Case Study Analysis
When it comes to planning events how many of us take the proper steps and put in the time and how many of us wait till the last minute to plan our event? What's the outcome of an event that has had the proper planning? Usually, a properly planned event is a huge success, and people leave-taking away information that will help them either improve, grow as a person or be successful at their job. People who try to plan events without taking the proper steps find themselves running into many problems along the way. Before they know it, they are out of time to fix any issues or problems that arise. Running out of time can lead to frustration, panic, and eventually the thought of “what am I going to do". Even though the steps to planning an event can be time-consuming, proper planning can ease frustration and anxiety, and lead to a successful event. Proper planning can eliminate the “What am I going to do” question.
Background
In the case study, Carl Robins did not plan for his event very well. He hired 15 new trainees and wanted to schedule a new hire orientation on June 15
th
. His goal was to have the new hires working by July. Carl had only been at his job for six months, and this was his first recruitment effort, so it is crucial for this event to work in Carl’s favor. Carl was contacted by Monica Carrolls, the soon to be Supervisor of the new hires, on May 15
th
. Monica was following up with Carl on how the planning for his orientation was going. She asked him about physicals, drug tests, the training schedule, orientation, manuals, and policy booklets. Carl told Monica that everything would be fine and ready to go in time for orientation. After Memorial Day, Carl finally decided to start planning for his event. Unfortunately; because Carl did not do any planning after hiring the fifteen new trainees and waited till the last minute to plan his event, he ran into multiple problems. When Carl finally decided to start planning for his event, he found that the training room where he was going to hold his orientation was booked for the whole month of June by a fellow associate named Joe. Joe was from technology services and needed the room for computer terminals. When he went to finalize the paperwork for his event, he found that some of the new hire trainees did not have completed transcripts or applications on file; nor had they gone to the clinic for their physicals and mandatory drug screenings. He then checked the orientation manuals and found that there were only three and that those three had missing pages. By now, Carl is very concerned, his anxiety is at a level high, and he is so frustrated that he sits with his head on his desk with the thought of “What am I going to do”.

At this point, Carl can either: call Monica and tell her that he
made a mistake, that he will not be able to have orientation on
June 15
th
like he had planned, and start planning all over again; or he can
find a different location to have his orientation. Calling Monica
would not be in Carl's favor simply for the fact that he has only
been at his job for six months, and this is his first recruitment
effort. If possible, he could change where orientation was held,
however; this would require a room big enough to hold 15 new
hires and himself. He would need a room big enough for tables
3. and chairs and one not so big that everything echoes. The
training room was the ideal room for his new hire orientation;
which he could converse with Joe to see if there were any
specific times in the day he could use the training room. Carl
still has time to get the orientation manuals done.
Unfortunately; he may not have enough time to get the
physicals, and mandatory drug tests done, or receive the
applications and transcripts that were missing from several
associates. Carl still needs to find out if possible; how long it
will take for the new hires to get all the required paperwork
finalized and turned in. Carl still has some time to get things
put into order and set up for the new hire orientation before
resulting to changing the date and having to start planning his
event again.

Solution

At this point, the new hire trainee's paperwork is the
most important thing to have completed. Carl needs to take a
deep breath and start calling the new hires that have the missing
completed applications, transcripts, mandatory drug screenings,
and physicals. He will need to call the places where the new
hires are getting their physicals and mandatory drug screenings
done, to find out how long it will take to get the recommended
paperwork back so he is able to complete the new hire's files.
Carl should talk to Joe to see if there is at all a certain time he
4. could hold his new hire orientation in the training room that
does not interfere with Joe’s training. If there is no time that
would work for Joe or Carl, then Carl needs to start finding a
new location or room to hold the new hire orientation in. He
well then need to get the room reserved, and set up before
someone else does. He then either needs to delegate the task of
getting the orientation manuals printed off and put together, or
he needs to figure out what pages are missing from the three,
and print off the pages; plus twelve more. Depending on how he
handles printing off the orientation manuals, if he has not
delegated the task he will have to find time to put the
orientation manuals together. By putting the orientation
manuals together on his own, he can make sure that he has
fifteen manuals. Carl will then need to follow up with the new
hires on their completed paperwork and get it into their files.
By following up with them, he will find out who needs help
with their applications and who still needs to complete any
paperwork.
Recommendations
What Carl should have done was properly planned for his event
by taking the following steps. Carl knew that he wanted to have
the new hires working by July as soon as he had hired them. He
should have started planning right then by having the new hires
5. get their physicals and mandatory drug screenings done right
away and by making sure the proper paperwork was completed.
Since the process of completing paperwork can sometimes be
time consuming, it should have been the priority. Carl then
should have checked the schedule for the training room where
he would be holding the new hire orientation. If Carl had
checked the schedule, he would have seen that a fellow
associate had reserved the room for the whole month of June for
his training session. Knowing this information Carl could have
bumped up his orientation for the new hires and had it at the
end of the month of May. After changing the date of orientation,
Carl then should have started putting together the orientation
manuals. This way everything was ready for the trainee’s
orientation. With the new hires getting their paperwork done
right away, he would have had all of it back by the time
orientation came around. Depending on when he hired the new
trainees, Carl could have had all of his planning done by the
time Monica followed up with him on May 15
th
. Instead of assuring her everything was going to be done in
time, he could have told her everything is done and ready to go.
Orientation will be on this day starting at this time and ending
on this day and time. With that being said; he could have
bumped up the start date of the new hires to the beginning or
middle of June instead of having them start in July. By properly
6. planning out the orientation, Carl eliminated all stress, anxiety,
and problems. He would also be making a great impression with
Monica on how quickly and precise he was by having all of the
proper paperwork done and filed. By having everything ready
for orientation by the time she called would make an impression
on her as well.
