2. What is this toolkit for?
The purpose of this toolkit is to engage you in Surveys and Data collection process for
all events of NowWeMOVE campaign and to make you familiar with the idea of data
collection along the process of organizing an event.
The context
Conducting a survey and collecting data regarding your event is a process that takes place
before, during and after your event. All data and evidence-based information regarding
your events will be compiled with your help and valuable contribution. The result of your
efforts will be the evaluation and monitoring of your event and dissemination of main
findings that will represent the impact of your event in local community. Creating an event
is the core of your organization but evaluating an event is the result of your work and
activities which should be always part of your event planning.
3. Why data collection in sports?
Lately, there has been a good deal of interest in the use of statistics and data in sports
and physical activities. It’s not much of a surprise as sports communication channels
become every day more popular transmitting news and messages regarding sports
and physical activities developments.
Sports and Physical Activities Statistics lead in the development of youth-, sports - and
outdoor organizations membership and number of spectators to selected sports.
Taking all the aforementioned into account, we have to bear in mind that collecting
data and presenting key results and findings to the wide public should be among our
priorities that supports the overall strategy of NowWeMOVE campaign, including
events promotion and marketing, communications strategy, networking etc.
4. Main objectives
The overall objective of this guide is to learn a bit more about:
• Your profile
• Your organization
• Your motivations
• Your events/ activities
• The use of tools and resources for your event
• The brand support
• Event marketing and promotion
And because your feelings and thoughts matter to us, we want to know how satisfied you
are related to the event, about challenges you have faced and also receive your
reccommendations and comments on the campaign.
The analysis of all the information you will provide us with has a dual goal:
• Celebrate the big success of your event.
• Get people physically active and benefit from movement!

standards and quality of our events, we can make the
campaign more successful across Europe and bring
positive change in people’s lives.
6. A three-level approach for
surveys and data collection

Tools (surveys) are prepared and ready to be distributed to you and from you so that altogether
we achieve our goal: to get “100 million more Europeans active in sport and physical activity by
2020”.

“But what is a survey ”?, might one wonder. According to the Organisation for Economic Co-
operation and Development (OECD), a survey is an investigation about the characteristics of a
given population by means of collecting data from a sample of that population and estimating
their characteristics through the systematic use of statistical methodology. Or to put it simple,
any activity that collects or acquires statistical data.
7. Surveys for MOVE Agents and
participants
Both surveys are conducted with the use of questionnaires which contain clear and
concise questions related to your events, on one hand and participants’ profile, on the
other hand. Questions measure your and participants’ attributes and all of them are
indispensable to be answered.
Surveys are created and adapted to your needs and are ultimately carried out with the
aim to get your feedback and further develop the campaign.
In order to have a successful Survey and Data collection process, it is important to be
in contact with National Coordinators and participants/members and call on them in
case of queries or doubts.

8. Your involvement in data
collection process
5 PHASES to collect event-related data
• Register your event following information provided in event-related site
• You will receive two e-mails from National Coordinators which entails two separate
surveys that need to be filled out, preferably within two weeks after your event takes
place.
• Fill out the survey targeting you with all information that is requested and reply to
all questions bearing in mind that all your answers are seriously taking into account for
your event’s improvement.
• Send back the completed survey to National Coordinators by email.
• With reference to the survey targeting participants, the process will be more
simple as all you have to do is to motivate participants on the spot! Approach and
engage them in data collection process by filling out the survey questionnaire together
with the help of your computer/ tablet. It is a quick and easy process that will only
take a couple of minutes and ensures smooth data gathering.
9. Participants involvement in data
collection
• Participants need to register with an e-mail to take part in the survey so that we
could reach them and send them out reminder in case they did not respond and
provide a significant boost in response rates.
• Do remind participants that it is a short survey so that we get them take it and not
abandon the task.
• Make sure each of the questions is clearly stated and is focused on helping to meet
the stated objective.
• Remember that when it comes to online surveys, there is no prior relationship
with recipients, that is why your contribution now is highly needed and appreciated.
Creating a relationship with participants/ member is at this stage a crucial matter
which can be the basis of further cooperation.
10. Tips and hints for online
surveys
• Online survey is a very useful and practical tool that will provide us with clear,
reliable, actionable insight to inform our decision-making.
• Great online survey has higher response rates, higher quality data and is easy to fill
out.
• Use positive, action-focused language in promoting online survey to participants.
• Hold their interest for the whole survey.
• Keep participants honest .
• Let them know that all responses are handled with confidence and the respondents
anonymity is guaranteed when the survey results are presented.
• After monitoring and evaluation of projects and events, communicate the results
with participants. Make them a part of this campaign. And last but not least…
• Do not forget our vision and goal! We are doing this, because we truly believe that
MOVEMENT and MOVEMENT-related data have the power to change lives!
