Executive summary
Decision making is the integral part of functioning any organization. Managers need to take
right decision at the right time to bridge the gap between need and expectation. To facilitate
better flow of information Management Information Systems (MIS) need to be generated.
Thus it is important to have an understanding about MIS followed in an organization by all
levels of management in order to take effective decisions.
A management information system collects and processes data (information) and provides
managers that information at all levels who use it for decision making, planning, program
implementation, and control. The MIS has many roles to perform like the decision support
role, the performance monitoring role and the functional support role.
The objective of the study is to analyze the Management Information System of Meditrust
Limited. In order to make the report more meaningful and presentable the report is based on
two sources of data and information called primary and secondary sources of data. The whole
report is divided into four parts. First part is the introduction part which includes- objectives,
methodology, scope, limitations of the study, second part consists of organizational overview,
Mission & Vision of Meditrust Limited. Departments, Products, Business Unites, and SWOT
analysis also describe in this part.
In the third chapter the basic about Management Information System is discussed. It includes;
Concepts of Management Information System, Definition of MIS, Introduction of different
kinds of Information system, Roles of MIS, Benefits of MIS, Types of MIS, Challenges and
problems of MIS & MIS practices in Bangladesh. The last part includes discussions, analysis,

Introduction

1.1 Origin of the Report
Management Information Systems is a significant issue now. To increase the work
situation better it is now using MIS in all divisions of the organization. Management
Information Systems refers generally to a computer-based system that provide managers
tools for organizing, evaluating their department professionally. In order to provide past
& present information, MIS can comprise software that helps in decision making, it also
comprises data property, hardware resources of a system, choice support systems, people
management and project management applications, and any computerized processes that
allow the department to run in a systematic manner.
1.2 Background of the Study
This report has been prepared as a requirement to complete MBA program. I am very
glad for getting the opportunity to accomplish my practical training in the Meditrust
Limited. The topic has been duly approved by my honorable supervisor, Mr Mahbub
Parvez. The reason behind choosing this topic is to know about the Management
Information System of Meditrust Limited. This Internship report therefore shows how
much the Meditrust Limited use the Management Information System to operate their
business.

This internship report mainly analyzed the Management Information System of Meditrust
Limited‖. This report consists of the writer’s explanation and on the job experiences
during the internship period at Meditrust Limited. The study may be supportive for
students those are involved to create a carrier in this sector and for the related persons or
organization.
1.4 Objectives of the Study
The main objective of the study is to analyze the Management Information System of
Meditrust Limited.

in a systematic manner. To write the report MS word is used. MS excel is used to show
diagram and analysis. Finally report is prepared according to the guide line provided by
the university.
1.6 Limitations of the Study
I have faced some limitations while preparing this report which is listed as follows:
Due to the secrecy and confidentiality company didn’t disclose all information.
I was not assigned for a specific task in each day. So, I was not able to appreciate the
organization behavior properly.
Large scale involvement was not possible due to constraints and restrictions imposed
by the organization.

disposables and in-turn attain their goal to provide improved and quality health care for
everybody.

From the opening of its birth, the companies tried to provide the public the best medical
care by provided that the best medical tools.

They are continually trying to develop their efficiency in their business operations as a
method to increase production. For such they are continually challenging their salespeople
to develop on their closing ratio. Additionally, they are trying to execute a new logistic
process to reduce their delivery moment of medical equipment’s.

In this study, business unit is consider where information is generated. The Chief
Executive Officer of Meditrust Limited is Managing Director (MD). Under MD there are
8 General Managers (GM). There are about thirty (30) sections/subsections under nine
GMs. The names of division and sections i.e. business units are following:

Manager (Accounts and Finance):

Meditrust Limited has an extremely strong service engineer team consists of mechanical,
EEE, CSE. They are ready to resolve any difficulty in the machine. There are 07
specialized engineers and a division of technician provides 24 hours servicing. Meditrust
Limited is the first company who provided service by their own engineering section.
Project engineer team:
Today room renovation and healthcare communications is mandatory for set up medical
equipments. An emission of these machines incidence is so high for this reason at least
room renovation is a must. Philips has an expert Project management team consist of civil

From time to time Meditrust Limited can’t able to sell their own accessories. For
maintaining low combo price Meditrust Limited provide third party accessories.

