BAIRS Interactive Reporting Mode enables you the freedom to create pivots in both BAIRS and Excel. This can be a huge time saver for those looking for specific information or details that could be tough to quickly identify using standard reports.
5. Accessing BAIRS
When accessing the BAIRS link you
typically will have two pop-ups:
1) This is the link that you want to click if
you receive it. Enter in your
credentials and password to access
the system
2) The second pop-up is in case you
have a pop-up blocker enabled. This
allows for more manual access to the
system. It is recommended that you
always allow pop-ups for the BAI
website.

Of the systems that you see above, you will utilize BAIRS and BearBuy.
BFS:
The Berkeley Financial System (known as the BFS system) is used by the Budget and Finance team to create Project codes and Flexfields, process journals (used to correct errors in the system) and set up additional parameters within the financial system. It serves as the front end source where most of the structural aspects of finance are taken care of.
BAIRS:
The Berkeley Administrative Initiative Reporting System (BAIRS) is used on campus to track finalized expenditures within a given month. It tracks transactions that come in the form of vouchers (from BearBuy), journals (initiated by campus or your financial analyst), P-Card (Purchase Card transactions) and Beginning Balance (amounts left over or deficits from the pervious fiscal year).
Cal Planning:
A new system that was rolled out last year, designed to bring more transparency to the accounting standards on campus. This system was a result of the operational excellence program and is still being implemented this year. You can expect it to be utilized more in future years.
BearBuy:
The Berkeley system designed to help facilitate purchasing throughout campus. The system has a list of pre-vetted vendors that have contracts with UC Berkeley and are able to provide goods and services.
Cal Answers:
Another system that comes as a result of the Operational Excellence initiatives on campus. The system is designed for business intelligence, and utilizes dashboards to present graphs and statistics which some managers may find useful. This system is in its infancy and is expected to become more prevalent in future years.

When accessing BAIRS, you typically will receive two pop-ups.
The pop up denoted as ‘1’ is the link that you want to click if you receive it. If received, enter in your credentials and password to access the system. This will be the same password and logon you use to access your desktop.
The pop up denoted as ‘2’ is in case you have a pop-up blocker enabled. This allows for more manual access to the system, but still ends up taking you to the same place after several clicks. It is recommended that you right click on the pop-up notification located under your address bar and select the option to “always allow pop-ups” for the BAI website.
This is the BAIRS home screen where you can access the various financial reports available to you.
First, we want to make an adjustment to the settings for BAIRS. The way your reports are currently set up, they are designed to be printed from an HTML format. We can change these settings by going to “file” and selecting the “preferences”.
Once in the preferences tab, select the interactive reporting tab as seen in arrow 1. On the interactive reporting tab, choose the Default Open Format from “HTML” to “Interactive Reporting Web Client.” Then click OK.
