9:00 – 10:00 am Dance floor set up by IC Unbound Emerson Suites

FACILITIES & ARRANGEMENTS REQUIRED
CAMPUS CENTER & EVENT SERVICES: For your information and action
1. SPECIAL EVENT MANAGER: For your information and action
a. Please read this event summary and be knowledgeable of all parts of this event for which you
are scheduled to work. Please be prepared to meet the client and ensure that their needs are
met. Please ensure that the services requested are provided as described in this event
summary.
b. When you arrive at 8pm, please open the North and West entrances to the Campus Center to
allow the IC Unbound team to enter. The CCOM will unlock the remainder of the building at
10am.
2. The SET-UP REQUIREMENTS for the NORTH FOYER and NORTH ENTRANCE are as
follows:
a. Please display the IC Unbound logo that was provided to you on the LCD screen in the North
Foyer and in the North Entrance
3. The SET-UP REQUIREMENTS for the EMERSON LOUNGE are as follows:
a. Please set two 6’ tables with four chairs at the west end of the lounge near the big elevator for
ticket sales.
b. Please set rope and stanchion at the west end of the lounge near the big elevator. The client
will rearrange.
4. The SET-UP REQUIREMENTS for EMERSON SUITES on Friday, December 5 are as follows:
(see diagram)
a. Please set a 30’ x 24’ x 24” stage 9’ off the east wall of Emerson C. It is extremely important
that the dimensions of this stage are correct, and that it is exactly centered and exactly 9’ off
of the east wall.
b. Please set three sections of pipe & drape to run from the back corners of the AV speaker
risers to the north and south exit doors of Emerson C to provide a backstage area for the
dancers.
c. Please set pipe and drape along the north and south edges of the stage. (The drape is set up
on the floor next to the stage.) Put a break in both sides of the pipe and drape in line with
stairs. The drape needs to run the full depth (24’) on both the north and south sides of the
stage.
d. Please set a 4’ x 8’ x 16” facility riser on both the north & south sides of the stage for the
CCES AV crew’s speakers.
e. It is crucial that this set up is complete on Friday, December 5 so that the sound and lighting
can be set up for the dancers who arrive early the next morning.
f. Please set a 12’ x 8’ x 8” facility riser platform centered 10’ off the west Emerson A wall. Set
two 6’ tables on this riser.
5. The SET-UP REQUIREMENTS for the for the EMERSON SUITES on Saturday, December 6
are as follows:
a. Schedule a crew to set the following at 11:00 am on Saturday, December 6th.
b. Please set 400 chairs lecture style in front of the stage, facing east, with a middle and a cross
aisle. It is important that these chairs are not set up until 11:00am on Saturday, December 5th,
as AV will need to utilize the open floor space for the Genie to adjust the lighting in the Suites.
c. Please straighten the back hallway and put all the equipment back where it belongs.
d. Please leave four racks of chairs in the Emerson A alcoves.
e. Please straighten the North Foyer and Emerson Lounge.
6. The SET-UP REQUIREMENTS for the KLINGENSTEIN LOUNGE on Saturday, December 6
are as follows:
a. Please display, “RESERVED” on the LCD screen outside of the lounge.
b. Please set a folding wall to block the view into the room.
c. Using the remaining folding walls, set a 10’ x 10’ private dressing area in the north east corner
of the room.
d. Please lower all window drapes in the room.
e. Please move the remaining furniture to the exterior of the room along the north, south, east,
and west walls.
7. The PRODUCTION REQUIREMENTS for the EMERSON SUITES are as follows:
a. Please have a 16-channel mixer with the half concert system set up and controlled from
wherever necessary. We have provided a mix area along the west Emerson A wall.
b. Provide one wireless handheld microphone on a straight stand on the stage.
c. Provide multi-color stage lighting. Please light according to the client’s request based on their
tech sheets & conversation with TBD.
d. Provide three technicians for this event: backstage, sound, and lighting. The client will provide
a script with light and sound cues.
e. Hang the white curtain (provided by the client) along the east wall of Emerson C. Hang the top
of the curtain from the lighting grid. Secure the bottom of the curtain to the stage – behind the
stage. Please strike these at the conclusion of the 8:00 pm show.
f. Provide a radio with a head-set so the client and AV can communicate during the
performances.
g. The client will provide a CD for walk in music.
h. Please provide an audio feed for IC Unbound’s camera operator.
i. Please provide a 42’ flat screen monitor in the Klingenstein Lounge. Please provide an audio
& video feed from the camera to the monitor in the Klingenstein Lounge.
DINING SERVICES: For your information and action
1. There are no services required for this event
FACILITIES: For your information and action
1. Please be certain that all of these facilities are clean and ready for use prior to this event.
2. Please deliver 7 pieces of wheeled stage from your inventory, all 7 pieces of the
Unbound Dance Floor, and 1 coffin of pipe & drape to the back hallway of the Emerson
Suites by 8:00 pm on Friday, December 5, 2014.
3. Please remove all of this equipment on Sunday, December 7 after 12:00 noon.

1. Please be sure that the building is locked after this event is over at 11:00pm.