Import cost is comparatively high for the reason that Meditrust Limited manufacture
machine in Netherland and in USA. Then import these products. Freight cost is relatively
elevated.
OPPORTUNITIES
Demand in Government medicals:
Government now takes the project of up gradation of Nuclear Medicine machineries. It’s
a big market for earn revenue.

Radiation is at the present a matter of great research. It’s causes cancer. So prevention is
now a subject of Healthcare companies. Now a healthcare equipment manufacturer
company has isolated project team. Project team firstly builds safe construction. So these
special construction contracts help to earn additional revenues.

New entrance of Meditrust Limited can significantly affect on the market share.
Vulnerable market situation:
Healthcare industry is a very little industry in our country. Here the market share in hand
any time would be lost or any time would be gained.

3.1Management Information System
MIS stands for management information system, which we define as the development and
use of information system that help businesses attain their goals and objective. This
definition has 3 keys elements: growth and use, information system, and business goals
and objectives.
A system is a group of constituent that interacts to achieve some purpose, an information
system is a group of constituent that interacts to produce information. A copy of the
machinery of an information system: Computer hardware, software, data, procedures and
people.
3.2 Definition of (MIS)
Different definitions of (MIS) management information systems are obtainable and some
of them are as: ―Management information systems is a complete human-machine system
given that the underneath information of decision and procedure in a social configuration
and organization. (Kefalas & Charles, 1975).
Management information systems (MIS) is the complete arrangement of database and
information flow in all the organization levels that by compilation, exchange and
presentation of information, the organization wants are met as well (Long , 1989 ).

3.3 Introduction of different kinds of information systems
As it was mentioned, the information systems are one of the appropriate gears of the
organizations and by these tools to achieve the goals and growing the competence, they
are used. There are different kinds of information systems and they are used in various
position in the organization. There are a range of attitudes in formative different
information systems and their categorization but in the majority of the classifications, the
followings are practical:

Two major roles are played by the decision making of the managers. First it helps the
managers to take assessment based on the information being ready. 2

information System is the tool that as the organizational information source provides the
necessary information of the managers and create them prepared for their decision

Due to the benefits of Management information MIS, for the reason that of the close
relation, precise con troll and dependable data collection and rapid data dispensation and
convert them to information, the managers use the MIS in planning, organizing,
leadership and motivation, reporting and control and the management is done by high
accuracy and efficiency within short time in the organization. To do the management
behavior, a mediator as the manager of MIS is essential to give the services improved for
the management. The management information system (MIS) helps by 2 major habits in
problem solving: An information source is provided in organization area and helps the

Management information system is a broad term that incorporates many particular
systems. The main types of systems incorporate the following:
1. Executive Information System (EIS):
Senior management uses an EIS to create decisions that involve the entire
organization. Executives need top-level data with the capability to drill downward as
essential.
2. Marketing Information System:
Marketing teams use Marketing Information System to report on the efficiency of past
and existing campaigns and use the lessons educated to plan future campaigns.
3. Business Intelligence System:
Operations use a Business Intelligence System to create business decisions based on
the compilation, integration, and analysis of the collected data and information. This
system is similar to EIS, other than both poorer level managers and executives use it.
4. CRM:
A CRM Customer Relationship Management System provisions key information
about consumers, counting previous sales, contact information, and sales
opportunities. Marketing, consumer service, sales, and business development teams
frequently use CRM.
5. Sales Force Automation System:
A particular constituent of a CRM system that automates many tasks that a sales team
performs. It can include contact management, lead tracking and age group, and order
management.
6. Knowledge Management System:
Consumer service can use a KM system to reply questions and troubleshoot problems.
7. Financial Accounting System:
This MIS is specific to section dealing with finances and accounting, such as accounts
payable and accounts receivable.

Manufacturing companies use Supply Chain Management System to track the flow of

3.7 Challenges and problems of MIS:
If all the obtainable barriers are divided into humanistic, organizational and
environmental factors, the main drawbacks and the causes of failure and using MIS in
public organizations are as following:

 Lack of information of the managers and users as they don’t know accurately
what they desire and what their information wants are.
 Lack of information of the managers and users about the teamwork method with
the designer team.
 The lack of contribution of the managers and users in system design

 Lack of good situation for contribution and collaboration of the managers, users
and system directors.
 Lack of constancy and complexity of the existing manual systems.
 Lack of existing systems and methods analysis previous to the system design.
 Lack of evaluation of the existing supremacy.
 Bad situation of educating the particular forces.

