2. FACILITIES & ARRANGEMENTS REQUIRED
CAMPUS CENTER & EVENT SERVICES: For your information and action
1. SPECIAL EVENT MANAGER: For your information and action
a. Please read this event summary and be knowledgeable of all parts of this event for
which you are scheduled to work. Please be prepared to meet the client and ensure that
their needs are met. Please ensure that the services requested are provided as described
in this event summary.
b. The client will provide a staff of volunteers to help manage the usher responsibilities for
all guests attending and to ensure that we do not exceed seating capacity during this
event
c. Work with the client to move the rope and stanchion into place (3C)
d. Move a black folding wall to the Servery. Use it to block off the Servery so that
performers cannot go past Sandra's desk.
2. The SET-UP REQUIREMENTS for the ITHACA FALLS ROOM are as follows:
a. Please place all tables and chairs around the exterior of the room.
b. Display a "RESERVED" sign outside of the room.
c. Please provide two coat racks in the room.
3. The SET-UP REQUIREMENTS for the NORTH FORYER and the NORTH ENTRANCE are as
follows:
a. Display, “One World Concert – Emerson Suites – 7:00 pm” on the LCD screens in the
North Foyer and North Entrance
b. Remove the soft green furniture from the North Foyer. This can be stored in the Campus
Center Lobby.
c. Place all of our rope and stanchion near the LCD screen in the North Foyer. The Special
Event Manager and client will move this into place.
4. The SET-UP REQUIREMENTS for the EMERSON SUITES are as follows:
a. Please set up an 18’ x 16’ x 24” stage with stairs on both sides on the south wall of Suite
B.
b. Set up a 24’ x 20’ dance floor in front of the stage.
c. Set up pipe and drape in front of the south entrance of Emerson Suite C for the
performers to enter into the suites from the back hallway.
d. Set up chairs lecture-style around the stage (facing the stage). Please set as many as
will fit comfortably in the room and in accordance with all codes.
e. Please have this room set by 1:00 pm.
5. The SET-UP REQUIREMENTS for the EMERSON LOUNGE for the Concert are as follows:
a. Please set up 2- 6’ tables with four chairs at the entrance to the Emerson Lounge.
6. The PRODUCTION REQUIREMENTS for the EMERSON SUITES are as follows:
a. Please provide the audiovisual requirements as outlined by the guide that I have
provided to Paul Galgoczy. The client will deliver the necessary sound tracks to Paul
Galgoczy’s office no later than Tuesday, October 21.
3. b. Set the house lights at the level requested by the client. Specific cues will be provided
by the client.
c. Provide an experienced technician(s) to meet with the client and performers from 4:00
pm – 6:00 pm for sound checks and rehearsal.
d. Hang the 20 full-sized embassy flags provided by the client on the south wall. The
client will deliver the flags to Paul Galgoczy’s office no later than Tuesday, October 21.
DINING SERVICES: For your information and action
1.The performers for this event will use Ithaca Falls Room as the green room. They will need to
access the Emerson Suites and back hallway through the Servery. If the Servery is not being used,
the Special Event Manager will place a black folding wall near Sandra’s desk to prevent the
performers from entering the main area of the Servery.
FACILITIES: For your information and action
1. Please be certain that all of these facilities are clean and ready for use prior to each event.
2. Lower the temperature in the Emerson Suites by five degrees starting at 6:00 pm. The
temperature may return to normal settings after 11:00 pm.

1. Please carefully review all sections of this document. Only the arrangements and services
specifically stated in this event summary will be provided.
1. If changes need to be made (including catering, set up, audio-visual services, etc.) please
contact our office at 274-3313 no later than Monday, October 20, 2014 with the necessary
information. Please do not provide this information via voice-mail or e-mail since the timing of
receiving this information is critical for our planning and preparation. We may not be able to
accommodate changes after the date stated above.
1. As per our discussions, you will have your volunteer staff manage the line and usher
responsibilities for seating and crowd control. The Special Event Manager(s) will be available to
assist with this and ensure that room capacity regulations are not exceeded.
1. Deliver the 20 full-sized embassy flags and the performers’ sound tracks to Paul Galgoczy’s
office no later than Tuesday, October 21.
