prefers to finish his tasks on time and ahead of deadlines. He expects this of
all his subordinates.
One of his newly joined subordinates, Vaibhav has his own pace of doing
things. But gets them done eventually.
One day Rakesh receives a mail from one of their top dealers complaining
about Vaibhav’s work stating that he has been delaying in sending product
stocks to the dealership, Failed to provide updates regarding products
updates, and has a slow turnaround time on tasks. This in turn has slowed
things down for the dealer making it hard to keep up with sales.
Rakesh pacifies the dealer by saying that he will check on this and address this
issue immediately.
Rakesh realizes that Vaibhav needs help in being organized and needs to
understand the purpose of his work.
How can Rakesh help Vaibhav set goals with his work that makes him be

WORK IN ORDER
Ramesh is the supervisor of the manufacturing company TCR
Limited.
Ramesh’s typical day involves doing rounds in the unit, conducting
team meetings, ensure timelines are being followed, address
production issues, communicating with assisting departments and
units, monitoring safety protocols, guiding and helping employees
achieve optimal output and manage his work – creating reports,
attending supervisors meetings, answering emails etc.
You could say that Ramesh has a busy day. But Ramesh is not an
organized person. He does things in no particular order and does
not time his work properly.
WORK IN ORDER
Ramesh would conduct team meetings right when employees are
at their busiest, addresses production issues during the
employee’s tasks, Does reports at times he prefers rather than a
fixed slot. Due to which, Ramesh falls behind on his tasks and
ends up working beyond work hours at times.
On top of this, Ramesh does not know how to handle any
unexpected work that comes up – sudden meetings with
management, employee issues (Quarrels, production errors).
How can you help Ramesh become organized in his work and
achieve efficiency?

TIME IN
WORK Karan is a Executive in the Broadband Services division of
“DDR” Communications Karan is responsible for ensuring that
the broadband installation is done within the regulated time that
is 5 hours.
Ahmed run a dealership where he sells DDR’s broadband
services as well. Now Ahmed is responsible for sending the
technician for the installation in the field. But Karan always
receives at least one complaint per month from a customer
stating that installation has been delayed
Karan, in his interactions with Ahmed repeatedly tells him the
importance of providing installation within the said time of 5 hours
and not to delay it further as it reflects on the organisation.
Ahmed gets defensive every time and tells Karan that he is doing
his job perfectly and that the customer is at fault.
TIME IN
WORK A few days later, Karan receives several customer complaints
within a week saying that the installation is being delayed
beyond the 5 hours at times the installation happens only the
next day.
Karan’s boss is notified of this and demands Karan to rectify
this immediately or Karan will have to face serious
consequences.
Karan realises that he needs to communicate very clearly and
strictly but knows that Ahmed will not listen to him. But Karan
has no choice but to address this immediately or risk being
reprimanded.
But how can Karan be successful in his conversation
TIME IMPACTS WORK
INTERNAL
Work processes get delayed.
Creates team conflicts.
Quality and quantity of
work reduces.
Affects the overall timelines.
EXTERNAL
Does not create a good
impression.
Customer retention becomes
difficult.
More time spent on engaging
a customer.
Affects work culture.
How’s your energy flow ?
ACTIVITY: Mapping your energy
• Mark your energy levels right from when you wake up to when you go back
to bed
• Label each hourly block with the following features:
• Charging
• On Fire
• At 70%
• Distracted
• Tired
• Hungry
• Dragging
• Unsure
• On Break
TIME ENERGY TIME ENERGY
6.00 A.M – 7.00 A.M Charging 2.00 P.M – 3.00 P.M Distracted
7.00 A.M – 8.00 A.M 3.00 P.M – 4.00 P.M Unsure
8.00 A.M – 9.00 A.M 4.00 P.M – 5.00 P.M
9.00 A.M – 10.00 A.M On Fire 5.00 P.M – 6.00 P.M Dragging
10.00 A.M – 11.00 A.M On Fire 6.00 P.M – 7.00 P.M
11.00 A.M – 12.00 P.M 7.00 P.M – 8.00 P.M
12.00 P.M – 1.00 P.M Hungry 8.00 P.M – 9.00 P.M Tired
1.00 P.M – 2.00 P.M On Break 9.00 P.M – 10.00 P.M
Discuss These points and Map them
At which time do I get into the zone?
At which time are you most distracted?
When is it the best time to take a break?
Do I have more unsure energy levels ?
Once you've created your map, you'll be able to see distinct patterns and know when to schedule important tasks.Your
low-energy times can be used to schedule tasks which don't require high levels of concentration.

TIME
MANAGEMENT
How should you
manage your time
to achieve your
goal?
Time Management
Matrix
1. The Urgent/Important matrix
2. Set a schedule
3. Maintain a ‘To-Do’ tracker
When time is limited and demands are seemingly
unlimited.
Prioritization helps you to allocate your time where it's
most-needed and most wisely spent, freeing you and
your team up from less important tasks that can be
attended to later.
THE LOTTERY
TICKET
• Tell the participants that they have won “1 Crore” in a
lottery ticket.
• Tell the participants to write down what will they do with
the money – Spend it or Save it, How will they prioritize
what to do first
• After 5 mins tell the participants that the lottery money
has been reduced to “50 Lakhs”. Ask them what changes
will they make to their original plan.
• After 5 mins tell the participants that the lottery money
has been reduced to “20 lakhs”
• Ask them how will they further revise their plan and
Case Study
Janani, a talented senior representative with an eye for details
has been working long hours per week since recently. But her
productivity seems to be the same. You keep assigning her tasks
and she seems to fall behind on finishing them.
Upon careful observation you have noticed that Janani has been
lagging behind on daily tasks, she has been taking on other’s
tasks when she should be focusing on hers.
As a result of this Janani is playing catch up instead of focusing
on new tasks that will help in her growth. You are also not able
to allocate further tasks because of this.
How will you address this issue with Janani and help her
understand prioritisation ?
Case Study
It is Monday morning. You reach your office at 9:30 am. In your mind
you have mentally planned your schedule. You are in full control of your
day – or so you think!
While browsing through your mails, you find an email form your
Manager marked Urgent. On reading the mail you realize that there is a
sudden client requirement where you have to create and send 40
reports before 4 pm.
Based on your experience, you know that each report takes at least 45
mins to be made.
What will you do?
Case Study
Kannan is the Team lead of Sales and Marketing at GVT
Enterprises. He always plans his week in advance using a
scheduling calendar fitting in meetings, calls, reports, team
check ins and filing work.
But Kannan feels stressed when any unplanned tasks or
activities show up. He feels that it messes up the entire schedule
and he usually ends up finishing the tasks at the last minute.
Kannan believes that performing these tasks is compromising
the quality of work as he cannot spend the planned time on his
tasks.
Kannan approaches his manager Deepan and says that he feels
that these unplanned tasks are a burden on his time and he feels
that if these tasks were not allotted to him, he could focus and
produce high quality work on his tasks.
Now as his manager Deepan has to make him understand that
unplanned tasks are part of the job.
How can you help Kannan realize this and offer advice on being
prepared for unplanned tasks ?
