  1. Congratulations! As an elected officer of your Toastmasters club, you have the opportunity to drive your club’s success while you gain valuable hands-on leadership experience. The Toastmasters leadership program lets you improve your own skills while helping other people as well! Serving as a club officer is a great responsibility and an exciting opportunity. Your term of office is filled with chances to renew your perspectives, practice team work and develop your capacity to translate values and strategies into productive actions.
  2. In this session, there are three things I want to give you: 1. I will aim to give you the information you need to get excited about your journey as a leader, 2. I will show you where to find the tools and resources to embark on your journey well equipped AND 3. I will work extra hard to infuse each and every one of your with enough enthusiasm to go lead your clubs to success while having fun!
  3. This presentation will be in 2 parts with a short 10 min break in the middle. Part 1: Your role as an Officer Part 2: Club Quality Just a quick note, you’ll be happy to know that everything in this presentation comes out of the Club Leadership Handbook. So you can sit back, listen, enjoy and review all of the details while you browse your Cub Leadership Handbook! SHOW THEM THE Handbook: It is the most Important Tool!! It contains everything you need to drive your club success! You and all of your club officers must read it! Show of hands if you have seen this manual before? If you haven't, your club president should have received 7 new manuals for each of the new officers. Ask him about it and read your manual! So, where do we start??? The best and only place to start is: any guesses?? With your club mission!
  4. Let's read the Club Mission together: (read out loud) In other words, as officers, it is our responsibility to create this environment. It is not about how well we do as individuals, it is about how well we take care of our members. How do we maximize the learning experience within our club. That is the beacon that will guide you to excellence. Notice the EMPAHSIS on these words: Supportive / positive Empowering Self-confidence and personal growth You create that environment.
  5. On our District 55 logo you will find the 4 values, consider them your “navigating tools” to help you in performing your work. Values Respect: each individual and yourself, in the way you talk and behave, respect the differences found in each and every one of us Integrity: is defined as the quality of being honest and having strong moral principles. In your interactions with others…but also, I the way you do things when no one is looking.. Service: as an officer of the district, you are there to serve your fellow members. How can you make their experience better Excellence: always do the best you can, get trained, know where to get information, look for better ways Now that you understand your club’s mission and the guiding values, let’s look at the structure of your club and how it fits in the big picture..
  6. This chart shows the service levels in support of the member. It all starts with the members. Members are part of a club. A club consists of 8 to 20 or more members. The club is “driven” by the Club Executive Committee. That’s YOU the officers! We will cover each of the officer roles in a few minutes. The club is part of an area, then a division, and all six divisions make up our district. We have a similar “executive” structure at the Area, Division, and at the District level.
  7. So, I mentioned that as a club, you are also part of an area. This is important because when you look at the Area Council make-up, you can see that you, as officers of your club, you are also part of the Area Council committee. The Area Council committee has the purpose of supporting each club in fulfilling its club mission, by providing a network of officers, in which you can share your resources and expertise. Your Area Governor should call Area Council meetings at least twice a year (more often is more beneficial), so you can get to know and help each other.. Any Area Governors in the assembly? Please stand.. The Area Governor’s role is to visit each of his/her clubs at least twice a year, and being a resource to club officers, they are your first line of support. The Area Governor will also run the Area speech contest twice a year and be the chair of the Area Council, of which, as club officers, you are a part of. Your Area Governor provides you the support and encouragement you need in each of your club. He/she is an invaluable resource for your club’s success. Use them! Call them, and, participate in the Area council to fully benefit from the support it offers. Let’s give your Area Governors a huge round of applause for the fantastic work that they do! Each of your Area governor has 4 to 7 clubs. That area is part of a division A Division has 5 to 6 areas so it has 30 or more clubs. We have 6 divisions in District 55 with a structure similar to the Area; in all, 179 clubs!!! So you say 179 clubs?
  8. You probably wonder where are these 179 clubs??? District 55 covers the following areas: Temple, Killeen, Austin, San Antonio, Fredericksburg, Laredo, Brownsville, Corpus Christi and Victoria. Our district is made up of close to 179 clubs, 6 divisions, 35 areas and approximately 4000 members. That this is only one district. There are many more in the WORLD!
  9. In fact there are 98 districts in the world, just like ours! Accounting for 14000 clubs, and 325000 members! And growing every year!
  10. Let's come back to our district: Our District is made up of 6 Divisions and presently counts 179 clubs. Take a look at the structure of the District. It is made up of an Executive Committee (comprising the DG, LGET, LGM, AG, DivGov and IPDG) just like at the club level. But the overarching body is the District Council which includes, in addition to the Executive Committee, all Club Presidents and Club VP Education. That’s YOU!!! And that means that you are a voting member of the District Council and why your presence is required at the District Council meetings held during the District Conference twice a year, once in the Fall, once in the Spring. these conferences offer spectacular educational sessions, inspirational keynote speakers and overall tons of fun conference in May and November of each year. Raise your hand if you attended the last Fall Conference in Austin ? If you haven't yet, you really should consider going!  In addition to many duties, your district officers are responsible to runs Club Officer Training twice a year (as we are doing right now). We also run incentive and promotional programs year-round and builds new clubs year-round. So we’re busy!
