EXPORT SERVICES
We provide comprehensive international air, ocean and multimodal forwarding services
to meet the different transit times, costs and services requirements of our customers.
Airfreight shipments are expedited to worldwide destinations on direct airline basis at
SSK airport via Johannesburg, RSA or as part of our regular consolidations, both ocean
shipments on a wide choice of conference and non conference carriers.
Through our net-work agencies, we offer several export branches through out Botswana
and South Africa covering the main commercial and industrial centers of the region. We
also provide a road bond facility for bonded consignments moving by trucks from South
Africa.
EXPORT DOCUMENTATION AND REQUIREMENTS
we will assist when ever possible in the preparation of all documents to speedily and
effectively move your shipments. At your request Customs clearance is available both at
origin and destination. Additionally, where documents have to be sent to the overseas

6. buyer, we can arrange this through a reputable courier service, thus enabling the
documents to reach the consignee in a timely fashion.
Provision by client; letter of instruction along with the supplier `s invoice and other
relevant documents, certain countries require certificates of origin and thus depending
upon the commodity, healthy and veterinary certificates.
IMPORTS SERVICES
We handle all import procedures in Botswana, including Customs Clearance for road,
air and ocean freight.
Following the decision of Customs & Excise to computerize formalities, we have moved
very fast on the track to computerize all our Customs brokering activities to permit the
expeditions, handling and processing of entries through Customs thus our in-house
Clearing agent Vin-Cathy Freight Services is on electronic Customs Clearing systems.
(DTI)
Various operational programs have been designed to offer customers quick response to
the status of their clearances as well as providing consolidated status report covering
activities from receipt of documents to delivery at the consignee `s door.
IMPORTS DOCUMENTATION AND REQUIREMENTS
We will expedite imports into the country by ensuring that correct documentation
accompanies each shipment.
OCEAN FREIGHT REQUIREMENTS

In case of all donations, Government and its respective Departments shipments – rebate
certificates are required to ensure Duty exemption and prompt release of goods through
Botswana Customs.
For pre-clearance, fax copies of the same are required to start the clearance process.

7. CARGO HANDLING AND FREIGHT FORWARDING/- SUMMARY
SWISS specializes in world wide movement of cargo, with no size or weight restrictions
and serves key industries including the aerospace, automotive, healthy care, electronics,
fashion, manufacturing industries and Government Parastatals & Departments, we can
design any business requirements by integrating any combination of our aforementioned
services.
SWISS act as an integrator of material and transportation management services and
information in order to provide best-in-class solutions for our clients. Our focus brings
practical industrial experience and hands-on management of our customer’s global
supply chain requirements.
SWISS can and shall supply all management, competent supervisors, labor, equipment,
facilities, consumable items, transport and each and every item of expense, necessary for
the provision of clearing and forwarding services to aviation industry, (hereafter
referred to as service)
SWISS shall be required to enter into an agreement with the aviation client for
transportation and clearing of all or some shipments.
We understand what is necessary to serve customers both as corporations and as
individual business entities, hence we avail and provide committed people, resources,
facilities, systems and moreover the experience necessary to meet the challenges of the
21st
century and beyond.
SWISS shall ensure that all incoming goods especially imported goods are cleared within
48 to 72hrs of arrival at the port of destination and shall be delivered to the final
destination within 12hrs thereafter.
SWISS recognizes the need to provide a reliable service, however transit times are
approximate and based on our experience of the market, Swiss freight will make every
attempt to meet the proposed transit times, however occasionally bad weather, technical
problems, non availability of documents & information or departure cancellations may
delay shipments, should this happen we will do our best to keep you informed of any
delay of any kind to your shipment.
SWISS would always consider it, an important part of the review process to monitor and
discuss our transit time performance.
Goods for shipping shall be packaged, packed and palletized properly before being
dispatched and all shipping documentation such as airway bill, bill of lading, packing
list and commercial invoices issued by the shipper to carrier, customs and consignee,
serving the purposes of identifying detail information of package count, product count,
measurement of each package, weight of each package and commercial invoice, etc…
shall be included with the shipment.

8. Should SWISS be successful in your preferred services provided, we will consider it a
high priority to meet with the respective aviation client; logistics staffs to ensure all
individual requirements and operational issues are addressed.
SWISS shall measure and weigh all consignments, before shipping and be able to give the
gross weight in kilograms of shipments, including the weight of moisture content,
wrappings, crates, boxes and containers.
The shipping shall be in accordance with Incortems 2002, maintained by the
international Chamber of Commerce to define which parties incur what costs and at
what specific points the costs are incurred.
SWISS provides insurance certificate to assure the consignee that insurance is provided
to cover loss or damage to the cargo while in transit, Swiss Freight is happy to provide
insurance certificates where appropriate and please note that all cargo shall be charged
an agreed percentage of the declared replacement value with an agreed minimum.
(where a customer has requested for a cover)
SWISS can provide Import permits which is required and issued by some national
Government authorizing the importation of goods for customs clearance at an agreed
rate.
SWISS can as above provide export permits authorizing exports of specific goods of
specific quantities to particular destinations.
SWISS without exception notifies the consignee of the shipment by confirming with the
consignee the shipment date, expected date of arrival, airway bill number, and or the
flight number where possible.
SWISS shall pre-alert in advance all the respective offices around the globe for all the
shipments which emanated from its Botswana offices.
SWISS staff shall without failure advise of all shipment arrivals, requesting clearance
instruction if required to do so by the consignee.

ACCOUNTS
In return for the satisfactory provision of the service, the aviation client shall pay Swiss
Freight as agreed.
SWISS shall supply monthly statements for the goods delivered and will present them to
the aviation client representative for review
SWISS shall supply monthly summary billing and backup documentation in accordance
with the aviation client requirements.
Please note that SWISS FREIGHT payment terms are strictly 30 days from date of invoice
or if preferred from date of statement (this applies to account holders only) and third

10. party charges will be paid on demand that is e.g. Customs duties, VAT, storage,
demurrage, warehousing, penalties or any other Government levy which may be
applicable.
The aviation client or its representative is entitled to query, whether the quantity and or
the amount referred to in the statement, if after such inquiry, they are not reasonably
satisfied that any goods so recorded have been delivered such amounts shall be deleted
from the statement, before they approve the amount payable to SWISS FREIGHT.
All accounts in respect of the remuneration and disbursements which are payable to the
Tenderer are normally paid within 30 days after receipt of a statement or a valid tax
invoice.
SWISS shall issue and submit a tax invoice, in original each before the 25th
of the month
for payment by the next month to the aviation client or as per the agreed terms with the
client.
SWISS FREIGHT `S sequential tax invoice shall be fully detailed and shall include but not
limited by the following:
 The amounts now claimed with VAT indicated separately
 Proof of deliveries or delivery notes signed by duly authorized persons or any such
documentation as may be required for back up purposes.
The aviation client shall reserve the decision to make provisional payments on an invoice
in dispute pending reconciliation and audit of the total charges.
The aviation client shall reserve the right to request SWISS FREIGHT to breakdown the
invoiced amount to each category of payment for accounting purposes.
