Ministry Teams Meeting Minutes: 9 December 2015
Ministry Team: Communications
Members Present: Jason Pace, Becky Christian, Sarah Bernart, Ben Huckaby, David Cariss, Karen Ridout, Emilie Sigel,
Ailsa Tessier, and Gail Christensen
Agenda Items Discussed:
1. Karen Ridout has been assigned to research, purchase and install a corkboard in the shelving of the lobby in Estill
House on which to affix posters of upcoming events. This will be completed by Christmas if possible.
2. Ben Huckaby has been researching the purchase of a video camera for the nave, to record special services, concerts,
and the like and post these to our website. He has narrowed the options to two excellent choices, both of which are easy
to use, have long battery life, large memory, warranties, and wireless microphones. He and Jason and David will make a
decision this week, in the expectation that the camera will be delivered in time to record the Christmas Pageant on
December 20.
3. Ben will put a link of our website's home page by New Year's Day to sign up for the Habitat for Humanity project that
Nativity and 12 other local churches will participate in. Gail will provide the copy, which will be posted on the Outreach
page.
4. Posters and web sliders have been created by Jason and David for the Annual Meeting (Dec 13), the Christmas
Pageant (Dec 20) and Christmas services (Dec 24 and 25). The roadside banner for Christmas services will be posted the
middle of next week (Dec 16).
5. Jason will meet with an acoustical engineer/consultant next week regarding a sound system in the nave.
6. Gail reported that we have spent $366 of our $1200 budget for 2015. We expect to spend the remainder by year end on
the camera and the corkboard. We will send our 2016 budget request to John Oldham soon.
7. Emilie announced that she is retiring after 15 years as editor of Glad Tidings. The January 2016 issue will be her last.
Stephanie is looking for a replacement. Hearty thanks and congratulations to you, Emilie!
8. Stephanie asked that the Communications Team take the responsibility of submitting news and information to the
Diocese to publish in The Disciple. Ailsa volunteered to be the liaison with Christine McTaggert and Summerlee Walter at
the Diocese.

• Lawn care estimates
o Lawn care yearly service defined as 26 times mowing with edging and blowing as needed, and 5 fertilizer
applications.
Fetsko: The total estimate for 2016 is $2,820.
Connie Pepper: The total estimate for 2016 is $1,630.
o Lawn care providers and their estimates for 2016 was a follow-up item carried over from last month’s
meeting. One member suggested that Fetsko appeared to be taking our business for granted. General
opinion was that we might do well to make a change.
• 2016 budget input
o We need to provide input the finance team for the 2016 budget.
o The ongoing budget items, such as power, phone service, Internet, water, etc.
o Plus any one-time expenses we would request funding for in the 2016 budget
o We need to dig further into the maintenance line item; it seems to have gone way out of control this year.
o The Building and Grounds budget for 2015 was not strictly adhered to, nor could it have been. In fact,
B&G has required about 155% of the funds budgeted. It was pointed out that we are simply using the
property more for more different things (such as the expanding kindergarten, yoga, the Bulgarian
community group, the community Bible study, the garden. Etc.), as well as for more people attending
more services. In addition, all three buildings are getting older and require more maintenance every year.
In short, the budget needs to be set higher, to reflect the realities of the situation. Another piece to the
puzzle may be to increase fees, if only marginally, for the groups that use the property, to help offset the
increasing costs of keeping the building and grounds in order.
o We discussed the 2016 Building and Grounds budget at length. There were some questions as to what
was included in the “Maintenance-Other” category and whether the removal of the two large trees had
been included in the 2015 B&G expenses.
o Diana and Alfred will meet to go through the details and provide the budget input for 2016.

update the agenda.
Diana brought a have-a-heart squirrel trap to put in the attic at Estill House. David and Ken set it
up, and Stephanie Allen agreed to find someone later in the week to put it in the attic. The squirrel
trap was an attempt to deal with the ongoing squirrel problem in the attic. The squirrels had
recently chewed through wiring that connected the heat pump to the thermostat in Estill House,
resulting in interruption in HVAC service to the building and the need for two service calls from All
American. Though the system is now fully operational again, the squirrels could stop us again at
any time.

