Greetings!
This is in response to your invitation of the United Nations World Tourism Organization
(UNWTO) for suppliers/ proponents to provide professional congress organizer services for
the 17th
National Convention for World Tourism Industry, and to meet the UNWTO’s service
requirements.
We believe that our company, the Cardboard Events Organizer would be able to provide you
with the needed services. Our business started in 2008 and we primarily specialize in
organizing medium to large-scale events. Among our prominent events handled recently were
the PAA 5th National Congress and 2017 Philippines Agriculturists' Summit held last July 16-
20, 2017 at Villa Caceres Hotel, Naga City, and 10th National Nursing Research Conference
last November 25-30, 2017 at the same hotel.
In connection with your upcoming event, 17th National Convention for World Tourism Industry,
which will be held on June 4-8, 2018, we are submitting our proposal on how we plan to
conduct your said event. We are pleased to inform you that on top of your required number
of participants, we are willing to add 100 more to the required 1,000. This is to lessen your
worries on possible increase of participants.

A. Executive Summary
The Muvee is a service provider of corporate events in large to medium scale. With its
more than ten years of expertise, we guarantee that we are capable to deliver the services within
the expectations of all our clients and establishments and create memorable occasions as events
worth remembering.
Our agency is ably manned by a competentstaff, headed by the manager who has earned
a National Competency III for Event Management under the TESDA program, who is competently
assisted by skillful individuals who are experts in their fields such as accounting, business, etc.
Ms. Marlene A. Ramos and Ms. Lahni S. Ramos started The Muvee Events Management
Company in 2008 and still continue to provide quality and sought-after service all throughout Bicol.

B. Introduction
The 17th
National Convention for World Tourism Industry is an event organized by the
United Nations World Tourism Organization (UNWTO) for all the tourism representatives,
investors and businessmen from all over the Philippines and abroad. This event will happen on
June 4-8, 2018. The target number of participants is 1,500 individuals which have their varied
interests in business and world tourism with keynote speakers from the local and foreign
communities.
With how Philippines becoming a tourist nest in the Southeast Asia, it is no wonder that
this convention for the world tourism industry is relevant and highly anticipated. As we come to
know the partnership the United Nations is willing to establish in the Philippine tourism, this
national gathering revolves around the theme “Sustainable Tourism Development Through
Awareness and Globalization, towards Competitiveness, Partnerships and Social Responsibility”.
This event seeks to challenge the investors and tourism representatives to become
aware and to sustain tourism development by building ties locally and internationally to attain
competitiveness towards the global market while making them becomemore socially responsible.
This will greatly benefit the plethora of tourist destinations of the country while the locals are
productive side by side with the investors.
The Muvee carefully tailored its services and amenities to the needs of the diverse
background of the participants. The activities in this five-day event are also aligned to the
objectives of the UNWTO along with their goals and values. Each participant is assured of their
safety throughout the event.
The event will be held at Villa Caceres Hotel, Magsaysay Avenue, Naga City. The hotel
also provides the accommodation and food of the participant throughout the duration of the event.
Should they wish to stay longer in Naga City, the hotel is flexible with further arrangement.

CLIENT AGREEMENT
This agreement is between MUVEE (hereafter referred to as EVENT
MANAGER) and UNWTO (hereafter referred to as CLIENT).
I. Event MANAGER, agrees to provide:
1. Research, design, planning, coordination, and evaluation of the event
entitled “17th National Convention for World Tourism”.
2. Research that will commence with the joint execution of this
agreement.
3. A professional event that will begin on June 4, 2018 at 8 A.M. central
time in the city of Naga, Philippines and conclude at June 8, 2018 at
7:00 P.M. central time.
4. A comprehensive evaluation including financial and attitudes and
opinions will be submitted to CLIENT by June 7, 2018 at 5 P.M. central
time.
5. Comprehensive general liability insurance with a P1 million limit per
occurrence, naming CLIENT as additional insured for the period of
event.
II. Client agrees to provide
1. One person as principal contact and decision maker for the EVENT
MANAGER.
2. General liability insurance with a P1 million limit per occurrence,
naming EVENT MANAGER as additional insured for the period of the
event.
3. Decisions in a timely manner as required by the final approved
production schedule.
4. Ten (10) volunteers to coordinate registration and guest relations
during the event from 7:00 A.M. central time to 7:00 P.M. central time.
III. INVESTMENT
The EVENT MANAGER will receive a fee for professional services in
the amount of P10, 000 exactly. The EVENT MANAGER will receive
fees for all direct expenses approved by CLIENT.
IV. TERMS
The CLIENT agrees to provide the following payments to the EVENT
MANAGER as compensation for the services described above.
February 30, 2018: 25% of fee plus 50% of direct expenses.
March 15, 2018: 65% of fee plus balance of preapproved direct
expenses.
April 15, 2018: 10% of fee plus any additional charges approved by
client plus the balance of all approved direct expenses.

Should the EVENT MANAGER cancel his or her services for any reason other

Cancellation more than 120 days prior to the event date: 25% of
professional fee and 50% deposit of all direct expenses.
Cancellation less than 120 days prior to event date: 50% of
professional fee and 50% deposit of all direct expenses.
Cancellation less than 60 days prior to event date: 75% of professional
fee and 100% deposit of all direct expenses.
Cancellation less than 30 days prior to event date: 100% of
professional fee and 100% deposit of all direct expenses.
VI. FORCE MAJEURE
This agreement is cancelled automatically if the events interrupted due to
acts of God, including but not limited to, hurricanes, tornadoes, strikes,
war, volcanic eruption, earthquakes, or pestilence
VII. ARBITRATION
The American Arbitration Association is designated as the official body for
arbitrating any disputes resulting from this agreement.
VIII. HOLD HARMLESS and INDEMNIFICATION
The EVENT MANAGER and CLIENT agree to hold one another harmless
from negligence caused by that party and to mutually indemnify another.
IX. TIME IS OF ESSENCE
The services and related costs described in this agreement are
guaranteed through 7:00 AM central time June 4-8, 2018. After this date,
these services and related costs must be renegotiated.

EVENT SPONSORING AGREEMENT
LGU NAGA CITY henceforth known as ‘Sponsor’, enters into this agreement freely and

CONCLUSION

This event will happen on June 4-8, 2018. The target number of participants is 1,500 individuals which have their varied interests in business and world tourism with keynote speakers from the local and foreign communities. With how Philippines becoming a tourist nest in the Southeast Asia, it is no wonder that this convention for the world tourism industry is relevant and highly anticipated. As we come to know the partnership the United Nations is willing to establish in the Philippine tourism, this national gathering revolves around the theme “Sustainable Tourism Development Through Awareness and Globalization, towards Competitiveness, Partnerships and Social Responsibility”.
