Closing out Work Orders: Three Steps
1) Work Order must be marked as “Work Completed” in Yardi.
a. On the Yardi homepage, click the “Pending Work Orders” tab in the middle of
the page.
i. Scroll throughthe listand searchby Work OrderNo.(found inthe top right
corner of the papercopy).
ii. Clickon the Work OrderNo.to open,foundonthe left-handcolumn
iii. Clickthe “Edit” buttonfoundinthe middle of the page,thenchange the status
box to “Work Completed.”
b. Add maintenance specialist’s notes in the “Technician Notes” box at the bottom
of the page.
c. On the “Labor” tab in the middle of the page, enter maintenance specialist’s
username for our records.
i. Scott: swooden
ii. Everest:chrivoel
(Note:Heathis technically the groundskeeper,so if hecompletesa workorder
you’llsimply haveto add hisnamein the“Technician Notes”box).
d. Maintenance gets graded on how fast these get completed, so the faster they
are cleared the better!
i. HELPFUL HINT:When moving fromoneworkorderto another,it can be a hassle
going backto the Yardi HomePageand scrolling to find yournextone.Instead,
use thewhite box in the top right-hand cornerof theYardi screen to typein and
search for thenext workorderby Work Order No.Then justclick anywhere,and
the newone will appear!
2) Contact Resident
a. Log in to Customer Texting at: http://www.airtexting.com/index.php
i. CustomerID:cla1
ii. User ID: Leasing Specialist First Name
iii. Password:Leasing Specialist Last Name
b. Use one of the following scripts:
i. “Hi, [FirstName]!Maintenance has[replaced/fixed/serviced]your
[refrigerator/A/Cunit/etc.]!Letusknow if problemspersist,andhave agreat
day!”
ii. “Hey,[FirstName]!We [replaced/fixed/serviced] your[refrigerator/A/C
unit/etc.].Iseverythingtoyoursatisfaction?”
iii. “Hello,[FirstName]!We [replaced/fixed/serviced]your[refrigerator/A/C
unit/etc.].Letusknow if youneedanythingelse!”
3) File in Rental Manager’s Office
a. Each and every apartment has its own small section in the RM’s black filing
cabinets, and each section has a folder for each tenant, as well as a folder for
work orders. Place completed work orders WITH maintenance initial or signature
and notes in its corresponding folder.
