STRATEGIES FOR THE âYOU APPROACHâ
In workplace writing, a key goal is to maintain friendly relations with readers, even
under conditions of tension, frustration, and strife. The âYou Approachâ is a set of five
strategies that workplace writers can use to maintain or restore friendly relations with
readers and to minimize their sense of threat in adverse business situations in which
they might resist the message youâre delivering in your document.
Table 1 lists the five strategies of the âYou Approach.â
Table 1: Five Strategies of the âYou Approachâ
1. Write From the Readerâs Perspective
Focus on the readerâs situation, not on your own situation. Show that you understand
the readerâs position and perspective. For example, imagine that you have just arrived
to the first day of a writing course. Your instructor is about to speak. Which of these
opening lines would appeal to you the most?
ďˇ Welcome to a course that Iâve enjoyed teaching here for the past eight
years.
ďˇ Iâm glad youâve decided to take this course, because it could make a
tremendous difference in your ability to succeed in your chosen career.
1. Write from the readerâs perspective.
2. Anticipate and answer all questions that your readers are likely to have about
the situation.
3. Use personal pronouns.
4. Be courteous, tactful, and respectful, especially at the end of memos, email,
and letters.
5. Cushion the blow for readers in âbad newsâ letters by organizing material
strategically, posing questions, and using conditionals.
The first line takes a âMe Approach.â It centers on what is important to the instructor,
not on what new students would find meaningful. The second line takes the âYou
Approach,â because it focuses on what matters to the students.
Example: A student intern worked at RDI, a prestigious research institute near her
university. When she received the following memo from her supervisor, she felt hurt
and insulted. Read the memo and consider why she reacted so negatively to the memo.

Re: Attendance at RDI Staff Meetings
I am asking that you all refrain from attending RDI staff meetings in the future in
order to provide coverage for permanent fulltime RDI staff members while they
are busy attending RDI staff meetings (this coverage could take the form of
answering phones or continuing with your regular work assignments as your
supervisor determines). Let me assure you that, although you are valued
employees of the Institute, the RDI staff meetings are really only relevant and
necessary to members of the permanent staff, for whom the success of the RDI
is of primary concern. I know that some of you enjoy attending these meetings
and find them interesting, but remind you that you have the privilege of being
stude.

4. 4
Once you receive your paper from the online tutorâŚ
⢠Take the time to read the comments at the top of your
paper. Remember that these are only suggestions to
help you meet the assignment goals. If they contradict
the instructorâs directions, those directions come first.
Our suggestions are based on the information you
supply about the assignment.
⢠Read through your paper, noting the comments made
within the body of your paper and the abbreviations
explained in the information bubbles.
5. 5
What do I do with these information
bubbles and comments?
When an abbreviation is placed within the body of your essay, follow the red
line to the bubble with the same abbreviation. There will be information
there that explains the grammar error.
I witness V a car accident yeterday sp.
Recurring grammar errors (i.e., verb tense) are indicated only two or three
times. If this type of error has been marked a couple of times, you can
assume that it appears throughout the assignment. Therefore, once the
indicated errors have been addressed, you need to locate and correct
similar unmarked errors. This procedure helps you focus on these errors
so you can avoid them in future assignments.
The verb tense here
is incorrect. V
This word is
misspelled. sp
6. 6
Donât forget to read
the comments.
Comments and questions added within the body of the essay are intended to help you
become aware of ideas that are unclear. For example, the thesis statement might be
incomplete, a topic sentence may not reflect what is in the thesis statement, a point may
need to be explained, or a detail may be off-topic. We use in-text comments for many
reasons. It is a conversation we are having with you. Be sure to read the comments and
address the issue.
Comments are used to help you expand your ideas and better focus the reader, so do
not think that a tutor is just being critical. In addition, if any suggestions we provide
contradict your instructorâs directions, be sure to follow those directions.

I donât understand how to correct this

Help is available under Subject Tools!
In each subject queue, Subject Tools are available to answer
questions from âHow do I get started on my essay?â to âHow do
I avoid plagiarism?â to âWhat is parallelism?â Just select FAQ
(Facts and Questions) or Resources to find the answer to your
question.
8. 8
Do I have to send my history paper to the
English queue and the history queue?
No. Once you have submitted your paper to history,
psychology, philosophy, business, etc., both the content
tutor and the English tutor will review your paper from
there. If there are research issues, you may get a
third response from our specialized research
tutor. Therefore, look for multiple replies to your one
submission.
1 student submission = 2 or 3 replies
9. 9
Why wonât you tutor my paper when you think itâs
plagiarized?
Plagiarism is not only against learning institutionsâ policies, it is also against
the law. When an HCC tutor reviews a paper that shows signs of being
plagiarized, that tutor is taking part of that plagiarism and is therefore
breaking the law.
Keep in mind that your HCC instructor or tutor wants to see what you can do,
not what a reference source can do. Once an instructor or tutor sees where
you need help, that instructor or tutor can help you address the problem.
