Designation : Document Controller.
With the following duties:
 Prepare submissions to the Consultant and monitor their response to be distributed by turn to the
concerned parties.
 Track all engineering documents (including drawings, calculations, materials, RFIs etc...) on the
projects.
 Confer with document originators or engineering liaison personnel to resolve discrepancies and
compile required changes to documents.
 Post changes to computerized or manual control records, release documents, and notify affected
departments. Maintain related files. Prepare requests for reproduction of documents if needed.
 Examine documents to verify completeness and accuracy of data.
 Ensure that documents have all the correct signatures showing that they have been checked, that they
are then issued to the appropriate person at the client organization, that a register is kept showing
what documents have been issued and at which revision, that copies of them are filed for reference,
that they are eventually archived for the required period.
 Identify and solve routine problems related to submissions to Consultant, Sub-contractors, and
Suppliers etc...
 Register and file incoming documents from all engineering organizations.
 Prepare monthly & weekly follow up reports and memorandums.
 Handle the tasks of scanning and indexing documents and manuals into the electronic filing systems.
 Uploading, registering and distributing all in-coming Mails/Documents/Drawings through the
Document Control Management System.
 Communicate effectively and positively with document originators, users and project/client staff
 Regarding document status, retrieval and any other requests as maybe assigned by the DC Lead.
