Distributing funds
• Track funds
• Detailed ledger

6. 3- Document Retention
• Provide access to documents for transparency
• Retain for a minimum of 5 years
• Make copies

7. Reporting Requirements
Reporting:
•Verifies grants were managed properly
•Provides valuable data for your club, partners,
and Rotary

8. District Grant Reports
• Report form
• Progress or Final report due May 30
• Final report due within 2 months of
completion of project
• Final report followed by ALL documents
required to be maintained
• Receipts & Bank Statements are scanned

9. Global Grant Reports
• Progress reports within 12 months of first
payment
• Every 12 months through the term of the
grant
• Final report within 2 months of completion

10. Global Grant Reports
The report should include:
•How partners & Rotarians were involved
•Type of activity
•Evaluation of project goals
•How area of focus goals were met
•How funds were spent
•Number of beneficiaries and how they
benefited
