4. According to the U.S. Department of Labor
OSHA Office of Training and Education, "retention
of information three days after a meeting or other
event is six times greater when information is
presented by visual and oral means than when the
information is presented by the spoken word
alone." The combination of sight and sound, along
with written handouts is a necessary component of
information retention, and can be found in most
every experienced training organization.
5. Using visual aids can save your business time,
especially if the subject contains information that may
be too lengthy for written or oral communication. Pie
charts, graphs, diagrams, photographs, video shorts and
animation can often help explain subject matter
quickly, and in a manner that is more easily absorbed
by the learner. Time is valuable in every organization,
so the importance of timely and effective
implementation of training and communication should
be a prime consideration. Visual aids can include
projectors, flip charts, models, white boards or any
combination thereof.
6. The type of auditory aid used in your multimedia
presentation is most likely based on your budget, but
the effectiveness of each type must be considered. Live
speakers that are experienced in adult learning
concepts and have working knowledge of the subject,
offer an interactive experience. If a point or concept is
not clear, the trainer is present to answer questions and
go into further detail. Live trainers also serve to add
personality to the program, and can provide individual
attention to persons or groups if needed. Prerecorded
voices used in presentations may seem cost-effective
and get the job done, but there is no guarantee that the
communication was fully understood.
7. Handouts serve to reinforce oral and visual
components, and can go into further detail if
desired or warranted. Handouts allow participants
to follow along with presented information, make
notes, formulate questions or refer to key points in
the future as a "refresher course." For individuals
who learn more effectively by reading than other
means, handouts are an important part of business
training and communication. Adding short quizzes
and "fill in the blank" sections to handouts helps
reinforce to material, and engages the participants
in the process.
8. Using multiple mediums during presentations
can help individuals and groups to interact and become
part of the session. Persons who are engaged in the
process tend to retain and understand information more
effectively, and are less prone to inattentiveness.
Participation in games, Q&A sessions, team and whole-
group activities not only breaks up the monotony, but
encourages and reinforces learning, management and
team building skills. Employees that are engaged in the
process of business training and communication are
better equipped to put information to use in real-life
business situations.
9. Audio and visual aids exist for both
the able-bodied and physically challenged
individuals. For those with handicaps that
involve the eyes and ears, glasses and
hearing aids can be useful. For those
without any such health issues, these aids
can be used to gain new knowledge
through sensory methods.
10. Eyeglasses
One of the most practical examples of a visual
aid is a pair of eyeglasses. This common tool assists
individuals with nearsightedness, farsightedness,
astigmatisms and eye strain to see things more clearly.
Hearing Aids
Hearing aids are another everyday example, this
time of an auditory aid. Some individuals are born with
hearing difficulties, but it is also a common problem
with senior citizens. A typical problem with these aids,
however, is that they pick up a great deal of background
noise in addition to whatever the listener is trying to
discern.
11. Teaching Aids
A variety of audio and visual aids exist for
educational and business purposes. Projectors,
DVD players and slide machines can be used in
lectures or conferences to enhance the learning
experience of students or employees.
12. Visual aids provide several ways to
communicate with an audience during a
presentation. They can supplement speeches and
improve the success rate of the presentation.
Prepare them well in advance, edit and proof them,
and be sure to keep them neat and clean. Examples
of visual aids include posters, videos, people,
photographs and models. Before any presentation,
make sure the room will provide or accommodate
the necessary equipment and everyone who is
attending.
13. Posters
Posters can include charts, graphs, tables or photographs.
Charts, graphs and tables can display statistics or other important
data; be sure the information is accurate. Large posters are best for
large groups to ensure visibility to everyone. Mounting the posters
to thick, sturdy boards may avoid the posters becoming flimsy or
falling down. Use an easel to display posters; never hold them up by
hand. Professional posters will be clean, neat and full of contrast.
Videos
Videos can be a successful type of visual aid. Be sure all
necessary equipment is available in the presentation room. If not,
bring your own and be sure it is set up properly before the
presentation begins. Practice beforehand so there will be no hidden
issues. Queue the video to the beginning of the clip. Keep video clips
short and be sure that everyone in the room will be able to see the
screen.
14. People
People can be a fun visual aid and helpful in demonstrating something. For
example, a fashion designer may use people to model a clothing line. People can be
used to demonstrate dances or how to use a product. Avoid using yourself as a visual
aid because this gives the appearance of being unprepared. However, as a last resort,
you may use yourself as a visual aid.
Photographs
Photographs can help demonstrate a point or provide a visual image to the
audience of the subject of the presentation. Photographs must be large enough to see
from the back of the room. They can be mounted to poster board and displayed on an
easel. Another option is using a slide projector. Display slides in a dark room, but
keep the slideshow short to avoid losing the audience's interest. Be sure the
presentation room is equipped with a projector. Practice ahead of time so you will
know where the light switches and outlets are, and how far to distance the projector
from the screen.
Models
Models can show the audience a small version of the original plan, such as
a model of a building to be constructed. Build it in 3D and place it where everyone
will be able to see it. Hold it up high, or place it in the center of a table. Keep it
covered until you are ready to talk about it so the audience will not get distracted by
it.
15. Visual aids have been in use since the first
cave drawings when stick figures illustrated hunts
and herd migrations. They were so effective that
scientists can still understand them today. This is
still relevant in business, school, and personal
presentations. Audio and visual aids can be created
from a wide variety of sources, and using them aids
a listener by providing a visual stimulation, and
illustrating concepts makes them easier to
understand and follow, thus improving the
communication of thoughts and ideas.
16. Interactive Aids
Models provide a three-dimensional
visual aid that participants can examine and
follow with a lecture. For example, if a science
teacher is presenting on the anatomy of human
intestines, a model comprised of pieces
replicating a human's inner organs can be held
up and assembled to show students how they fit
together and their relationship to each other. An
art historian might bring in models of historic
pottery, or an architect might have a scale
model of a proposed building to show potential
investors. Allowing the audience to walk around
and interact with the model improves both the
communication of plans and ideas, as well as the
presentation itself.
17. Audiovisual aids strengthen an
instructor's verbal presentation while
helping his students capture a specific
message. Audiovisual aids keep an
audience's attention throughout a
presentation and help them remember
particular information. If instructors
use simple, efficient aids, they will
enhance their teaching.
18. Training Aids
Usually instructors will use training aids, for
instance, instructional videos, to help students
understand a particular subject or idea. DVDs or
videotapes cover an assortment of topics, allowing
the teacher to select premade material to enhance
his subject. Training aids can be played on an MP3
player, laptop, TV or CD player.
Presentation Slides
Teachers create their own presentation slides to
add personality to lessons. They can use graphics,
music, photos and charts as needed for each
component of a topic. Computer programs that
create slides include Microsoft PowerPoint, Goggle
Presentation, Adobe Publisher and Apple Keynote.
Digital Projectors
Digital projectors allow instructors to display 3-D
images large enough for the audience to view and
to demonstrate material or simulate assembly of
components for a particular project.
19. Audio Recordings
Instructors who want to include a
speech or lecture from an authoritarian
source use audio recordings to
supplement class discussions.
Multimedia
Multimedia combines elements
from a variety of audiovisual aids,
allowing a teacher to use his own
materials with others'. Multimedia
may use websites, slide shows,
computer-based training courses and
TV in one teaching session. Multimedia
offers an arrangement of
communication tools for an audience
that may include several learning
styles.
