We had a great September meeting with four presentations from MNSPUG members on how they use SharePoint. In October we will be continuing this with three more presentations. As with the previous meeting we asked the presenters to answer the following questions during their presentation:
• What was the business need?
• What options did you have (if any)?
• Why did you choose this option?
• How did you implement?
• Was there any ROI after implementation?
As with last time, we are going to ask the presenters to be available throughout the rest of the day to be on the MNSPUG Yammer account to answer any more questions about what they presented.
Beth Beck and Jon Rono (Connexus Energy)
Increasing Productivity Using SharePoint No-Code at Connexus Energy
In this presentation, we'll showcase at least two solutions implemented on the Connexus Energy intranet. The first is a Safety Dashboard site highlighting InfoPath 2010. We'll then demonstrate the Contracts Management solution which also features similar integration as the Safety site but also incudes several Filter web parts for creating unique displays of the contracts and supporting documentation. Both solutions include basic functionality such as document and form libraries, site content types, and site columns coupled with InfoPath 2010, SharePoint Designer Workflow 2010, and SSRS.
Trevor Huinker and Martha Flynn (LifeSource)
LifeSource's New Pulse Using Yammer for Communication and Collaboration
LifeSource recently migrated their portal from SharePoint 2007 to SharePoint Online and Yammer. With the migration came the decision to make the switch to utilizing Yammer as the dedicated solution for enterprise social communication and collaboration to better engage a geographically dispersed team. Yammer provides a platform for engagement and connection so that team members can work together more efficiently to fulfill the organization's life-saving mission.
Lucas Struck
Using SharePoint as an HR Onboarding Application
This presentation will focus on an onboarding solution that showcases SharePoint's ability to manage business process through workflow and custom forms. This solution guides a new hire from pre-employment to a 6 month review, creating various tasks and to-dos along the way for the employee, the hiring manager, and the HR representative assigned to the employee. The onboarding portal also provides hiring managers with the ability to provision users with the necessary access and technology resources. The solution that will be shown is a duplicate of one that is currently in production for one of our larger clients.

Explain the red warnings. Since this is a web browser form, we don’t have popup window functionality. We used calculated columns and rules to work around this issue

Once the required fields are completed, the report can be submitted and several things happen:
Form status changes to “Initial Submit”
Workflow:
Updates People fields from Text Type to Person Type
Notification email sent to “Who Had Incident” and “Report Submitted By” persons
Dashboard Page is updated
The second phase of the report is Ranking & Resolution. This is typically done by the Supervisor of the person who submitted the form.
Here, it is important to complete additional fields such as: Rank, Date Fixed, Search word, check for Recognition and basically as much data as possible.
Date Resolved – <make a note here of the crazy formula I used to create this – screen shot>
Workflow sends Informational email to Correction Action Contributors. The CA Contributors can also view these reports from the “Reports I have Access To” view that we’ll see on one of the next slides

Suggestions For Demo:
Contracts
Have a Contract already completed with metadata. Show the metadata including the Today Date, Contract Start Date, Termination Date, Critical Notification Date
Note: there are also Calculated (helper) fields – Expired Contract / Require Action / Currently Active
Contract Attachments
Include 1-2 Contracts Attachment with Contract Lookup ID
Demonstrate the “Contract to Attachment Relationship” page.
This is based on the ContractID Lookup field, a parameter with Query String Variable in SPD.
Use this parameter to connect the Contract List Filter web part to the Contract Audits web part
Workflows – talk high level about these:
Contract and Contract Attachment Initial notification
Contract and Contract Attachment Critical Notification Date Reminder (based on Today)
Contract and Contract Attachment Termination Date Reminders at 90 / 60 / 30 day timeframe
Custom permissions (Impersonation Step) for those marked as “Private”
My Contracts Summary pie chart:
Currently Active – Based on whether or not a Contract is Expired. If not expired, it is Currently Active
Expired contract- Based on whether or not a Contract is Expired. If expired, it is Contract Expired
Require Action - Based on whether Current Date compared to Termination Date - 90. If Yes, it will display

Strategic plan—move critical systems off premise to help diversify risk in a disaster.
Mention heavy sharepoint use with bullet #2
We wanted to transform some of our communication practices from this.
Example of our 2007 on premise SharePoint. We had recently (1 year prior) created an eSource site which basically was a blog site anyone could post to or comment on the posts. Minimal success—wanted something better.
That’s where Avtex helped us.
Talk about feeling very overwhelmed in the options available
Talk more about why we went with this type of implementation.

Department site with Yammer embed of Group
Martha has a good presentation/story on uses of SharePoint and Yammer (DSC).
So people can see the embed feeds, or go to the full Yammer experience.
No black and white answers regarding when to use SharePoint Online or Yammer. Talk about helping team members with if/when/why to use. Learning curve (Facebook/Twitter users vs. traditional e-mail only users).
