EDITING TECHNIQUES FOR REPORT
WRITERS

Introduction
Any writing activity is never complete until
editing is done. Effective communication
requires vigorous editing of document.
What is editing?
It is revising written material for publication
and presentation to the consumer or
audience.

• Why edit?
• To remove readability problems
• Create clarity as opposed to ambiguity
• To create cohesion or unity
• Eliminate libel
• Effective placement of words
• Eliminate subjectivity as opposed to
objectivity

Levels of editing
Global issues(macro level)
General organization
check: cover page, back page,
preliminaries, if all headings and
subheadings are there
This is very mechanical form of editing but
be careful when going through each part

• Micro-level editing
• Check for effectiveness in
communication
• Conciseness
• Clarity
• Completeness
• Correctness
• Sentence construction(length)
• paragraphing

Editing at the micro level
• Repetition --verbiage
• Use of persons
• Impersonal construction—passive
constructions
• Tenses
• Use of articles/prepositions etc
• Cliché
• Jargon
• Inconsistencies

Editing at the micro level
• If conversant with proofreaders symbols,
use them.
• This is the most vigorous and
complex/trick stage in document quality
control but there is no option to it.
Sometimes if the document is of a highly
formal nature one requires to consult a
professional editor.

  • 2. Introduction Any writing activity is never complete until editing is done. Effective communication requires vigorous editing of document. What is editing? It is revising written material for publication and presentation to the consumer or audience. 2
  • 3. • Why edit? • To remove readability problems • Create clarity as opposed to ambiguity • To create cohesion or unity • Eliminate libel • Effective placement of words • Eliminate subjectivity as opposed to objectivity 3
  • 4. Levels of editing Global issues(macro level) General organization check: cover page, back page, preliminaries, if all headings and subheadings are there This is very mechanical form of editing but be careful when going through each part 4
  • 5. Levels of editing • Micro-level editing • Check for effectiveness in communication • Conciseness • Clarity • Completeness • Correctness • Sentence construction(length) • paragraphing 5
  • 6. Editing at the micro level • Repetition --verbiage • Use of persons • Impersonal construction—passive constructions • Tenses • Use of articles/prepositions etc • Cliché • Jargon • Inconsistencies 6
  • 7. Editing at the micro level • If conversant with proofreaders symbols, use them. • This is the most vigorous and complex/trick stage in document quality control but there is no option to it. Sometimes if the document is of a highly formal nature one requires to consult a professional editor. 7
