Ministry Team: Communications

Agenda/Items Discussed:
1. For what our Team can do to support the Leesville Elementary School Pride Packs, we will need to get more
information from Cheryl Waechter
a. Currently awaiting more details
b. Gail will write something about this for the website’s Outreach page
2. Web banners
a. Lenten banner, Ash Wednesday, and Pancake Supper are all up
b. Stephanie has sent us some additional information on Lenten services that Ben will add to the website

3. Additional events we may want to publicize

a. Carl was very appreciative of the Preach-In poster that Jason designed.
6. We need a roadside banner with the service times. There is nothing out there right now.
a. Is there a way to reuse the existing “New Service Times!” banner? We could get some white duct tape
to cover up the “Starting September 7” part.

Ministry Team: Youth
Members Present: Sally Bloom, Fran Kenney, Jon Showalter, Paul Grass
Agenda Items discussed:
1. Re EYC curriculum for next year: Emails sent to other churches to develop EYC curriculum for Sunday Mornings
rescheduling meeting.
2. Youth Group for next year: Jr. EYC and Sr. EYC. Share dinner and split. Need 3-4 leaders. Would divide up when we
have a 8/9 year put 9 grade in Sr. EYC; get them to know each other…before EYC class.
Question: Would morning EYC leaders be willing to be Senior EYC leaders?
• Recruit leaders for next year:
• Fixers: Becky to be asked by Fran about possible leaders, Sally willing to help.
• Rite 13 -- all good
• EYC-- Would do evening EYC? Sally working on; Mary-Benton and Sally on board.
3. Youth Sunday: May 17 at 11:15 service; liturgy for seniors and parents
• J2A something based on the Gospel
• Rite 13: Prayers of the People
• Susannah and Tom speak; Grayson usher, Stephen band? Other YAs greeters, etc.
• Sally remind Stephanie of letter to parents of seniors re: liturgy
• Jane getting teacher gifts.
4. Recruit youth to become LEMs...Paul share with leaders.
5. Pilgrim parent meeting follow up; was good meeting. Following up with kids for fundraising ideas on March 15 at bagel
outing.
Paul’s time 20/week
5 hours: 9:30 til 2 on Tuesdays; office hours, staff meetings, meeting with rector
2-3 hours per week on emails and correspondence
2-4 hours per week on Diocesan things--including meetings, planning, on teams for weekend events.
3-4 hours: planning events. [Note: next interim youth minister will need time to plan upcoming EYC monthly meeting]
3: Youth group some weeks
3 hours on regular Sunday at COTN
6 hours on EYC Sundays at COTN
19-22 hours per week
Weekend trips: ??? what to do. Does youth minister need to go to every planning event? As well as attend the event
itself? Paul believes that it is necessary, to help do the work and to get youth to go...but with our time limitations of the job
it’s hard to do all these weekends and still the Nativity job.

o Total Electricity cost for 2014 was up 6.9% compared to 2013 to a total of $17,543.72
o Estill House seems to be the main reason the EUI is pulling in the wrong direction.

o Both trailers are now gone and we don’t need to focus on those any longer.
o Especially the months of February and March were higher in usage, but many other months are higher
than 2013 too.
o Ideas to address this trend?
A spring day work item will be defined to install new thermostats in Estill House.

o Due to weather February 21, this project has been moved to coincide with the B&G spring work day
March 21.
• Matt to talk to B&G about overall grounds maintenance ideas.
o Matt and the environmental team have come up with some good ideas about how to maintain our
grounds in a way that matches our general desire to be environmentally responsible.
o This item is postponed to the March meeting.
• The concrete walkway from the new parking lot has now been built.
o Do we need to block off the parking space where the walkway connects to the parking lot?
• Anything else we need to discuss in today’s meeting?
o Spring work day will be planned for Saturday March 21 with March 28 as backup.

Ministry Team: Pastoral Care
Members Present: David Lynch, Imogen Rhodenhiser,Tammy Jenkins, Phyllis Barnwell, Susie Holmes
Agenda Items Discussed:
Reviewed parishioners who need care. David has details. Everyone has or will be checked on.
Reviewed parishioners who can be added to meal list and funeral reception committee list. This list needs to be updated
every few years. The real importance here is connecting with most parishioners. The bonus is getting more people on the
meal provision list.
Susie will meet with Stephanie and divide up the rest of the list.
Susie will compile emails for meals and forward to next month’s captain and emails of people who will help with funeral
receptions to Sandy Entrup. Most people are willing to help with both. That will help spread out the responsibilities for
helping with funerals.
Jane Wehland will continue to send encouragement cards.
We discussed the importance of confidentiality and privacy.
Imogen talked about a program for tracking pastoral care needs. She will follow up with it to get more information.
We spoke about the Backpack Buddies program.
Note: There are plenty of meal containers in the kitchen for folks to use to provide meals. Also, funerals are organized
through the front office, and then the funeral reception committee, an offshoot of fellowship, takes over.

