The e-mail system must include a 3rd party supplier, such as Proofpoint, to filter
out all organization e-mails. The Proofpoint server will filter all organization email
messages according to set principles and criteria. E-mail correspondence with
patient health data whether in the body or an attachment may be obstructed. This
will be only effective when accompanied by a web filtering product such as
Websense. All e-mail services apart from the hospitals must be obstructed. This
will avoid staff from using their hotmail or yahoo e-mail accounts to transmit patient
health data. As these e-mail systems are outside of the hospital their content
material can’t be checked and may simply be obstructed from accessibility.
