Editor's Notes
We offer 2 core ISV technologies: Telephony Integration and Data Deduplication
Good Afternoon, we are Rowland, Nicola and James from QGate Software Ltd.
We are your current incumbent CRM partner in the UK and have been working with Stuart and Ian for the last few months, over the course of this process.
We have been invited here today to present a CRM solution based upon Microsoft Dynamics CRM and this is the agenda we will be following. Our demonstration will include key highlights of the solution using scenarios based around your working practices. We have put the demo together to show you what is possible but it is not a full blown proof of concept application. What you see has been built using the inherent configuration capabilities of the product with key 3rd party add-ons as appropriate.
There is a question and answer session at the end and we have provided a sheet for you to note down your questions as they arise. Any that we do not have time to get to today we will take away and answer afterwards.
We will start with some scene setting slides which may well strike a chord with some of you.
Summary of key features of intelli-CTi. We also provide support for USD.
Thanks for joining us today. My name is Dale Rolley and I’ll be your guide today for our overview of our recently released Paribus Interactive solution. I see we have some customers/partners here today that we’ve worked with in the past, as well as some newcomers. Welcome All!
With me today, hiding in the shadows is Ryan Pennett. I’m sure some of you know Ryan as well. He’ll be collecting questions that you can enter in the GoToWebinar Questions section, and at the end, we’ll try to answer them all.
Thanks for taking care of that, Ryan.
Since we really appreciate your attendance today and I want to honor the value of your time, we’ll get started, right away.

If I were to categorize Paribus Interactive, it would be as a duplicate prevention tool for Dynamics CRM / 365. For those of you who already have duplicates in your CRM system – and I know you’re out there – our Paribus Discovery product is a great solution to help you find the duplicates and merge them into single, consolidated records. That would be the Cure for your duplicate data issues. I’ll cover where you can find information on Paribus Discovery at the end of today’s session, but for now, I’m going to focus on the Prevention side with Paribus Interactive.
Any good data quality strategy should include both cleanup of existing issues and having the proper tools and practices in place to prevent the problem from continuing. Paribus Discovery has been helping users clean up their duplicate data for over 13 years now on various CRM platforms, and the underlying matching technology we developed for the Discovery solution is the basis of Paribus Interactive, which we’ll cover today.
Additionally going back over 16 years, well before Dynamics CRM was born, we’ve offered a similar solution for duplicate prevention that was focused mainly on the Data Entry process with other CRM solutions, however based on the customer feedback we’ve received, when we built Paribus Interactive, it was designed to be a broader solution to assist users in many more ways than simply Data Entry – and therefore to benefit a much wider audience of your CRM users.
So, why is this important? Well, all your users that are touching your data can – and should be empowered to participate in the process of keeping your data clean. They all benefit from the increased efficiency of quickly finding the record they’re looking for and ensuring that the records they’re interacting with are both accurate and complete. Paribus Interactive not only simplifies their lives, but provides a much better overall user experience and customer-facing experience when users aren’t stumbling through duplicates or having to do multiple searches, just trying to find the right record in their day-to-day activities across the entire CRM system.
As I said both Paribus Discovery and Paribus Interactive are built upon the underlying intelligence of the Paribus Match Engine. When looking for similar records, it matches on wide range of things.
It understands Synonyms, Abbreviations and Acronyms like knowing that Bill, Billy, William & Will are really all variations of the same name. Or that IBM, I.B.M. and The International Business Machines Corporation are also very similar.
It understands Phonetics to recognize variations in spelling – or in many cases, misspellings.
It takes into consideration that sometimes the order of words gets mixed up, like 56 North Main St or 56 Main Street North.
You get the idea. It’s pretty smart.
The key aspect is that Paribus Interactive provides a much more comprehensive ability to find the record you’re searching for – or find matching records when you’re entering or viewing an existing record.
The goal is to provide users with the ability to quickly and easily get the results of a search – rather than the difficulty & frustration they experience with the standard lookup feature within CRM.
When Paribus Interactive is implemented, we’ve looked to address every single user who interacts with the CRM system. For instance, for the Marketing team, Leads will come in through various sources – purchased lists, event lists, Web downloads, or other sources. The Marketing users would be tasked to qualify these leads and ideally convert them into Account and Contact records. Regardless of how they are created, Paribus Interactive will help these users overcome the difficult issues they face with the out-of-the-box lookup capabilities. This is done by providing a much more intelligent lookup to help them find the proper Contact – if one exists – thereby avoiding creating a duplicate Contact record within the system. I’ll show you that in a minute.