Ministry Team: Outreach
Members Present: Pete Crow, Carl Sigel, Noah Showalter, Cheryl Waechter, Pat Watson, René Garcés.
Agenda Items Discussed:
1. Report on response to our 2015 budget request—Pete. We requested $13,200 and got $8,000. All program
budgets were basically frozen from last year due to lower-than-hoped-for pledging. Enclosed is a summary of our request
with one suggested way of shrinking it to $8,000. We will discuss this and other options we may want to consider. On the
attachment, everything highlighted in gray has been eliminated or changed to what is not in gray. The budget has 2 lines
or Outreach, there’s the Outreach budget where $13.2K was requested and $8K was allocated, then, there’s Outreach
Other where funds from DoG (Chatty Yarns, Silent Auction) and a Book Sale prior to DoG are placed in Outreach Other.
Outreach Other had some funds in it already and $415 (Chatty Yarns), $540 (Silent Auction), and $895 (Book Sale) were
added to Outreach Other resulting in a $2164.74 total/balance. The folks who put together the Book Sale were asking
where the money in Outreach Other goes, so, Pete suggested $895 be released to the Haiti Fund Inc. for CODEP. Pete
recommended moving $200 from Audubon to Outreach Exploration and Education. Carl recommended moving $250 from
NCIPL to CODEP. Finally, Pete recommended $500 showing in budget for CODEP be moved to SHN.
2. Reports on link with Leesville Road Elementary School—Pride Packs (Cheryl) and tutor/mentoring (Pete). All
64 children are being served on weekends. Heather at LES asked donations be delivered 1/month, since they run out of
space. Heather at LES did request more donations of box milk and juice. First Sunday of each month Cheryl will have
box/basket in Narthex to collect donations, however, a basket will remain in Estill House to collect weekly donations. Judy
Garces and Ellen Powers offered to deliver donations to LES monthly. There are 4 churches supplying donations of food
and money to the program, and the Inter-Faith Food Shuttle, and the supplies provided to LES by COTN are added to the
pool of donations, then LES breaks them up to roll them out to the 64 children. There’s no training of the tutors at LES, so
Pete went to LES to address training tutors to help the children. The LES principle was thinking they should be working
with the parents to help/tutor their own children, instead of having tutors; and, the principle was thinking LES would
arrange for LES teachers to come in on Saturdays to train the parents. Cheryl asking Soapstone Methodist contact where
they got training for math tutoring.
3. Harvest for Hospitality plans at Nativity (campaign to benefit the Episcopal Farmworkers’ Ministry)—Patti. Not
discussed.
4. National Preach-In on Global Warming, Feb. 13-15—Carl.
5. NC Bread – Carl. All day meeting on 3/28 at Highland Memorial church, Carl petitioned $50 sponsorship allowing 1
person to attend (though other COTN folks can attend if they pay $25 registration fee); various organizations (e.g. IFFS,
SHN, etc.) discussing how to address local/community hunger and poverty. Pete suggested allocating $50 from $200
allocated to Outreach Exploration and Education to sponsor 1 person.
6. Earth Day – Carl. Carl explained on 3/24 the Episcopal church will have a 1.5 hour webcast about climate change
crisis, and explain what actions can be taken by individuals/organizations. Carl is organizing a potluck with Ann Burts
presiding.
7. Christmas Angel Tree Gift – Pat. Pat looking to step down from Episcopal Housing gift collection, and possibly
changing focus away from Angel Tree/gift project. Pete recommended adding to next month’s agenda to discuss further.
Cheryl was going to check on how Soapstone Methodist arranges for parents to get together and wrap gifts for their
children.

