System Usage Report
The system usage report is prepared after the use of the system. In the previous
report, we implement a new data storage system in the company’s accounting
department. The higher management and CEO of the company set some rules
and regulations about operational functions for the workers of the company.
Now the innovative structure is introduced in the accountant department. After
the implementation whole business transactions, data entries, payrolls, and other
verified documents are uploaded in cloud storage and data has been saved there.
In this report, we provide information about how the system works, either its
work efficiently or having some issues.
Analyse the Employees responses
The new system is introduced to the company. Cloud base data storage is
installed in the accounts department of the company. Only limited persons have
access to the system. Accounts manager and only limited members of staff have
used this. Whole accounting documentation shifted into the new system.
Now it’s time to analyse the employees working and other issues accrued due to
cloud base system. CEO of the company observed some problems faced by the
staff due to a new introduction.
Quality of work comparison
They compare the quality of work of employee’s in the old system and
after introducing a new system. They access that through total quality
management test and realized that there is a huge difference between the
performance and work efficiency of the employees. Quality of work
decreases they want to take more interest in the cloud-based data storage
system but that is totally opposite.
Lack of confidence among employees
Higher management observes that loss of confidence among workers.
Due to the inaccuracy of work and obscurity of new applications of
system employees are not much confident about their tasks and

assignments. Their productivity and quality of work decreasing due to
this they are in the confusing state. When workers feel confusions they
may less confident in their workings.
Less Understanding of System
They observed that the employees have no better understanding of the
system. They need more lucidity about the functions and procedures of
applications. It’s tough to handle tasks through a cloud system. Many
problems accrue due to misunderstanding of system knowledge. They
want more clarity and a proper understanding of the cloud base data
system.
More Complex system
They find some complexities in the system. Before that, they work on a
simple system or manual system but the cloud system has some complex
features and factors. It has many features and applications but staff faces
difficulties to understand the applications of different functions in the
cloud base system. It was very easy for them to accounting analysis and
data entry in the old system but now face many difficulties in the new
system.
Employees Productivity decreases
Employees are working on a new system. All the transactions and
statements are made on a cloud system, but higher management feels that
productivity is decreasing. That is all because of a new data storage
device. Employees took hours to perform a single task due to less
understanding of tools and applications in cloud storage. They are not
able to perform all the operations on cloud and many reports and
transactions are delayed due to the unfamiliarity of the system.
Solutions for issues
Employees face many issues in working on a new cloud base storage system.
These issues create a fussy environment in the company. All the employees face

tensions and stressed, their work progress is also affected. The management
panel decided some solutions to this problem.
Employees need motivation
Employees need the motivation to boost up their confidence. Due to less
understanding of new cloud system employees are very much discarded
and their work capacity is also decreased so they need motivation. CEO
should call them and manage a personal meeting with all employees and
boost up their morale through motivation
Employees need Training
Employees need training to a better understanding of cloud base storage
system. They want to know the whole application of the system. Training
will help them to clarify their issues about data storage. They can battery
apply all the tools and applications on data when they understand the
whole cloud storage structure. The company has to arrange a training
session for the relevant employees that they can comprehend the system
properly.
The system needs some modifications
A new cloud base storage system is quite complex employees are not
much educated to handle its functions properly. The system needs some
modifications in the new implementation storage medium. Most of the
features are very compound that the employees can’t perform those
applications on their tasks.
Video tutorials
For a good understanding of a new system the company has to launch
some video tutorial sessions through clear videos, employees can easily
understand the system and its usage. Whenever the employees are unable
to perform any task or feel any trouble sameness in the applications to
install staff can use these video tutorials for help and understand the full
steps of an application.

Engaged more employees
The new system is a complex system and the relevant employees need
more understanding about the system. If we engaged more employees
with the new system management the understanding of the cloud storage
data is clearer. Most of the employees should aware of the new
implementation. It will help the company productivity.
Communicating solutions
Communication is the key factor to solve any problem. If the workers and top
management have a communication gap then the identification of the problem
and its solution both are difficult to find. Many problems can be solved through
free and direct communication. At every step, they need to talk them want
guidance because new cloud base data storage system is new for them and it
will take time to understand and go through the whole system.
Contingency plans of the company
Contingency plan is very important to reduce further future
inconveniences. We can resolve many issues and fix those problems with
the help of plan. We can overcome the issues and inconvenience in the
future. Employees need a flexible system and organization. The new
system may create some issues between staff and higher management in
the future but a flexible system is cooperated with their staff and tries to
understand them and keep their opinions on their point of view.
Employees need training and counselling at each step. When a new plan
is implemented in the company employees are more nervous because
they are working smoothly with an old system and quite familiar with it.
But the new system needs some time to understand so the company has to
plan some future workshops and more training sessions. So that
employees can easily communicate about their issues relevant to the new
implementation plan or strategy. Give them a full chance to communicate
and resolve their problems and clarify their needs.
