Map out Rail Miles in each State to allocate income – this is necessary to be able to pay the proper portion of taxes for each state
Create Excel spreadsheets to maintain projects that need to be completed by the tax team, keep the spreadsheet up to date and hold the team accountable for all on the sheet
Create Excel spreadsheet to keep track of all the tax payments made quarterly to assist in the reconciling at quarter end
Impact for Company—if you don’t pay your taxes you will not exist for long as a company—keep XPO in compliance with States and Federal Government
Stack Train- Type of service that enables containers to be stack on top of each other via train. Efficient use of space and allows for more containers to be moved at one time, cost savings.
Cartage- Management of Owner/Op truck drivers
XPO Intermodal Solutions- Brokerage side
Closing the Books- One of the main responsibilities, done at the first of each month for the previous month. EX: June 1st is for the month of May accounting. Consequences- Follow GAAP and SEC requirements. Failure to comply with SEC is all relative based on the size of the company. A big company like XPO Can be wrong by a couple hundred thousand dollars but for a 40-50 mill company 500k would be a big deal. All about Materiality, items that are large enough to matter are considered material.
Raw data into understandable information-
Balance Sheet Reconciling- Verify that asset/liability are all correct, use Blackline for this. Do not want variance in assets and liabilities, need to balance with each other
Accruals- Record something that hasn’t happened yet, but assuming it will happen based on past events. EX: Rent due
Systems
SAP- Breaks down revenue, expense, liability, Make 100’s of account adjustments throughout the month to make everything complete and accurate, Use to close books, Moving towards Oracle, journal entries
Oracle- Transition to Oracle
AS400- Transition to Rail Optimizer, hope completed in next two months
Rail Optimizer- Customer info, Customer service side
BlackLine- For balance sheet reconciling, asset liability account to verify all are accurate
Information to make business decisions- Understand where your at, margin standpoint, analyze info to decide to keep or get rid of customer, increase/decrease volume, etc
Communication- While tools like IM, Phone, and email make it easy for mass communication, there could be more office wide communication rather than just department based communication. Mainly keeping everyone in the loop if an event happens that changes normal business. For example, if accounting is expecting an accrual for rent due in an office in Texas, but the office closes down and that isn’t communicated that could cause an issue to trickle down to the accounting department. By passing along key information to everyone, it allows people able to adjust and do their jobs accordingly.