  11. There are a couple other levels which support the club operations: the Regions and the International Board of Directors. All of which are run by World Headquarters, or what we refer to as TI (Toastmasters International). TI is based in Southern California. They handle merchandise orders, awards, supplies, publications and just any kind of situation you might ever encounter in a club. The TI website is an incredible source of information on all TM programs and activities. It is also on that website that you conduct your club business. The email address you put on your new member application is the email address TI uses to give you access to the TI website. And they also send you correspondence at that address. So if you do not have access to the TI website or if you do not receive communication from TI, check your email address and get it changed! So… you are now wondering how to access the TI website. At that address: www.toastmasters.org We will now talk about how to access this website. From the address on the screen, you will get to the following page:
  12. In the menu, click on “Leadership Central” This is where you, as an officer, get to conduct club business so your club runs smoothly. Before we go to Leadership Central, please take the time to explore the menu. And if you have a question, you can email TI directly: click on “Contact Us” for a direct link to an email address

  14. Login: this is where your email address is important. This is how TI recognizes you as a member and gives you access to the site. If you do not have access to this page it could be that the email address that TI has on file for you is not the correct one. You must send them an email and change your email.
  15. Select the club you want to manage … some of you may be officers in more than one club. This page gives you access to all the clubs you belong to (as an officer)
  16. All club business is conducted from Club Central. All your officers must know how to use club central from the TI website. The reason it is so important to submit your officer list on time (Jun 30th and Dec 31st) is that after that date, only the current list of officers will have access to club central to conduct club business.   17. Another website that you need to be familiar with is: www.tmd55.org This website is our District website and offers information on everything that is going on in the district. Please visit this website often to get information on training, contests, conferences, reports on our club progress, the education program. There are links taking you directly to the TI website from here. You do not need a password. Simply visit the site. You can also get a direct link to your district leaders - visit the District Leadership Team
  18. As an officer, it is very helpful to know of what are the activities that need to be happening in your club. This timeline, which incidentally is also available in your Leadership Handbook, identifies the most important activities that will help your club function properly. You need to be aware of all of these activities and of what your responsibilities are for each of those activities. Those are time sensitive activities.
  19. You will notice that the second part of the year, the same activities repeat themselves. Officer Training Preparing a Club Success Plan Club contests Dues Officer Elections Submitting Officer Lists Membership Drives and Open Houses MOT Exercise: ask a few questions on the timeline. Take a look at your timeline: What is the main focus in March and April? Wow!! That's a lot of work!! Fortunately, you are not alone to do all of this work! That is where the TEAM is really important. Each officer must be aware of his responsibilities and of what needs to happen within the club. If you follow the timeline, you won't miss any major milestones!! This may seem like a lot to do, but guess what, that is why you have a whole team to help you! So, speaking of team, lets review each of your function.
  20. You might have heard of the “Gestalt Approach” to Teamwork, where: The whole is greater than the sum of its parts. What that means is that when you work together you can accomplish things what alone you couldn’t, it would be overwhelming, or just plain impossible. Know your role. Know the roles of your teammates. Communicate your areas of strength. Take a proactive approach. Be willing to cover for another officer Know where to find information. Work as a team!
  21. There are 7 officers and the Immediate Past President who is there to offer advice and to guide you as a new team. One note on teams: it is a good idea when election time comes around to consider keeping at least a couple of officers on the committee. They might change roles, but they remain on the committee to offer continuity to the incoming team. They also serve as mentors to the new officers, much like the Immediate past president. We will now review all of the officer roles and their respective responsibilities:
  22. Sergeant at arms – is responsible for the club’s physical property, such as the banner, lectern, timing device and meeting materials. The sergeant at arms arrives early, sets up the meeting location and removes club property after the meeting. He or she creates a good first impression and sets the tone for the entire meeting. Transferable skills include: The ability to hold an effective meeting, preparation and organization
  23. Treasurer - is the club’s accountant and keeps financial records. The treasurer manages the club’s bank account, writes checks as approved by the executive committee, collects and pays dues on time to World Headquarters and works with the executive committee to create the budget. Transferable skills include: Receiving and managing money, budgeting, keeping accurate records and disbursing funds.
