Postal Advocate manages the mailing and shipping spends for some of the largest organizations in North America.
At this session, we discussed the challenges organizations have with enterprise postage management and carrier services, presenting different strategies to manage these categories and how to optimize savings and efficiency.
Here are the topics that we covered:
1. Challenges of managing enterprise postage
2. Visibility and Insight – Gathering all the data and reporting
3. Network Connections
4. Best in Class Processes
a. Billing
b. Postage Management
c. Web Access
5. Managing the Day-to-Day Requests – Adding new users, first line responders, password resets etc.
6. Expanding to a multi-carrier solution
Postal Advocate manages the mailing and shipping spends for some of the largest organizations in North America. Most of the spend never touches a shipping center, is not a core shipping function (including documents, samples, computers, labs, etc.), and will be processed by end users with little experience. This creates unique challenges and opportunities for savings that often get missed. In addition, the world is changing and so is the way we communicate. Documents still need to be generated and processes need to evolve.
At a corporate level, many organizations will use a third-party company to audit their carrier bills, looking for late shipments or items that do not adhere to their contract. Some entities may also use a service to help negotiate their rates. Where we see the biggest gap is the way the spend is managed inside the organization that can have the largest impact on costs.
This webinar focused on the new technology and services available and the top things you can do to create better controls and help streamline your organization’s needs.
Items We Will Cover:
1. The Evolution of Shipping & Mailing
2. Enterprise Visibility
3. Web Accessed/Cloud-Based shipping & mailing solutions

4. Administrative Challenges

6. User Management
7. Rights Management
8. Case Management - Local Questions/Issues Resolution

Postal Advocate manages the mailing and shipping spends for some of the largest organizations in North America.
Most of the mail in the United States is not processed in local offices, but instead sent to outsourced print and mail services who have the proper equipment, staff, and expertise to do it efficiently. The issue is that this is one of the least understood categories, with the lowest level of visibility and the highest opportunity to overspend. This category can be in the hundreds of thousands to millions in annual spend and because of these issues, can have significant savings opportunities.
Items We Covered:
1. Gaining Visibility
2. Auditing Invoices
3. Benchmarking Services
4. Consolidating Spends
5. Optimizing Insource/Outsource Decisions
6. Running an RFP Comparing Services
7. Printing Closer to the End User
8. Expanding Use to Other Areas
9. Managing your Own Agreements
10. Setting Up Continual Review Processes
The document discusses the future of business mail and mailing technology changes. It summarizes that mail volume has declined across all categories as businesses transition to electronic communications. Rate increases by the USPS and carriers will continue to impact business mail costs. Mailing technology is shifting from postage meters to cloud-based online postage solutions which provide improved access, savings, and visibility across locations. Enterprise online postage allows centralized control and management of mailing activities for multiple office locations.