  • 1. Ministry Teams Meeting Minutes: 11 February 2015 Ministry Team: Communications Members Present: Gail Christensen, Sarah Bernart, David Cariss, Emilie Sigel, Ben Huckaby Agenda/Items Discussed: 1. For what our Team can do to support the Leesville Elementary School Pride Packs, we will need to get more information from Cheryl Waechter a. Currently awaiting more details b. Gail will write something about this for the website’s Outreach page 2. Web banners a. Lenten banner, Ash Wednesday, and Pancake Supper are all up b. Stephanie has sent us some additional information on Lenten services that Ben will add to the website c. Others needed: i. Holy Week ii. Easter iii. Spirituality in the Arts iv. LES Pride Packs Campaign? 3. Additional events we may want to publicize a. Spirituality in the Arts on March 15, 4pm 4. Directories are done and available. Big thank-you to Alfred for getting these done! 5. Feedback on designed materials a. Carl was very appreciative of the Preach-In poster that Jason designed. 6. We need a roadside banner with the service times. There is nothing out there right now. a. Is there a way to reuse the existing “New Service Times!” banner? We could get some white duct tape to cover up the “Starting September 7” part. 7. Roadside Banners (other) a. Holy Week Banner - if we reuse last year’s banner, this won’t be needed b. Easter banner from last year can be reused, if the service times don’t change c.   • 2. Ministry Team: Youth Members Present: Sally Bloom, Fran Kenney, Jon Showalter, Paul Grass Agenda Items discussed: 1. Re EYC curriculum for next year: Emails sent to other churches to develop EYC curriculum for Sunday Mornings rescheduling meeting. 2. Youth Group for next year: Jr. EYC and Sr. EYC. Share dinner and split. Need 3-4 leaders. Would divide up when we have a 8/9 year put 9 grade in Sr. EYC; get them to know each other…before EYC class. Question: Would morning EYC leaders be willing to be Senior EYC leaders? • Recruit leaders for next year: • Fixers: Becky to be asked by Fran about possible leaders, Sally willing to help. • Rite 13 -- all good • EYC-- Would do evening EYC? Sally working on; Mary-Benton and Sally on board. 3. Youth Sunday: May 17 at 11:15 service; liturgy for seniors and parents • J2A something based on the Gospel • Rite 13: Prayers of the People • Susannah and Tom speak; Grayson usher, Stephen band? Other YAs greeters, etc. • Sally remind Stephanie of letter to parents of seniors re: liturgy • Jane getting teacher gifts. 4. Recruit youth to become LEMs...Paul share with leaders. 5. Pilgrim parent meeting follow up; was good meeting. Following up with kids for fundraising ideas on March 15 at bagel outing. Paul’s time 20/week 5 hours: 9:30 til 2 on Tuesdays; office hours, staff meetings, meeting with rector 2-3 hours per week on emails and correspondence 2-4 hours per week on Diocesan things--including meetings, planning, on teams for weekend events. 3-4 hours: planning events. [Note: next interim youth minister will need time to plan upcoming EYC monthly meeting] 3: Youth group some weeks 3 hours on regular Sunday at COTN 6 hours on EYC Sundays at COTN 19-22 hours per week Weekend trips: ??? what to do. Does youth minister need to go to every planning event? As well as attend the event itself? Paul believes that it is necessary, to help do the work and to get youth to go...but with our time limitations of the job it’s hard to do all these weekends and still the Nativity job.