  24. Secretary – manages accurate files, all club records and correspondence. The secretary takes the minutes at every meeting and executive committee meeting and archives historical records. The secretary records all member and guest attendance, distributes the club roster of current paid memberships and maintains a current club officer list. Transferable skills include: Improved communication and listening skills, proficiency using software programs, accurate record keeping, time management and organization
  25. Vice President Public Relations - promotes the club to the community through activities that increase membership. The vice president, public relations, publishes meeting times and locations, writes a newsletter about club activities, achievements and special events, such as an open house or speech contest. The vice president public relations maintains social media sites such as Facebook, Twitter and Meet Up. Transferable skills include: Marketing experience, proficiency using social media websites and applications, sales and increased confidence to meet the public
  26. Vice President Membership – promotes the club and manages the process of bringing in guests and transforming them into members. The vice president membership initiates contact with guests, makes them feel welcome and provides information to join the club. The vice president membership works with the vice president public relations on initiatives to attract new members, the treasurer to manage membership applications and renewals. Transferable skills include: Sales skills, improved communication skills, confidence to meet new people
  27. Vice President Education – encourages members to complete their communication and leadership goals. The vice president education schedules member speeches and projects. He or she serves as a resource for questions about education awards, speech contests and mentors. The vice president education is a source for Toastmasters knowledge and the education program. Transferable skills include: Motivating others, setting and achieving goals, organization and leadership
  28. President – sets the tone for the entire club and provides helpful, supportive leadership for all club activities. The president keeps the peace and facilitates communication as required. The president is aware of membership levels and progress toward educational awards at all times. He or she ensures that all executive officers are functioning well and the club focuses on Distinguished club status. The president guides the executive committee and club towards goals. He is responsible for fulfilling the Club Mission. Furthermore, He represents the club interests in voting at the District Council meetings or in assigning a proxy to a club representative. Transferable skills include: Experience in leadership, leading teams, meeting goals, motivating and coaching others to achieve goals Next: Executive Committee Duties.
  29. Together, the club officers are responsible to Fulfill the club mission (i.e. guide the club in achieving their goals and in creating a positive supportive learning environment.) To create a club budget Develop a CSP (see handout) Strategize for success in the DCP (we will talk about DCP in details in Part 2) Create and oversee other club committees as necessary (i.e. contest committee, education committee, PR committee etc)

We know our mission: to create a Positive and Supportive club environment We know where we fit: one club is the foundation element for TI organization We know where to find our tools: international website and district 55 website We know our and each other’s roles: refer to your leadership manuals, the Club Leadership Handbook - READ it! In part one, we shared our club mission and values to help you navigate in your leadership experience, I have endeavored to give you the essential tools, to show you where to find information on TI and tmd55 websites, we’ve talked about your Club Leadership Handbook, we’ve shown you where the club fits within the TI family and finally, we covered each of your roles as officers of the club. Let's now get more specific in how we get there. What are the programs in place to help our clubs be successful. And how do we remain true to our mission. It all has to do with club quality. Offering the best possible program and value to our club members, while they are working towards their goals, developing their skills.
  32. The first program we will talk about is the Distinguished Club Program. The DCP is an annual program running from July 1 thru June 30th. The program consists of 10 goals your club should strive to achieve during this time. World HQ tracks the progress of your club toward these goals throughout the year, sending progress reminders to club presidents. Consider that your map for success. At year end, World HQ calculates the number of goals the club met and recognizes those who earned Distinguished Club, Select Distinguished and Presidents Distinguished , based on the number of goals achieved and the number of members it has. These goals are grouped in 4 main areas: First, Education: The emphasis of the program is based on members reaching their educational goals – Members who have the opportunity to earn education awards, are reaching their goals! Then membership: With enough members, everyone’s experience is enhanced because leadership is provided and meeting and committee assignments are filled. You need members for that. Training goals: Trained club officers are better able to serve and support their clubs. They understand the mission of the club and are familiar with the programs helping them fulfill that mission. Administrative goals: (the job is not done until the paperwork is turned in!!) By fulfilling your administrative duties, you will help your club run more smoothly which will benefit your members.
  33. Since it is the foundation of the program, let's talk a little more about educational goals: Some of your newer club members might only be familiar with the CC manual... But the educational program goes far beyond the CC… first, it covers two tracks: the communication track and the leadership track. You have your first milestones: the CC and the CL. But these are only the beginning of your journey! A lot of new members never hear about the whole program until much later into their TM journey. Your VPE will explain the whole program and invite each member to set their goals!
  34. Let’s look in more details at the DCP program: Every year, you, the members of the Executive committee, led by your club VPE will prepare the club success plan, identifying how you plan on meeting these goals and getting a commitment from each of your members to achieve their goals. That way, when each member thrives and is part of the club’s success, then and only then can the club thrive. Your handout gives you a template to work out your Club Success Plan. As a committee, sit together and fill it out! be sure to get buy-in from your club members and recognize achievements as your members meet their goals, and as your club also reaches its goals. Exercise: if you are not already sitting with some of your cub officers, find them now and your assignment is to Create a CSP with your club officers. 10 minutes.
