  3. 3. SWOT Analysis<br />A SWOT is the examination of the internal strengths (S), weaknesses (W), external opportunities (O), and threats (T) affecting an organization. We used this Analysis to determine the recommendations for the Community Legal Center.<br />

SWOT - Strengths<br />Fulltime executive director<br />Relationships with Educational Institutions around the greater Memphis Area creates advantages for the CLC <br />Spanish Speaker on staff<br />Administrative Asst – computer literate, licensed attorney<br />CLC has a database that organizes data presently<br />The database can be easily upgraded<br />Updated systems and programs are available Microsoft Access<br />CLC has their own network (internet accessibility)<br />Five network based computer systems on site<br />Present processes are being shared amongst employees and volunteers<br />The CLC has a dedicated outside line.<br />CLC operations is housed inside of MIFA<br />

SWOT - Weaknesses<br />No process for updating and maintaining database.<br />No specific person or persons upgrading and maintaining database<br />Presently CLC is experiencing employment turnover<br />Phone system shared with MIFA<br />Present phone system cannot be upgraded (hardware)<br />MIFA’s answering service phone tree cannot be upgraded<br />Cumbersome answering service process to leave message<br />Gathering of statistical data is done manually. <br />No accounting software for grant tracking <br />Multiple databases for CLC’s daily operation and grant tracking information <br />The CLC is ready to improvement within their knowledge management system <br />

SWOT – Opportunities<br />The CLC’s present database can be easily upgraded.<br />Pending finances there are many different databases to service the needs of the CLC. <br />Present knowledge management system can be upgraded<br />Better efficiency in grant tracking capabilities could enhance the CLC<br />CLC upgrading technologies could catalyst for growth<br />More people are utilizing the services of the CLC<br />Phone system shared with MIFA<br />Spanish Speaker on staff<br />

SWOT – Threats<br />Dropped calls within present phone system<br />Phone system shared with MIFA<br />Complication of statistical data is done manually. <br />Limited resources prohibit phone system hardware upgrade<br />Increased demand of service on present database<br />Computer Literacy of staff and clients<br />Immigration Law changes<br />CLC staff expected to do with less<br />Phone system shared with MIFA<br />. <br />
  8. 8. Recommendations<br />After speaking the executive director of the CLC and researching through various methods the team determined there were three obstacles which prevented the CLC to be more efficient and effective with its knowledge management system. <br />

Next Steps<br />CLC’s potential before Upgrading<br />Hire a new Administrative Assistant with some computer literacy.<br />Develop a specific process for intake, upgrade, and maintenance of present or future databases<br />Check with Microsoft for solutions within Access to deliver the much needed reports for grant performance.<br />

Next Steps<br />When CLC is ready to Upgrade <br />Make a decision regarding CLC ability to upgrade their present database to consider three recommended databases within this report.<br />Check with MIFA to verify if there are any restrictions for upgrading of the recommended phone systems within this report.<br />
