Event Detailing <ul><li>Things to do prior to the event : - </li></ul><ul><ul><li>First of all confirmation mails are to be send to the proposed attendees. </li></ul></ul><ul><ul><li>Conformation mails are to be send on defined dates like: - </li></ul></ul><ul><ul><ul><li>1 st mail before 20 days of the event date. </li></ul></ul></ul><ul><ul><ul><li>2 nd mail before 15 days of the event date. </li></ul></ul></ul><ul><ul><ul><li>3 rd mail before 10 days of the event date. </li></ul></ul></ul><ul><ul><ul><li>4 th and last mail before 5 days which will also include a phone call. </li></ul></ul></ul><ul><ul><li>These mails will include details about the venue and also the timings of the event. </li></ul></ul>

At the point of registration following things will be provided: - </li></ul></ul><ul><ul><ul><li>Docket </li></ul></ul></ul><ul><ul><ul><li>A paper folder having branding of freescale. </li></ul></ul></ul><ul><ul><ul><li>Agenda. </li></ul></ul></ul><ul><ul><ul><li>Welcome letter from freescale. </li></ul></ul></ul><ul><ul><ul><li>Information & Guidelines. </li></ul></ul></ul><ul><ul><ul><li>Questionnaire from event company (to be submitted at the time of dinner). </li></ul></ul></ul><ul><ul><ul><li>It will also have a puzzle gift. </li></ul></ul></ul>

Event Detailing <ul><li>On the day of event(25/09/2007) : - </li></ul><ul><ul><li>The event will start at 8:00 AM with the registration of the candidates. </li></ul></ul><ul><ul><li>Parking facilities for the two-wheelers will be provided on the ground floor and for four-wheelers basement parking is utilised. </li></ul></ul><ul><ul><li>The ratio of persons for registering the attendees will be 4:100. </li></ul></ul><ul><ul><li>As the attendees getting register they will be directed towards the ‘The coffee shop’ where they will have their breakfast. </li></ul></ul><ul><ul><li>After having the breakfast they will be directed towards the conference room ‘ The chancery ’ where the presentation takes place. </li></ul></ul>
  16. 17. Event Detailing <ul><ul><li>The conference will start with welcome speech at 9:00 AM. This will be addressed by any top management employee. </li></ul></ul><ul><ul><li>The presentations will start after welcome speech and will go till 12:30 PM. </li></ul></ul><ul><ul><li>After the end of general sessions on the products and technology the attendees would be directed for the lunch as per the agenda. The dinner system will be buffet and sitting (round table type) both. </li></ul></ul><ul><ul><li>Lunch will also include the product demonstrations i.e. Technology Lab. </li></ul></ul><ul><ul><li>As per the agenda after the lunch they will again be directed towards the conference room for technical sessions. </li></ul></ul>

So following things will be kept by the event management team on the each chair of the attendees before the technical session will start: - </li></ul></ul><ul><ul><ul><li>Notepad. </li></ul></ul></ul><ul><ul><ul><li>Pencil. </li></ul></ul></ul><ul><ul><ul><li>Eraser. </li></ul></ul></ul><ul><ul><ul><li>Sharpener. </li></ul></ul></ul>

Event Detailing <ul><ul><li>During the technical sessions while giving the presentation it is proposed that presenter should raise some questions among the attendees so that it will create: - </li></ul></ul><ul><ul><ul><li>Enthusiasm. </li></ul></ul></ul><ul><ul><ul><li>Value addition to the knowledge of the attendees. </li></ul></ul></ul><ul><ul><ul><li>Active participation of the attendees. </li></ul></ul></ul><ul><ul><li>Each attendee will be rewarded by some small teaser gifts for telling the correct answers. The gifts will be like T-shirts, Day planner, paper weights, bags etc. having the freescale’s logo on it. </li></ul></ul>
  19. 20. Event Detailing <ul><ul><li>During the technical sessions attendees will have a refreshment session of 20 minutes. Refreshment will include cookies (two types), toast, tea and coffee. </li></ul></ul><ul><ul><li>After refreshment the attendees again have to attend the technical sessions and in last two videos will be shown to the attendees related to: - </li></ul></ul><ul><ul><ul><li>1 st will be the message from the CEO, which company will shoot and provide it to the event management company. </li></ul></ul></ul><ul><ul><ul><li>2 nd video will be the song having the video of showing the challenges. The work on song will depend on the approval of the contract. </li></ul></ul></ul>

Event Detailing <ul><ul><li>After the end of the technological sessions, attendees will be guided towards the lawn where they will have entertainment. </li></ul></ul><ul><ul><li>As they will reach the lawn there will be two reception counters. There will be 4 people on each counter from event management company for giving the gifts along with certificate of attending the Freescale Technology Forum 2007. </li></ul></ul><ul><ul><li>Certificate will be designed by the event company. The certificate is given to increase the importance the event and also it will add value to the effectiveness of the event. </li></ul></ul>

Event Detailing <ul><li>Structure of event evening and night (open lawn) : - </li></ul><ul><ul><li>As the people reach at lawn the mobile bar will get opened with snacks for the drinks. </li></ul></ul><ul><ul><li>For the entertainment of the attendees: - </li></ul></ul><ul><ul><ul><li>Singers can be contracted. </li></ul></ul></ul><ul><ul><li>The lawn will have round table seating plan. </li></ul></ul><ul><ul><li>Lawn will also include the graffiti board for writing the mottos by the attendees. </li></ul></ul><ul><ul><li>The stage in night will be small of dimensions of 6’x8’x1.5’ having backdrop at the back and brandings on the side of the stage. </li></ul></ul>

Event Detailing <ul><ul><li>Seating will be divided into two parts by 10ft isle which will have 5ft wide red carpet at the middle of the from stage to Bar (in front of the stage). </li></ul></ul><ul><ul><li>Products will be demonstrated on both of the sides. </li></ul></ul><ul><ul><li>Dinner will start at 8:30 PM. In between 8PM and 8:30PM Freescale can provide the awards to their best performers in different fields. </li></ul></ul>