In Sales, your users are creating Opportunities. Our recommendation would be to start at the Account or Contact, but it’s often the case that they don’t start there - rather they start by creating the Opportunity. Then they need to do a lookup to find the correct Account and Contact related to the Opportunity. Again, they’re faced with the limitations of the standard Lookup function within the system and if they can’t find the record, they’ll either waste time looking in 3 or 4 different ways to find it – or they’ll create a new Contact and/or a new Account. Again, adding to the duplicate issues you’re facing.
Similarly, with Customer Support where users are working with Cases – just like when entering an Opportunity – a user is creating a new Case and trying to muddle through the standard Lookup function to find the correct Account or Contact on an Exact Match only … you get the idea.
And, for everyone else – they’ll be working day in and day out with Accounts and Contacts, and as you know, they often struggle with the standard Search capabilities. Maybe it’s a spelling issue – or company abbreviations – or they don’t have all the details. For instance, they’re looking for a guy named Rob who they talked to a few months back and they know that he works for a Networking company - and that’s all they have to search on. Or, they’re simply entering in a new Account or Contact and they don’t want to enter in a duplicate, however the duplicate detection rules in CRM are so limited – or somewhat intrusive that you turn them off.
So, let’s take a look…
Hopefully it’s pretty clear how we’re improving the process of finding information and helping you and your users keep your data clear of duplicates from range of different angles. We’ve really tried to make this available in SO many areas as to make it a benefit to every CRM user and the organization as a whole through productivity improvements each and every day.
Now, let’s quickly discuss how this all comes together.
We have the Paribus Interactive service running in the Microsoft Azure cloud. We support multiple geolocations, so you would have the benefit of having Paribus implemented within the appropriate Azure location – North American, UK, Europe & Australia at the moment, but are looking to add more as needed.
We support Dynamics CRM and Dynamics 365 Online and we can support CRM On premise from 2013 and above as long as it’s an Internet Facing Deployment so that Paribus can have secure access.
There is a synchronization process going on to synchronize small elements of the Account, Contact, Lead and Address information into the Paribus Service running in the cloud. And then on the CRM side, depending upon what you’re doing, queries are being made and results delivered to your users as needed. In this case, I’m actually here in Michigan running an instance of CRM and Paribus Interactive based in the UK, so you can see that the results time is quite good, even over the distance we’re traveling.
Who has access to the service and Paribus Interactive capabilities is controlled by You. We provide a Security Role that you can assign to the users you wish to have the Paribus Interactive service available. Obviously, we would suggest that every user would benefit from having this, however it really is up to you if you’d like to exclude certain users. It’s the number of users that have been assigned the Paribus Security Role that we count when calculating license numbers and the associated cost.
I mentioned the subject of Configuration a couple of times, and we manage that through a desktop application that we provide as part of the solution.
When you fire up the Solution Manager, it connects to our cloud of resources for documentation, help pages, tips, etc. We provide a very simple administration system to manage everything from one place. You connect it to your CRM system and we can identify what needs to be installed or updated if you have an existing solution so you can stay up-to-date with the very latest release of Paribus Interactive.
You can also identify all the users who need Paribus Interactive and apply the security role and manage them right from the Solution Manager. It allows you to determine where you want to put the Search Capabilities within CRM through the Site Map. We even include a very simple mechanism to disable the standard Duplicate Detection Rules, since we are superseding them with the Paribus Interactive functionality.
You have the ability to fine-tune it to include or exclude areas – for instance, if you’re not using Leads, that can be turned off entirely. You can even set match sensitivity for each area to best meet your matching criteria.
Now to licensing and pricing – this is a subscription based product, with two potential elements of the pricing. The first is a per/user per/month component. There is a minimum of 10 users as the baseline and the cost per user here in the North America is $5 per user per month.
In addition, depending upon the size of your collection of data, there may be a nominal Data Volume component. Up to 50.000 indexed CRM records, there isn’t any Data Volume cost, but when you’re over 50,000 records, there is a scale of a small additional monthly cost based on the total number of records that Paribus is matching on. Essentially, it’s a total of the People and Companies in your database. You can calculate that based on the sum of the number of Accounts, the number of Contacts and 2 times the number of Leads, since a Lead can be both a Person and a Company. It’s a pretty simple calculation to see what the cost would be for your organization. Again, you control the number of users with the Security Role, so you can expand and contract your user count as you require.

So, that’s the Paribus Interactive Story. I hope it’s been worthwhile. While we answer questions, I’ll leave this slide up so you can jot down how to reach out to us. We’re happy to discuss your needs and see how we can assist.
As I said, Ryan has been manning the Question Board – Ryan, do you want to pose the questions you’ve received?
Can you add action buttons or control the sensitivity?
Can you add the search to custom forms?