 Lack of excellence criterion of the existing information systems in Meditrust Ltd.
 Lack of appropriate consultants for designing the system and software.
 Lack of dealings and methodology and stages of making the system.
 Lack of evaluation of environmental aspects in MIS.
 Lack of appropriate use of mass media to expand the civilization of using
computer and information systems.

3.8 MIS practices in Bangladesh
The current situation of MIS practices in Bangladesh is developed day by day. Each
department not only private but also govt. organizations are trying to practice MIS system
in their behavior. Some of the companies have advanced too far. These include Bank,
Telephone operator, University, Organization, Hospital etc. Some MIS practices in
Bangladesh are decorated below –
1. Now hospitals receptionist can provide all the information about patient within a
minute due to keeping database system .
2. Many section of Bangladesh govt. have already introduced MIS systems of their
activities.
3. Banking systems are now totally changing due to internet. All the transactions can
be possible through electronic means. Account holder can withdraw or deposit
money to ATM booth without going to bank.
4. Electricity bill can be provided through mobile phone .
5. Mobile phone is used to purchase advance train ticket .
6. Varsity admission form and admission result can be known via mobile
telecommunication service.
7. All the leading companies are used internet based system to recruit their staff.

4.0 Discussion
The results are obtainable in peace with the three sub-analyses. The 1

sub-analysis
focused on the necessities of healthcare managers for a Health Information Systems
(HIS). The 2
nd
sub-analysis highlight on interpreting organizational and work processes
in relative to the HIS. The 3
rd
sub-analysis focused on designing a management
information system structure for Meditrust Limited.
4.1 The requirements of healthcare managers for an HIS
Hospital management articulated its intention to use a Health Information Systems (HIS)
to give power to patients while maintaining control of resource utilization. Thus, the
planned Health Information Systems (HIS) was estimated to encourage a greater overall
responsiveness of cost effectiveness with respect to the services provided by various units
of the hospital. The major threat noted was that of a disparity among the system and the
existing organizational culture, in which it was easy to identify and reward staff who
handled emergencies. As a result, some of the employees appeared to oppose a new way
of transmitting information all through the various levels of the organization.
The goals of the practical units (i.e. clinic management) highlights on patients and the
introduction of management based on co-determination. Although management received
patient empowerment and cost efficiency as the major objectives, they thought it was
significant that employees be allowed to create their own organizational decision.
Management required to see a new approach to measuring the behavior of their
organizational unit. In order to attain these goals, they sought a way to define the data that
is essential to making a reliable estimation.
Managing the healthcare process, the objectives of a Health Information Systems (HIS)
centered on rising and maintaining specific clinical capability by ornamental support for
decision-making and collaboration on the part of care providers. Although all the process
managers decided that sharing information and awareness was important to humanizing
the decision-making process, they were ignorant of resource competition issues.
However, the preservation of information was not always deliberate. Due to limited
resources and full schedules, process managers were frequently unable to share their skill
with other people.

4.2 Interpretation of organizational and work processes in relation to
HIS
Work behavior included:
(1) Co-ordination of information exchange management;
(2) Care, including documentation of the care provided and the follow that had
evolved at the clinic;
(3) Supply, including patient support and psychosocial support. The work procedures
of the variety of activities were often connected to and dependent on every other.
Coordination activities were oriented toward management of the wards and the clinic. The
activities focused on co-coordinating various types of information in arrange to support
the care attempt. External co-ordination is related to the exchange of information among
the pediatric clinic and other care units. This coordination continual after the patients had
been discharged from the clinic. Thus, the coordination of external resources and inter-
organizational association was essential to the management of the clinic. Patient co-
ordination started before a patient was admitted to institutional care. There were two
reason for such approaches. At 1

the amount of time that patients stayed at the wards
proved luxurious for the healthcare organization. Thus, such approaches saved currency.

, these approaches improved the association among care providers and caretakers,
assuming that patients and their families were kept well knowledgeable. Internal co-
ordination was related to management and preparation activities at the clinic and the
wards. Such behavior were linked to outside and patient adroitness, given that providers
wanted to cooperate with other units and patients in order to manage ward mind.
Care activities were underpinned by what had been agreed upon during the harmonization
of work behavior and the in order that was to be used by various co-ordination
procedures. Care stipulation involved medical and nursing care performs by physicians,
nurses and pediatric nurses. Care activities were out of order down between the various
professions. But care was regard as cooperation from the point of view of the patients.

