Possible Issues in almost every Project !!!
These slides are designed for presentation purpose only
• Only 15% project become successful
• Over 30% canceled before completion
Due to lack of project
management practice
 Better control of financial, physical, and
human resources
 Improved customer relations
 Shorter development times
 Higher quality and increased reliability
 Higher profit margins
 Better internal coordination
 Higher worker morale (less stress)
How Project Management helps the organization ?
Use Project Management Methodology
60% Successful
These slides are designed for presentation purpose only
 Use an integrated project management toolbox (use standard/advanced PM
tools and lots of templates)
 Grow project leaders, emphasizing business and soft skills
 Develop a streamlined project delivery process
 Measure project health using metrics, like customer satisfaction or return on
investment

project activities to meet project requirements”
 Identify Requirements
 Identify Various Needs & Concerns
 Balancing Project Constraints

Project Challenges?
- Objectives not defined properly
- Insufficient planning & coordination of resources
- Poor estimation of duration & costing
- Incomplete, unrealistic & outdated project plans
- Lack of communication
- Poor commitment to the project by the team
- Weak control process
- Lack of risk analysis
- Lack of good quality control

failure?
1. Objectives not properly defined
2. Insufficient planning & coordination of resources
3. Poor estimation of duration & budget
4. Use of a consistent methodology

Organization
 What is an Organization?
- A social unit of people, systematically structured and managed
to meet a need or to pursue collective goals on a continuing
basis.
 What is Organizational Structure?
- It is a framework within which an organization arranges it’s
lines of authorities and communications and allocates rights &
duties.
 Examples?
- Functional, Projectized, Matrix etc.
These slides are designed for presentation purpose only
Organizational Structure: Functional
 Functional organizations are made up of units or division based on the types of business
and their associated responsibility.

Project Management Institute, A Guide to the Project Management Body of Knowledge(PMBOK guide) Fifth Edition, Project Management Institute,Inc 2015 Page 22
Organizational Structure: Projectized
These slides are designed for presentation purpose only
 Weak matrix structures map closely to a functional structure
 Project team may come from different departments, but the project manager reports directly to a
specific functional manager
Project Management Institute, A Guide to the Project Management Body of Knowledge(PMBOK guide) Fifth Edition, Project Management Institute,Inc 2015 Page 22
Organizational Structure: Weak Matrix
These slides are designed for presentation purpose only
 A balanced matrix structure has many of the same attributes as a weak matrix, but the project
manager has more time and power regarding the project
 A balanced matrix has time-accountability issues for all the project team members since their
functional managers will want reports on their time spent on the object

Organizational Structure: Balanced Matrix
These slides are designed for presentation purpose only
 In a strong matrix organization, many of the same attributes for the project team exists, but the
project manager gains the power and time when it comes to project work
 The Project team may also have more time available for the project even though they may come
from different departments

Includes:
 Budgeting
 Scheduling
 Baseline preparation
 Resourcing
 Milestone list
 Resource calendar preparation
 Risk register preparation

Budgeting: Tools & Techniques
 Analogous Estimating
- Uses the values of parameters, such as scope, cost, budget, and duration or measures of scale such
as size, weight and complexity from previous similar project as the basis for estimating the same
parameter or measure for a current project
- Generally used when limited amount of detailed information about the project
 Parametric Estimating
- Uses a statistical relationship between historical data and other variables (square footage in
construction) to calculate an estimate activity parameters, such as cost, budget and duration
 Bottom-up Estimating
- Involves estimating the cost of individual work packages or individual schedule activities with the
greatest level of specified detail
 Three Point Estimates:
 Cm—Most likely
 Co—Optimistic
 Cp—Pessimistic
 Expected Cost: Ce = (Co + 4Cm + Cp)/6
 Reserve Analysis:
- Contingency reserves are cost estimates to account for cost uncertainty

STRUCTURE
Project Time Baseline: Tools & Techniques

Work Breakdown Structure (WBS)
 It’s the process of subdividing project deliverables and project work
into smaller, more manageable components.
 Involves deliverable oriented hierarchical decomposition of the work
to be executed by project teams to accomplish project objectives.
 Each descending level represents an increasing detailed definition
of project work.
 Lower levels are known as “work packages”, which defines work that
can be scheduled, cost estimated, monitored and controlled.
These slides are designed for presentation purpose only
Applications of Work Breakdown Structure
1. Scope control mechanism
2. Communication tool
3. Helps prevent omission of products and services
4. Helps assign responsibilities
5. Used as the basis of activity lists
6. Provides structure and coding system for integration of costs,
schedule, contracts (control points known as Control Account
is used for the same)
7. Facilitates the use of Project Management software.
Use “templates” for similar projects

looking at the deviations and recommending corrective
actions

Scope creep Project charter, WBS
Changing deliverables Project charter, Triple constraint analysis
Poor communication Communication plan
 Scope creep
- Also called requirement creep, function creep and feature creep.
- In project management refers to uncontrolled changes or continuous growth in a
project's scope.
- This can occur when the scope of a project is not properly defined, documented,
or controlled. It is generally considered harmful.