Ken volunteered to do a walk around with another member or members of the B&G team, with
the objective of developing a list of current and developing problems with the church property. An
example he mentioned was the dip in the parking placed on the western edge of the parking lot.
David observed that the whole driveway is in need of a complete overhaul. The small spot on the
parking lot could probably be handled at the same time. There was uncertainty about the
ownership of the driveway.
The group recommended that a professional metal roofer be hired to replace metal screw and
washers on the roof at Estill House, as a means of keeping rainwater and squirrels and other
unwanted creatures out of the attic.
The idea of installing solar panels on the roof of the education building was discussed. General
consensus was that, as solar technology is advancing in leaps and bounds, we don’t want to rush
into committing ourselves to today’s solar technology.

Agenda Items Discussed:
• Reviewed Fall offerings for October and November
Reflection class led by Matt Chytka and Jon Showalter going well. Average attendance is consistent.
About 4-5 each Sunday. Willing to lead next year.
Crazy Christian book study and use of Church Next - Both focus on Bishop Curry’s sermons and
comments. Content was different so had to work to integrate. Some folks had read the book, others had
not. So having the Church Next Series at least gave some common content. 9 am class sharing was
more personal as it was smaller, 4-6. 10:15 class was larger 15-20. Broke into small groups and that
facilitated the sharing. Ended each session with a challenge of how they would be a Crazy Christian that
week and then reported back the next week. Some interesting thoughts and ideas.

Consider asking Will Gilmore to facilitate. A concern that the parish hall is in use will have to have TV in the
conference room and move reflections to the Library.
Council of Churches - Refugee resettlement or an alternative would be a TED talk on Islam

Thoughtful Christian series called Civility: American politics and Christian Responses. He also has a book by a
similar title. It is three sessions. Like the Thoughtful Christian style and format.
Cooke may be open to offering something

Need offering for the 9 am class during Lent
Nancy Titus has a one session offering on Falling Upward based on Rohr’s material on the Second Half of Life.
Not decided if there will be Lenten evening offerings
Carl is open to offering the Mid-Life Directions class in the evening
Carl and Nancy are open to doing a class, retreat, on couple relationships.
We discussed in August the possibility of using the Churches Teaching Series, using the first one “People of the
Way”

