We will assist with every step of the meeting planning process, from confidential site searches to contract review and more.  HPN places over 200 meetings per month throughout the country and we pass this buying power to our clients. HPN guarantees no out of pocket cost to you and there are no contracts to sign.  We are paid a placement fee by the hotels chosen.   Unlike similar services, HPN offers a more consultative approach to doing business, with service and value being top priorities.  We take our knowledge and carefully chosen vendor relationships and utilize them to maximize your overall meeting experience.
Services Site Searches We conduct extensive national, confidential hotel searches, multiple cities if needed,  gathering details of hotels that fit your needs and returning the results in days. We utilize National Sales departments last, not first, and search large chains as well as independent locations to ensure a thorough overview of the properties available. Rate negotiations We negotiate on your behalf the lowest possible rate utilizing our volume purchasing power and knowledge of the industry. Site tours Arrangements   If you plan to visit the properties prior to making a decision, we will make all the necessary arrangements and prepare your itinerary. Contract Review We review all contracts to ensure proper verbiage, comps, upgrades, discounts and “extras” are included.  We establish meeting requirements, breakouts, set-up times and meeting room names are included in the contract.  We review attrition and cancellation and cut off date commitments to minimize your financial exposure. We ensure appropriate concessions are included such as complimentary rooms, upgrades, discounts on F&B and various extras.
The Process The process begins with learning the details of your meeting; Location preference, number of rooms, meeting space requirements, recreation requirements and so on… HPN’s Purchasing Department will then conduct a “confidential” site search, meaning hotels will not have your contact information until you want them to, so you won’t receive time consuming phone calls from hotels.   The results of this search will be compiled into an easy to read, 2-page availability report with basics about each property that fits your needs in each location you have chosen.  The report will reflect each property’s rates, website address, F&B cost, taxes and more.  You will receive this report in approximately 24 to 72 hours. Once you have narrowed the list down to the top few choices, I will then go back to those properties to negotiate a best rate possible, including upgrades, comps and more. If you plan to visit the top few properties, I will arrange a tour and produce an itinerary for your trip. Once you have decided on a property, I will have a contract executed, inclusive of any criteria or addendums you require.  I will review it for accuracy and make sure it’s mutually fair, checking key points such as cut-off dates, comps, upgrades, meeting space and more.  I will then send it to you for your approval.
Benefits No commitment.  There are no contracts or agreements for you to sign.  Our assistance is in good faith and you can discontinue at any point. No out of pocket cost to you for our services, we are paid a placement fee by hotels chosen. Time savings. HPN will search any market, or multiple cities, and return the results in approximately 24 to 72 hours. This eliminates the time consuming calls, e-mails and mailers resulting from calling hotels directly.  If the city or dates change, we conduct a new search. Rate savings.  We will negotiate the best rates available due to the volume of meetings we place and knowledge of the hotel industry. Reduced contract exposure to your company.  We carefully review every hotel contract in order to revise any provision that may be ambiguous or biased toward the hotel thus exposing your company to undue damages.  Increased productivity.  Using HPN reduces your workload in planning your program while still allowing you full control in placing the program.
