Sections 38, 39 of the Building and Fire Safety Regulation (BFSR) 2008 requires that evacuation coordination instructions be given to the Evacuation Coordinator and other persons responsible for carrying out the evacuation procedures every year and within 1 month of any changes to the procedures or personnel. If a new occupant starts to occupy a building, the new occupant must, within two months, give evacuation coordination instructions to the evacuation coordinator. (Section 40 of BFSR 2008)Section 45 of BFSR 2008 requires that evacuation coordination instructions must be retained and available on request.Section 104E of Fire and Rescue Service Act 1990 requires that the occupier of a building must provide adequate instructions to prescribed persons in the building concerning the action to be taken by them in the event of fire threatening the building.Other Challenges:Difficult to monitor and enforce warden trainingOften training due dates have elapsed without no one knowingNo visibility on exceptions and complianceWarden leaves, but no replacement is madeMany pitfalls with manual record keeping and tracking using spread sheets
Have better visibility:Status of WardensWhether training is valid or has lapsedBy Floor/Location/BuildingAllocated Wardens by Floor/LocationList of all wardens and training datesProduce Exception reports on demandCreate your own dashboard to monitor your KPIs
Manage and track all your wardens from:Allocation – assign warden type and locationInduction – Section 39 of BFSR 2008 requires that the evacuation coordination instructions to the warden be given 1 month before the person becomes a warden.Training & Assessment – automatic or manual notification of training due dates. Will mark as exception if due date has elapsed.Termination – Validate warden status via email and allow warden to de-register from warden list.View their Evacuation Coordination training & assessment records
Automatically Schedule or manually notify warden of training due datesNotify on:1 month before due dateUpon elapse of training due dateValidate Status of warden via email. They can click on a link to de-register from the warden list.. This de-registration event will also notify the chief warden or any nominated person so a new warden can be assigned in place. Valid wardens must also click on the link to confirm their status. If no confirmation is received, then it will be assumed that the warden no longer exist within the company, and this will be included in the exception reports.