Ministry teams minutes Dec. 2015

  • 1. Ministry Teams Meeting Minutes: 9 December 2015 Ministry Team: Communications Members Present: Jason Pace, Becky Christian, Sarah Bernart, Ben Huckaby, David Cariss, Karen Ridout, Emilie Sigel, Ailsa Tessier, and Gail Christensen Agenda Items Discussed: 1. Karen Ridout has been assigned to research, purchase and install a corkboard in the shelving of the lobby in Estill House on which to affix posters of upcoming events. This will be completed by Christmas if possible. 2. Ben Huckaby has been researching the purchase of a video camera for the nave, to record special services, concerts, and the like and post these to our website. He has narrowed the options to two excellent choices, both of which are easy to use, have long battery life, large memory, warranties, and wireless microphones. He and Jason and David will make a decision this week, in the expectation that the camera will be delivered in time to record the Christmas Pageant on December 20. 3. Ben will put a link of our website's home page by New Year's Day to sign up for the Habitat for Humanity project that Nativity and 12 other local churches will participate in. Gail will provide the copy, which will be posted on the Outreach page. 4. Posters and web sliders have been created by Jason and David for the Annual Meeting (Dec 13), the Christmas Pageant (Dec 20) and Christmas services (Dec 24 and 25). The roadside banner for Christmas services will be posted the middle of next week (Dec 16). 5. Jason will meet with an acoustical engineer/consultant next week regarding a sound system in the nave. 6. Gail reported that we have spent $366 of our $1200 budget for 2015. We expect to spend the remainder by year end on the camera and the corkboard. We will send our 2016 budget request to John Oldham soon. 7. Emilie announced that she is retiring after 15 years as editor of Glad Tidings. The January 2016 issue will be her last. Stephanie is looking for a replacement. Hearty thanks and congratulations to you, Emilie! 8. Stephanie asked that the Communications Team take the responsibility of submitting news and information to the Diocese to publish in The Disciple. Ailsa volunteered to be the liaison with Christine McTaggert and Summerlee Walter at the Diocese.
  • 2. Ministry Team: Buildings and Grounds Members Present: Diana Hudgens, David Johnston, and Ken Cawthorne Agenda Items Discussed: • Follow-up on last meeting’s action list. Action Item Assigned To Due Date Comment Get lawn care estimate from Fetsko Alfred 12/9/2015 Done Get lawn care estimate from Connie Pepper Diana 12/9/2015 Done • Lawn care estimates o Lawn care yearly service defined as 26 times mowing with edging and blowing as needed, and 5 fertilizer applications. Fetsko: The total estimate for 2016 is $2,820. Connie Pepper: The total estimate for 2016 is $1,630. o Lawn care providers and their estimates for 2016 was a follow-up item carried over from last month’s meeting. One member suggested that Fetsko appeared to be taking our business for granted. General opinion was that we might do well to make a change. • 2016 budget input o We need to provide input the finance team for the 2016 budget. o The ongoing budget items, such as power, phone service, Internet, water, etc. o Plus any one-time expenses we would request funding for in the 2016 budget o We need to dig further into the maintenance line item; it seems to have gone way out of control this year. o The Building and Grounds budget for 2015 was not strictly adhered to, nor could it have been. In fact, B&G has required about 155% of the funds budgeted. It was pointed out that we are simply using the property more for more different things (such as the expanding kindergarten, yoga, the Bulgarian community group, the community Bible study, the garden. Etc.), as well as for more people attending more services. In addition, all three buildings are getting older and require more maintenance every year. In short, the budget needs to be set higher, to reflect the realities of the situation. Another piece to the puzzle may be to increase fees, if only marginally, for the groups that use the property, to help offset the increasing costs of keeping the building and grounds in order. o We discussed the 2016 Building and Grounds budget at length. There were some questions as to what was included in the “Maintenance-Other” category and whether the removal of the two large trees had been included in the 2015 B&G expenses. o Diana and Alfred will meet to go through the details and provide the budget input for 2016. • Anything else we need to discuss in today’s meeting? o If you are aware of issues, we need to discuss in this week’s meeting, please send them to me and I will update the agenda. Diana brought a have-a-heart squirrel trap to put in the attic at Estill House. David and Ken set it up, and Stephanie Allen agreed to find someone later in the week to put it in the attic. The squirrel trap was an attempt to deal with the ongoing squirrel problem in the attic. The squirrels had recently chewed through wiring that connected the heat pump to the thermostat in Estill House, resulting in interruption in HVAC service to the building and the need for two service calls from All American. Though the system is now fully operational again, the squirrels could stop us again at any time.   • 3. Ken volunteered to do a walk around with another member or members of the B&G team, with the objective of developing a list of current and developing problems with the church property. An example he mentioned was the dip in the parking placed on the western edge of the parking lot. David observed that the whole driveway is in need of a complete overhaul. The small spot on the parking lot could probably be handled at the same time. There was uncertainty about the ownership of the driveway. The group recommended that a professional metal roofer be hired to replace metal screw and washers on the roof at Estill House, as a means of keeping rainwater and squirrels and other unwanted creatures out of the attic. The idea of installing solar panels on the roof of the education building was discussed. General consensus was that, as solar technology is advancing in leaps and bounds, we don’t want to rush into committing ourselves to today’s solar technology. Ministry Team: Adult Formation Members Present: Nancy Terry, Carl Terry, Stephanie Allen Agenda Items Discussed: • Reviewed Fall offerings for October and November Reflection class led by Matt Chytka and Jon Showalter going well. Average attendance is consistent. About 4-5 each Sunday. Willing to lead next year. Crazy Christian book study and use of Church Next - Both focus on Bishop Curry’s sermons and comments. Content was different so had to work to integrate. Some folks had read the book, others had not. So having the Church Next Series at least gave some common content. 9 am class sharing was more personal as it was smaller, 4-6. 10:15 class was larger 15-20. Broke into small groups and that facilitated the sharing. Ended each session with a challenge of how they would be a Crazy Christian that week and then reported back the next week. Two discussion questions at the end of each. Let 9 o’clock take turns reading and leading discussion. Church Next series on Epiphany by Sharon Ely Pearson. Six sessions but would narrow to two sessions. Consider asking Will Gilmore to facilitate. A concern that the parish hall is in use will have to have TV in the conference room and move reflections to the Library. Council of Churches - Refugee resettlement or an alternative would be a TED talk on Islam

He also has a book by a similar title. It is three sessions. Like the Thoughtful Christian style and format. Cooke may be open to offering something Kingdom Building – possible leaders George and Jane Need offering for the 9 am class during Lent Nancy Titus has a one session offering on Falling Upward based on Rohr’s material on the Second Half of Life. Not decided if there will be Lenten evening offerings Carl is open to offering the Mid-Life Directions class in the evening Carl and Nancy are open to doing a class, retreat, on couple relationships.
