During their internship, the author completed several projects for different departments at Tri-Cities Opera including mail merges and the creation of a donor database. They created a donor database in Excel to centralize donor information and records of giving from the ticketing system. The author also developed an event promotion form to help structure the promotion of events across various websites by collecting relevant event details and tracking promotion progress.

for an eventthattheyhaddone before Igot there. Theyalreadyhada listof the people thatdonated
and I mail mergedthemintoarevisedletter. Iaddedaboutsix fieldstomake the letterpersonal toeach
donor. I also mergedtheiraddressesrighttoan envelope tosave time andmoney. The documentthatI
usedisattached. During mysemesteratmy internship,Icompletedmanymail merge documentsfor
mailingsandotherprojects thatsavedeveryone alotof time andhassle.
AnotherveryimportantprojectthatI setout tocreate wasa donordatabase. The general
directoristryingto focuson developmentalotmore. Before,theydidnothave one central location
withall the donorsand a record of theirgiving.All the dataisstoredinthe ticketingsystem,whichhasa
veryclumsyviewof everything. Itwasnearlyimpossibletoview reportsinaneasyand userfriendly
way. So I decidedtotake it uponmyself tocreate an excel documentthatcouldbe usedforthis
purpose. Iexportedthe informationfromthe ticketingsystemintomultiple excel documents. From
there I figuredoutwhatinformationwe wouldneedandwantonthisdatabase andorganizeditinto a
document. Ialso compiledaninstructionsheetforhow touse certainfeaturesof excel topull out
relevantreportsfromthe data.That documentisattached.
My supervisorformyinternshipisthe directorof marketing. Ididmanydifferentprojectsfor
himincludingpromotingoureventsona variousnumberof eventscalendarsonvariouswebsites. After
doingthisonce withone event,Irealizedthatthistaskneededsome structure tohelpsave time and
effort. Istartedright awayon an eventpromotionformthatwouldhelptoalleviate some of the stress
of promotingourevents. Icreatedan electronicdocumentwhere youcanputall the relevant
informationaboutthe event andalsothe differentplacesthatyouneedtopostthe event. Whenyou
are finishedposting itona site yousimplyhighlightthatsite atthe bottomof the document. This
procedure savestime,providesconsistency,andallowsthe projecttobe completedbymore thanone
personwithoutmistakes.
