1. Introduction
This document accompanies VAL’s ‘Data Sharing Policy’ document. It is
intended to help staff put into practice the data sharing principles on a day-to-
day basis.
Can do’s
• You can provide funders/commissioners with a list of group names who
are delivering services in a particular area, as long as there is a clear
purpose regarding the use of that information.
NB. The default position is that we DO NOT supply contact details unless
the group is included in the Online Directory AND there is a clear rationale
as to why a funder/commissioner may want the contact information.
• You can offer to disseminate information to groups via the database on
behalf of third parties (however, you must take account of groups’ mailing
preferences).
• You can provide named case studies for the purpose of VAL’s
performance reports, as long as the support provided was not around any
of the following issues:
Allegations of criminal activities;
HR issues that involve a grievance or disciplinary action against any
individual in the group/organisation (staff member, volunteer or
trustee);
Poor contractual performance;
Financial crisis;
TUPE and redundancy issues.
• You can override a group’s mailing preferences when sending keyword
mailings.

2. • You can refer group’s to the data sharing policy on VAL’s website.
• You can offer groups an alternative contact address if they do not want to
have their personal contact details held on the database.
Can’t do’s
• You cannot provide contact details to funders/commissioners unless a
group is registered on VAL’s Online Directory.
• You cannot provide named, identifiable case studies if the group has
accessed support for the following reasons:
Allegations of criminal activities;
HR issues that involve a grievance or disciplinary action against any
individual in the group/organisation (staff member, volunteer or
trustee);
Poor contractual performance;
Financial crisis;
TUPE and redundancy issues.
• In no circumstance will we share or refer to a group’s financial or
human resources in isolation. Rather, we will only refer to financial
data through averages for the sector.
• We will not share our internal intelligence about a group with Funders
and Commissioners.