  • 4. o Both trailers are now gone and we don’t need to focus on those any longer. o Especially the months of February and March were higher in usage, but many other months are higher than 2013 too. o Ideas to address this trend? A spring day work item will be defined to install new thermostats in Estill House. • Nativity Garden expansion work is planned for Saturday February 21 st . o Supplies: 5 Iron posts 7’ or 8’ 4 4”x4” 10’ 1 2”x4” 8’ 12 2”x10” 10’ 6 2”x10” 8’ 4 4” x4” 8’ Cement Soil 8.5 cu yards o Equipment: 3-4 Wheel barrows Table saw Power hammer Shovels Garden rake Twine o Volunteers with equipment are welcome to assist with the project. Please contact Carl Sigel (Cwsigel@aol.com) if you are able to help Saturday February 21. o Due to weather February 21, this project has been moved to coincide with the B&G spring work day March 21. • Matt to talk to B&G about overall grounds maintenance ideas. o Matt and the environmental team have come up with some good ideas about how to maintain our grounds in a way that matches our general desire to be environmentally responsible. o This item is postponed to the March meeting. • The concrete walkway from the new parking lot has now been built. o Do we need to block off the parking space where the walkway connects to the parking lot? • Anything else we need to discuss in today’s meeting? o Spring work day will be planned for Saturday March 21 with March 28 as backup.   • 5. Ministry Team: Pastoral Care Members Present: David Lynch, Imogen Rhodenhiser,Tammy Jenkins, Phyllis Barnwell, Susie Holmes Agenda Items Discussed: Reviewed parishioners who need care. David has details. Everyone has or will be checked on. Reviewed parishioners who can be added to meal list and funeral reception committee list. This list needs to be updated every few years. The real importance here is connecting with most parishioners. The bonus is getting more people on the meal provision list. Susie will meet with Stephanie and divide up the rest of the list. Susie will compile emails for meals and forward to next month’s captain and emails of people who will help with funeral receptions to Sandy Entrup. Most people are willing to help with both. That will help spread out the responsibilities for helping with funerals. Jane Wehland will continue to send encouragement cards. We discussed the importance of confidentiality and privacy. Imogen talked about a program for tracking pastoral care needs. She will follow up with it to get more information. We spoke about the Backpack Buddies program. Note: There are plenty of meal containers in the kitchen for folks to use to provide meals. Also, funerals are organized through the front office, and then the funeral reception committee, an offshoot of fellowship, takes over.   • 6. Ministry Team: Outreach Members Present: Pete Crow, Carl Sigel, Noah Showalter, Cheryl Waechter, Pat Watson, René Garcés. Agenda Items Discussed: 1. Report on response to our 2015 budget request—Pete. We requested $13,200 and got $8,000. All program budgets were basically frozen from last year due to lower-than-hoped-for pledging. Enclosed is a summary of our request with one suggested way of shrinking it to $8,000. We will discuss this and other options we may want to consider. On the attachment, everything highlighted in gray has been eliminated or changed to what is not in gray. The budget has 2 lines or Outreach, there’s the Outreach budget where $13.2K was requested and $8K was allocated, then, there’s Outreach Other where funds from DoG (Chatty Yarns, Silent Auction) and a Book Sale prior to DoG are placed in Outreach Other. Outreach Other had some funds in it already and $415 (Chatty Yarns), $540 (Silent Auction), and $895 (Book Sale) were added to Outreach Other resulting in a $2164.74 total/balance. The folks who put together the Book Sale were asking where the money in Outreach Other goes, so, Pete suggested $895 be released to the Haiti Fund Inc. for CODEP. Pete recommended moving $200 from Audubon to Outreach Exploration and Education. Carl recommended moving $250 from NCIPL to CODEP. Finally, Pete recommended $500 showing in budget for CODEP be moved to SHN. 2. Reports on link with Leesville Road Elementary School—Pride Packs (Cheryl) and tutor/mentoring (Pete). All 64 children are being served on weekends. Heather at LES asked donations be delivered 1/month, since they run out of space. Heather at LES did request more donations of box milk and juice. First Sunday of each month Cheryl will have box/basket in Narthex to collect donations, however, a basket will remain in Estill House to collect weekly donations. Judy Garces and Ellen Powers offered to deliver donations to LES monthly. There are 4 churches supplying donations of food and money to the program, and the Inter-Faith Food Shuttle, and the supplies provided to LES by COTN are added to the pool of donations, then LES breaks them up to roll them out to the 64 children. There’s no training of the tutors at LES, so Pete went to LES to address training tutors to help the children. The LES principle was thinking they should be working with the parents to help/tutor their own children, instead of having tutors; and, the principle was thinking LES would arrange for LES teachers to come in on Saturdays to train the parents. Cheryl asking Soapstone Methodist contact where they got training for math tutoring. 3. Harvest for Hospitality plans at Nativity (campaign to benefit the Episcopal Farmworkers’ Ministry)—Patti. Not discussed. 4. National Preach-In on Global Warming, Feb. 13-15—Carl. 5. NC Bread – Carl. All day meeting on 3/28 at Highland Memorial church, Carl petitioned $50 sponsorship allowing 1 person to attend (though other COTN folks can attend if they pay $25 registration fee); various organizations (e.g. IFFS, SHN, etc.) discussing how to address local/community hunger and poverty. Pete suggested allocating $50 from $200 allocated to Outreach Exploration and Education to sponsor 1 person. 6. Earth Day – Carl. Carl explained on 3/24 the Episcopal church will have a 1.5 hour webcast about climate change crisis, and explain what actions can be taken by individuals/organizations. Carl is organizing a potluck with Ann Burts presiding. 7. Christmas Angel Tree Gift – Pat. Pat looking to step down from Episcopal Housing gift collection, and possibly changing focus away from Angel Tree/gift project. Pete recommended adding to next month’s agenda to discuss further.