Meditrust Limited is facing significantly to implement computerization systems every
business unit for proper continuation, operation and quality control, all technical data
safeguarding, all equipments and machineries and others inventory planning and
information of process parameter Meditrust Limited.
Therefore, Meditrust Limited. needs to study in every working area of Meditrust Limited.;
examine the require of computer in various divisions & sections of Meditrust Limited. A
guideline may be made purchase computer, printer & other necessary related spare parts.
Meditrust Limited. needs to communicate BCIC as well as the whole world through
Internet. Thus, the communication system of Meditrust Limited. Will be speedy
convenient & obtainable for all Internet connection. Meditrust Limited. Needs to
commune properly with process licensors & vendors. Inter sectional and divisional
information, i.e. all business unit of the company is not sufficient to correspond
immediately for good decision. It is difficult to purchase spare parts or other necessary
part of equipments through manual/ traditional system. The spare parts are needed to
obtain correctly and timely to meet the need of plants. In this condition, Meditrust
Limited needs to plan computerization as well as MIS to face the need of factory in right
time.

4.5 Management information system model for process-oriented
healthcare
The region council officially required that hospital management monitor and report on
service manufacture with regard to quality and cost. As a result, hospital management
wanted data about resource utilization and healthcare quality from the hospital
organization, beside with information systems that could support methods such as Total
Quality Management and Balanced Scorecard. To monitor costs and quality, hospital
management wanted data from the practical units after formative what needed to be
collect.
The focal point of process management was rising and maintaining a high level of quality
in the medical and nursing care process. The process unit was accountable for
certification and quality control operations. Process management wanted directives from
the purposeful management unit about together data collection templates and quality for
medical and nursing care. Process management generated in order about medical and
nursing quality data for functional unit management. Best practice guiding principle and
decision support protocols for clinical practitioners were concerned in the clinical process.
The Health information systems request necessary by process management was a service
quality manage system that could remove data from and carry decision making for
medical and nursing care.
Practical unit management comprise managers at together the clinic and ward levels.

lead to personnel downsizing. Early on detection of equipment scratch and accurate fault
diagnosis can be used operators to locate and darn problems fast, thus permitting well-
organized use of available resources. Existing monitoring systems are designed of plants
of Meditrust Limited, detecting serious damage to put off the machine from disastrous,
costly failures. Thus, Management information systems focus as monitoring the most
necessary parts and functions of Meditrust Limited to make online monitoring affordable
for each compressor, turbine, tools and each business section. Rather a few options for
relay alarm message are LAN, E-mail, Fax, Pager, Voice message etc. & Control systems.
Design of a modern online monitoring system consists of dissimilar areas i.e. the
explosion-proof zone, the switch room and the maintenance office.
The interface Unite and server are installed in the switch area. The server captures the
data from the equipment; the PLC and the control system perform diagnosis of the

4.7 Problems Identified:
After analyzing the Management Information System of Meditrust, the following
problems are identified:
 Lack of system integration after a level. Still there is need of paper work and
manual intervention when reordering is required. System cannot be configured to
reorder automatically.
 Legacy Network Support. Backbone network used by Meditrust is still the same.
They haven’t upgraded the network support.
 Lack of training to managers to effectively use the decision support functionalities
of the system.
 There are Twenty (20) computers for data entry & Eighteen programmable logic
controllers (PLC) to control plant in the Meditrust Limited, which is not sufficient
compared to the work load.
 Lack of awareness about the necessity of practices of Management information
systems (MIS).

4.8 Recommendations
The following recommendations are suggested:
 It is essential to provide computers in every business unit of Meditrust Limited for
quality service.
 Every business section is required to connect with networking system (NT).
 The organization should create good quality infrastructural capability to adopt
changing position.
 On the job training is required to successfully run the process.
 It is required to make the company Paper –Less.
 The company should start Web-Based ordering and selling process to meet the
current demand.
 Network plays a vital role to run any process in effective manner. Company may
concentrate on this issue to make use of their MIS system more productive.


