EHR Training/Implementation Plan
Purchasing an EHR program:
 Identify best EHR program that will meet practice needs
 Features and functions to look for when purchasing an EHR system
from a vendor:
o Intuitive functionality that is easy-to-use
 Something anyone could pick-up, figure out, and start using
right away at a basic level with little training
o Flexible and customizable
o Workflows that resemble existing paper-based processes and have
a comparable communication style to the clinicians
o The ability to operate on various devices with interfacing
capabilities
 Tablet/Ipad, laptops, and desktops
o Mobile platform for Smartphones with the capability to support a
“busy/on the go” work style
o Integrated clinical support from notable trustworthy sources
o Risk identification (ex-drug interactions), guidelines, compliance
alerts
o Upgradable to be able to adopt new technologies such as cloud-
based computing, big data, and patient generated health data
(PGHD; such as a fitbit).

o If additional training is needed have staff take a computer class at a
local community college if budget allows or use online resources

Classes for employees/Format of class
Classes will be broken down based on skills, knowledge base, and need and
will be tailored accordingly. Therefore, we will have classes for clinical staff,
physicians, and non-clinical staff.
 Example of what different departments would need to know:
o Billing department
 How to find insurance information and billing codes, how to send
messages to a physician and how to submit an electronic claim.
o Administration/Front desk department/ non-clinical staff
 How to save scanned docs and attaching them to the EHR charts
o Clinical staff
 How to transfer a chart, view test results or enter a diagnosis,
update Medication list and merge patient charts
o Physicians
 How to input and view orders with Computerized Physician Order
Entry (CPOE), how to e-prescribe your Rx, where to go to view
lab results, and how to enter progress notes
Training schedule
Day(s): Monday/Wednesday/Friday
Time: 9 a.m. to 11:15 & 6 p.m. to 8:15 p.m.
 Physicians and clinical staff will attend one session per day for that
week
 Non-clinical staff are only required to attend 1 training session
Day(s): Saturday
Time: 9 a.m. to 12:30 p.m.
 This is a 3 hour class for physicians and clinical staff only
 They will need to attend 2 of these classes

Skills trainers will need
 People who are EHR competent from each department (Super-user)
o At lest 2 of each: physicians, clinical, and non clinical staff members
(physicians will train physicians along side vendors and so on)
 Tech-savvy individuals who can provide shortcuts and tips as well as
basic navigation
Side note: we could offer an incentive, such as a small bonus or additional
vacation day to staff if they’re selected to fill the role. This could help
motivate more skilled employees to come forward and take on this extra
responsibility if we have trouble filling these roles.
Number of classes required and time need for each course
 All staff must first complete a basic computer skills test
 Clinical staff and Physicians will be required to take 3 classes and Non-
clinical staff will be required to take 1 class
 Each class will be 2 hours in length for a total of 6 training hours for
clinical staff and physicians and 2 training hours for non-clinical staff
o 350 - Clinical staff
o 60 - Physicians
o 90 - Non-clinical staff
Number of trainers needed
 2-4 per class depending on size
Resources/supplies needed
 2-3 classrooms
 Computers in the classrooms
 Education tools from vendor
o Training manuals
o Flyers
o Take-away/cheat sheets after training completion and prior to
deadline that highlight critical information

physicians who are unable to attend scheduled meeting)
Start date for December 1 deadline (currently July 10)
Training will begin July 20th
Training completion date
November 21st
 We will hold refresher courses November 23-28th for those who have
completed training more than 30 days prior and/or if they have a few
things they would like to brush up on.
Other:
 Basic computer testing and training for non-clinical staff
 Do a post training survey - example:
o What did you like best about the EHR implementation?
o What makes this the best?
o What was least effective part of the EHR implantation training?
o What made it least effective?
o How do you believe EHR implementation will impact your daily
workflow - pros and cons?
o How could we improve our current EHR system?
o What new knowledge did you gain from this experience?
 Conduct post-implementation feedback session with staff from all
departments weekly to bi-monthly
o Go over pros and cons about implementation
