Stakeholders:
As we seek to identify our stakeholders, we need to look at
other individuals that will provide input into the project as we
progress. These people may or may not become project team
members, but are likely to provide significant contributions.
After a quick phone call to Dr. Arnold (Technology), Dr.
Gordon (Engineering), and Dr. Maxwell (Math), you have the
names of staff members that will be able to help with the
coordination of moving the staff members in each department.
For Technology, our contact will be Dr. Joel Smith. There are 7
staff members, including the department chair, 38 full-time
faculty, and 15 adjunct or part-time faculty.
For Engineering, Juanita Sandoval will be the point of contact.
There are 5 staff members, including the department chair, 22
full-time faculty, and 10 adjunct or part-time faculty.
Finally, for Math, Dr. Chin Lee will be our point of contact.
There are 5 staff members, including the department chair, 18
full-time faculty, and 12 adjunct or part-time faculty.
Can you think of any other stakeholders that we did not think
of?
Communication Requirements:
Dr. Patterson has requested monthly meeting updates on the
status of the project until 60 days before the move. Then,
meetings should occur weekly. All meetings with Dr. Patterson
need to be face-to-face.
It has been suggested that the overall project team, including
representatives from each department will meet every other
week until 60 days before the move. Then, the project team will
meet weekly. These meetings will be set-up to accommodate
both face-to-face and Skype for Business. Many stakeholders
have agreed to attend meetings if a virtual option was available.
Meetings with The IT and Facilities project teams will be
managed and occur on their schedule.
In addition to meetings, regular project status updates will be
delivered each week via email to all key stakeholders. These
updates will follow a standard template format.
Assignment Instructions:
Analyze your stakeholders and prepare a stakeholder
management plan. Begin a communications management plan.
Develop a stakeholder management plan as follows:
Complete all section of the Stakeholder-Management Strategy
template including the Introduction, Identify Stakeholders, Key
Stakeholders, and Stakeholder Analysis sections. Remember to
remove all advertising, instructional, and example text from the
template before submitting the assignment.
Begin the communications management plan as follows:
Complete the Introduction, Communications Management
Approach, Stakeholder Communications Requirements, Roles,
Team Directory (make-up email and phone numbers), and
Communications Matrix of the Communications-Management
Plan template. Other sections of this template will be completed
later. Remember to remove all advertising, instructional, and
example text from the template before submitting the
assignment.