Management information system is an organized method of given that past, present, and
projected information connected to internal operations and external aptitude. It supports
the planning, control and prepared function of an organization in the good time frame to
assist the decision making process. A Management Information system can provide any
organization with important information at professionally and effectively. It can provide
the preferred information in the proper form, to proper people and at a correct time. Thus,
the management of Meditrust Limited may take proper initiative to implement
Management information systems. The recommendation made in a study may make
possible better decision for growing productivity of the company. This paper is an
idea/motivation for completion a management information system in Meditrust Limited.
So, Meditrust Limited needs rapid implementation MIS to meet national/global demand
with the help of knowledgeable and skilled employees.

  • 6. Executive summary Decision making is the integral part of functioning any organization. Managers need to take right decision at the right time to bridge the gap between need and expectation. To facilitate better flow of information Management Information Systems (MIS) need to be generated. Thus it is important to have an understanding about MIS followed in an organization by all levels of management in order to take effective decisions. A management information system collects and processes data (information) and provides managers that information at all levels who use it for decision making, planning, program implementation, and control. The MIS has many roles to perform like the decision support role, the performance monitoring role and the functional support role. The objective of the study is to analyze the Management Information System of Meditrust Limited. In order to make the report more meaningful and presentable the report is based on two sources of data and information called primary and secondary sources of data. The whole report is divided into four parts.   • 10. 1.1 Origin of the Report Management Information Systems is a significant issue now. To increase the work situation better it is now using MIS in all divisions of the organization. Management Information Systems refers generally to a computer-based system that provide managers tools for organizing, evaluating their department professionally. In order to provide past & present information, MIS can comprise software that helps in decision making, it also comprises data property, hardware resources of a system, choice support systems, people management and project management applications, and any computerized processes that allow the department to run in a systematic manner. 1.2 Background of the Study This report has been prepared as a requirement to complete MBA program. I am very glad for getting the opportunity to accomplish my practical training in the Meditrust Limited. The topic has been duly approved by my honorable supervisor, Mr Mahbub Parvez. Finally report is prepared according to the guide line provided by the university. 1.6 Limitations of the Study I have faced some limitations while preparing this report which is listed as follows: Due to the secrecy and confidentiality company didn’t disclose all information. I was not assigned for a specific task in each day. So, I was not able to appreciate the organization behavior properly. Large scale involvement was not possible due to constraints and restrictions imposed by the organization. 4

A copy of the machinery of an information system: Computer hardware, software, data, procedures and people. 3.2 Definition of (MIS) Different definitions of (MIS) management information systems are obtainable and some of them are as: ―Management information systems is a complete human-machine system given that the underneath information of decision and procedure in a social configuration and organization. (Kefalas & Charles, 1975). Management information systems (MIS) is the complete arrangement of database and information flow in all the organization levels that by compilation, exchange and presentation of information, the organization wants are met as well (Long , 1989 ). 16

It means that Management information System is the tool that as the organizational information source provides the necessary information of the managers and create them prepared for their decision making. Many section of Bangladesh govt. have already introduced MIS systems of their activities. 3. Banking systems are now totally changing due to internet. All the transactions can be possible through electronic means. Account holder can withdraw or deposit money to ATM booth without going to bank. 4. Electricity bill can be provided through mobile phone . 5. Mobile phone is used to purchase advance train ticket . 6. Thus, the planned Health Information Systems (HIS) was estimated to encourage a greater overall responsiveness of cost effectiveness with respect to the services provided by various units of the hospital. The major threat noted was that of a disparity among the system and the existing organizational culture, in which it was easy to identify and reward staff who handled emergencies. As a result, some of the employees appeared to oppose a new way of transmitting information all through the various levels of the organization. The goals of the practical units (i.e. clinic management) highlights on patients and the introduction of management based on co-determination. Although management received patient empowerment and cost efficiency as the major objectives, they thought it was significant that employees be allowed to create their own organizational decision. Management required to see a new approach to measuring the behavior of their organizational unit. In order to attain these goals, they sought a way to define the data that is essential to making a reliable estimation. Managing the healthcare process, the objectives of a Health Information Systems (HIS) centered on rising and maintaining specific clinical capability by ornamental support for decision-making and collaboration on the part of care providers. Although all the process managers decided that sharing information and awareness was important to humanizing the decision-making process, they were ignorant of resource competition issues. They haven’t upgraded the network support.  Lack of training to managers to effectively use the decision support functionalities of the system.  There are Twenty (20) computers for data entry & Eighteen programmable logic controllers (PLC) to control plant in the Meditrust Limited, which is not sufficient compared to the work load.  Lack of awareness about the necessity of practices of Management information systems (MIS). 28