  35. So what happens when you reach those goals… yeah your club becomes distinguished!!! All of you who belong to Distinguished clubs, please stand!! Congratulations!! Remain standing if you belong to a Select Distinguished club Remain standing if you belong to a President Distinguished club But it's more than just a designation. It also means that …many of your club members have either reached their goals or are working toward their goals, ...it means that your club officers have been trained and are able to better serve their club members …it means that you have a strong membership, and enough members to fulfill all the roles and to support all the programs your club offer. A lot of you are familiar with our Incentive program: , the district recognizes those clubs who strive to reach their goals and offers incentives to help you run a better program within your clubs!
  36. Meeting goals is what you work on at every meeting. But as an officer team, you always want to remember to do it in an atmosphere conducive to growth. Remember our club mission: “to provide a positive and supportive learning environment to empower every member reach their goals”. That is the foundation of the program. With that mission in mind, how we operate within the club, gives us the pillars that elevate the program to make it the best possible experience for our members. Those pillars are: that we learn by hands on experience, whether it's organizing an event or leading the club. we work at our own pace, set goals that are realistic and timely we rely on peer feedback for growth and learning (better be positive!) and we teach each other, in providing a mentoring program. These are the pillars of the TM program. TI provides us with great material (presentations) to include in your club programming. Your VPE will become familiar with the Better Speaker Series, Leadership Excellence Series and Successful Club Series and plan some of those presentation during your meetings. From one of those series, TI offers us a tool to get feedback on the QUALITY of our clubs meetings. How we can determine if we are doing the very best we can to provide an excellent members’ experience: I am referring to : The Moments of Truth module.

  38. The MOT module is a Club self-evaluation tool part of the Successful Club Series. It is based on 6 different areas that you examine to find improvement opportunities. We encourage each club to present the MOT module within their clubs and assess those areas that can be improved. That is how you ensure that club quality is at its highest and that you are serving the needs of your club members Presentation Time: 60-90 minutes Includes a club evaluation chart, an outline and a PowerPoint presentation. Also available as a digital file. We will now do an exercise. Let’s divide the room in 6 groups. Form smaller groups of 6-8 within these 6 groups and each of the small group find ways to improve in each of these areas. We will then capture your ideas and review as a group. Exercise: 10 minutes: come up with 5 ways to improve on each one of these areas.

  45. In doing the Moments Of Truth exercise, we have seen a lot of different ways that we can make the club experience the best possible for our members. All in all, let's remember a few basics… VARIETY: demonstrated in different types of meetings themes, interclub, and social meetings. Meet at someone’s house, a different venue etc. the same meeting format week after week can feel like a chore. Strong clubs introduce variety to keep meetings fun and light. FUN: people join TM to “learn in moments of enjoyment”. Strong clubs have fun meetings that fulfill education objectives. The atmosphere is exciting , enjoyable and inviting. We can still have fun in a well structured environment!! TIME LIMITS: when time limits are enforced, it is amazing how much a club can pack into a single meeting without going overtime. The best clubs start and end exactly on time and follow a strict, fast-paced schedule. This builds enthusiasm and teaches valuable meeting management skills. MANUAL SPEECHES: CC, CL, and Advanced Communication series are designed to provide education (the primary purpose of TM) in a logical format. Strong clubs encourage members to give speeches from the manuals and promote evaluations based on project objectives. Each meeting should have at least three manual speeches.
  46. Club Events: There are many things that happen during the year that you want to include in your program to take full advantage Membership drives and Open Houses. Do them often, do them early in the year so your new members can take advantage of the whole program, early in the year. Who knows, they may be your next CC!! Elections; on various levels: at club level, annual or semi-annual terms, but also at the (Proxies) at district conference and at International Convention (remember that you (presidents and VPE) are voting members of the district council. Therefore, the district needs you or your representative (in which case that reap will need a proxy) to the district conference. Officer Installation: once you have elected your new officer, invite your Area Governor to come and conduct an Officer Installation Induction of New Members: as soon as they join your club. Make them feel welcome, feel special. Make it a celebration! Contests: are a fantastic way to hear other Toastmasters, to better your skills, to have fun at club, area, division and of course the grand finale at the district conference. Visit at all levels, volunteer for roles at all levels!
  47. As club officer, it is important to keep your club mission at the forefront of everything you do. In doing so, and in following the program that TI offers, and in always asking yourself: “how can we improve our club experience” (using the MOT from time to time), you will provide the best possible opportunities for your club members to want to benefit from what the club has to offer. You will also provide them opportunities for growth in their skills and self-confidence. Giving everyone in your club opportunities to develop into a leader. As you strive to reach those goals, remember to enjoy the journey and the fellowship you develop along the way
