Preferred Names for Corporate Bodies

1. Corporate body and corporate name
 Corporate body refers to an organization or group of
persons and/or organizations that is identified by a
particular name and that acts, or may act as a unit.
Examples include associations, institutions, non-profit
enterprises, governments, etc.
 Corporate names are the names for corporate
bodies.
2. Preferred name and preferred source
 The preferred name is the commonly known form of
the name; The forms found in preferred sources are
assumed to be the commonly known form
 The RDA glossary defines the preferred name for the
corporate body as: the name or form of name
chosen as the basis for the authorized access point
representing that body.

3. Capitalization and transcription - A
 Refer to RDA Appendix A 2

 For names with unusual capitalization, follow the
capitalization of the commonly known form

3. Capitalization and transcription - B
 Diacritical marks: record them as they appear; add
them if it is certain that they are integral to the name
but were omitted in the source. E.g., Éliphas Lévi
 Hyphens: Retain if used by the body
 Space of initials: do not add space between initials

4. Initial articles
 Omit initial articles unless the name is to be accessed
under the article

5. Different forms of the name
 Choose the name on the preferred source if
variant forms of the name are found in
resources associated with the body
 Choose the name that is presented formally
as the preferred name if variant names
appear in the preferred source of
information

6. Multiple languages
 If the name appears in different languages,
choose the form in the official language of the
body as the preferred name.

 If a corporate body changes its name. Use the
earlier form with resources associated with it; and
the later form with resources associated with it.
 Loft, inc. => Pepsi-Cola Company =>
PepsiCo, inc.

 Direct name: record the name directly unless its
name belongs to any type listed under RDA
11.2.2.14.

 Subordinate name: record the name subordinately
if the name meets the criteria listed under RDA
11.2.2.14.

for the identification of the subordinate body]

Not: Honolulu (Hawaii). Committee on Aging
Subordinate name – RDA 11.2.2.14.3
 Corporate name that is general in nature (e.g.,
contains neither distinctive proper nouns or
adjectives, nor subject words) or that simply
indicates a geographic, chronological, or
numbered or lettered subdivision of a parent
body.

Subordinate name – RDA 11.2.2.14.4
 Corporate name that does not convey the idea of a
corporate body and does not contain the name of the
higher body
Name: Science, Technology, and Business
British Library. Science, Technology, and Business
Subordinate name -- 11.2.2.14.5
 Corporate name of university faculty, school,
college, institute, laboratory, etc., that simply
indicates a particular field of study
Name: College of Medicine
Syracuse University. College of Medicine
Subordinate name -- 11.2.2.14.6
 Corporate name of non-governmental body that
includes the entire name of the higher or related body
Name: Annual Meeting of the International Whaling
Commission

Direct name or subordinate name
 In case of doubt about whether the corporate body is
subordinate or whether it falls within the scope of a
specific instruction, record the name of the body
directly

RDA 11.13.1.4 -- Associated Institution
Add the name of an associated institution
 if needed to distinguish one access point from
another
 if the institution's name is commonly associated
with the name of the corporate body.
 Optional: if the addition assists in the identification
of the body.

9. Consistency in dPanther
We could search dPanther before inputting
names
If the name already existed in dPanther, it’s
better to use it unless:
It’s different from the authorized access point
It’s not recorded appropriately and you
prefer a different form of preferred name
In the above cases, the best practice is to notify
dPanther manager to update the name and
prevent duplicate names in dPanther

Corporate body and corporate name  Corporate body refers to an organization or group of persons and/or organizations that is identified by a particular name and that acts, or may act as a unit. Examples include associations, institutions, non-profit enterprises, governments, etc.  Corporate names are the names for corporate bodies.
  • 4. 2. Preferred name and preferred source  The preferred name is the commonly known form of the name; The forms found in preferred sources are assumed to be the commonly known form  The RDA glossary defines the preferred name for the corporate body as: the name or form of name chosen as the basis for the authorized access point representing that body. National Gallery of Art (U.S.)
  • 5. 3. Capitalization and transcription - A  Refer to RDA Appendix A 2 Global Water for Sustainability Program  For names with unusual capitalization, follow the capitalization of the commonly known form eBay (Firm)
  • 6. 3. Capitalization and transcription - B  Diacritical marks: record them as they appear; add them if it is certain that they are integral to the name but were omitted in the source. Different forms of the name  Choose the name on the preferred source if variant forms of the name are found in resources associated with the body  Choose the name that is presented formally as the preferred name if variant names appear in the preferred source of information  Giersch Engineering Company  Not: Giersch Engineering Co 8
  • 9. 6. Multiple languages  If the name appears in different languages, choose the form in the official language of the body as the preferred name. Comité français de la danse not French Committee of the Dance 9

  • 13. Subordinate name -- RDA 11.2.2.14.1  Corporate name that implies it is part of another (e.g., Department, Division, Section , Branch) Name: Department of History Florida International University. Department of Education
  • 14. Subordinate name – RDA 11.2.2.14.2  Corporate name that implies administrative subordination (e.g., Committee, Commission) Canada. Subordinate name – RDA 11.2.2.14.3  Corporate name that is general in nature (e.g., contains neither distinctive proper nouns or adjectives, nor subject words) or that simply indicates a geographic, chronological, or numbered or lettered subdivision of a parent body. Name: Research Institute American Dental Association.   • 16. Subordinate name – RDA 11.2.2.14.4  Corporate name that does not convey the idea of a corporate body and does not contain the name of the higher body Name: Science, Technology, and Business British Library. Science, Technology, and Business
  • 17. Subordinate name -- 11.2.2.14.5  Corporate name of university faculty, school, college, institute, laboratory, etc., that simply indicates a particular field of study Name: College of Medicine Syracuse University. College of Medicine
  • 18. Subordinate name -- 11.2.2.14.6  Corporate name of non-governmental body that includes the entire name of the higher or related body Name: Annual Meeting of the International Whaling Commission International Whaling Commission. Annual Meeting
  • 19. Direct name or subordinate name  In case of doubt about whether the corporate body is subordinate or whether it falls within the scope of a specific instruction, record the name of the body directly Name: National Portrait Gallery National Portrait Gallery (Australia) not Australia. RDA 11.13.1.4 -- Associated Institution Add the name of an associated institution  if needed to distinguish one access point from another  if the institution's name is commonly associated with the name of the corporate body.  Optional: if the addition assists in the identification of the body. Global Water for Sustainability Program (Florida International University)

Consistency in dPanther We could search dPanther before inputting names If the name already existed in dPanther, it’s better to use it unless: It’s different from the authorized access point It’s not recorded appropriately and you prefer a different form of preferred name In the above cases, the best practice is to notify dPanther manager to update the name and prevent duplicate names in dPanther
