2. Overview
The Winter 2018 semester Senior Showcase, On the Road to Success, provided
82 seniors to display their final projects for Comm 499. These projects included: video
production, journalism, advocacy, public relations, advertising and visual design.
Approximately 700 visitors roamed the hallway of the I-center, exploring and learning from
the seniors.

Theme:
The theme was chosen on January 17 during our first meeting.
Keynote:
Neal Larson was chosen as the Senior Showcase Keynote Speaker. Neal Larson is a talk show
host for KID News Radio on the Neal Larson show. Brother Hicks chose a topic and invited
Neal Larson to speak in February via email. Neal Larson was given a gift and thank you card
after his speech.
Preparation:
As a team, we met three times a week- twice as a team, once as a team with our client
(Brother Cannon). During our meetings we discussed each person’s project (i.e. contacting
those in charge of equipment) and our progress in those topics.
Throughout the week we stayed in contact via text message to make sure each team
member had all the information.
As the event got closer, we organized our volunteers, visited classes to advertise and finalized
our contacts (i.e. making sure our security guards would be there).
Day off:
Set-up began at 6:00 AM. Tables were set up, table clothes were placed on each table, and
labels were organized and laid out.
Senior set-up began at 7:00 AM. Seniors had a window between 7:00-9:00 AM to set up their
displays. During this time, parking was free and electronic equipment was available to check
out.
Luncheon with Neal Larson began at noon. The events team and communication teachers
got together and enjoyed lunch together.
3. Keynote began at 2:00 PM. Neal Larson spoke until 2:40 PM and had ten minutes for Q&A. At
2:50 PM, seniors and students were invited to Showcase.
The showcase began at 3:30 PM. Food was out, programs were on tables and ready to be
passed out, seniors were at their stations, and judges were walking around. The showcase
was open to the public from 3:30-5:30 PM. The seniors began tearing down their displays at
5:30 PM and the events team began cleaning up.
Improvements:
Have clients lay everything on the table first thing. What they want, what they don’t want,
what they will do, what they expect the team to do

They took too long to get us what we wanted and took a large portion of our budget ($150)
4. Our Vision
Help seniors enjoy their presentations:
Create a happy and positive environment so the Seniors feel comfortable presenting their
projects
Have a large turnout with an audience that interacts with the Seniors

6. What if Situations
Seniors not showing up.
Set up is 7:00-9:00 AM. If their table partner does not show up by then we can
have their table partner spread out their display to avoid awkward gaps, and
cross them out on the layout map.
Unregistered seniors showing up for the event.
We will provide extra booths for them to use. They will need to provide for their
own equipment. And if other seniors don’t show up the unregistered ones can
take their place.
Power-outage in the I-Center.
Inform seniors to have unpowered backups to show their presentations. We will
wait to see if the backup generator will come on. If not, we can have seniors
move to the MC.
Video, audio, or Wifi difficulties.
Tell seniors to save their presentation to their laptop so it can be shown without
any Wifi.
Running out of refreshments.
We will buy sufficient for 450 people, with the portions already laid out to control
intake. If our budget is small, we will not get drinks as there are drinking foun-
tains in the I-Center.
What if mentors cannot find the seniors?
Create a layout map with the booths numbered on the map, as well as have a
number and name of the student on the table.

As the Equipment Manager for the Winter 2018 Senior Showcase, I was in charge of contact-
ing event services to make sure everything that was needed was reserved and would be
ready to go on the day of, assigning the seniors equipment, assigning the seniors to specific
tables (separated by emphasis), and the check-in/check-out of equipment the day of.
