Rfq management
1. RFQ Management
The following guide is an overview of how to manage your RFQ once it has been distributed. Some
features may not be available to some users, depending on their rights and roles that are defined by
the administrator of the account.
This user guide is not intended to be a fully detailed list of all features. The goal of this guide is to
provide basic help in Managing an open RFQs. For advanced features or other questions, please do
not hesitate to contact our staff, using the HELP section of your account.
Step 1- Finding your RFQ
To find the RFQ you want to manage, click on the RFQ tab. You will be taken to a filer that allows you
to filter by RFQ type. If you are not able to find your RFQ by searching in the status folder, you can
perform a name search for your RFQ, simply type in a key word into the “Search all RFQs” box to find
your RFQ. Once you find your RFQ, click on the RFQ number or name in order to see the RFQ details.
From this level you can see what the average price suppliers are bidding, how many are bidding. You
can also see the volume of messages you have at a project level and how many NDA’s have been
approved.
Note: The action button on the far right hand side provides the users with a host of options to
manage the RFQ. These options include the ability to create an auction from an RFQ, copy the RFQ,
Modify the RFQ, Modify the closing date and the ability to see a listing of any changes made to the
RFQ.

2. Step 2- RFQ Management Page
This is the detailed RFQ page where a user gets to see and manage their RFQ’s. Below is a detailed
description of the main functions of this page
Quotes:
This is where a user will go to see the quotes from the suppliers, perform quote comparisons,
download quotes and award the business. In the above example, the buyer has 3 quotes from 3
different suppliers.
Messages:
This is where the user communicates with the suppliers. In the above example, the buyer has 2
messages from 2 different suppliers.
NDA’s:
This is where the user manages the NDA process. If the buyer required NDA’s in order to participate,
the buyer would see the suppliers signature and either approve or deny them access.
Distribution:
This is where the user gets to see who the RFQ has been distributed to and also gets to see the
interest in the RFQ from the supply base.
Revision:
This provides a complete tracking of any changes made to the RFQ filtered by time and date.
Internal note:
This is where a user would come to both make notes about the RFQ as well as read notes made by
other team members. The notes made in this section are not show to the suppliers.

3. Step 3 - Messaging Suppliers
This is the detailed RFQ messaging center. This is where all messages between the user and the
supplier are managed. All communications between buyers and supplier are done within LiveSource.
However, notifications are sent to users e-mail to inform them that they have a LiveSource message.
Users can define the frequency in which e-mail notifications are sent to them
Key Features in the Message Center:
• Full message thread between a buyer and a supplier
• Ability to post messages to all suppliers or just a target supplier communication
• Ability to perform a message search via a key word search
• Ability to easily determine which messages have and have not been read
• Time and date stamp of all messages
• Ability to add attachments to messages
• Ability to use pre-build standard message templates

4. Step 4 - Managing your RFQ Distribution
LiveSource allows you to see who your RFQ has been distributed to and to see where that supplier is
in the response process. You can see if a supplier has viewed your RFQ, Market it for Quoting, Has
not viewed it, declined to participate and has quoted.
Typically the LiveSource customers use this page to communicate to supplier by status type. For
instance, this page is the ideal place to message all suppliers who have not view the RFQ or who have
viewed the RFQ but have not responded yet. The typical customer would use this page to remind
suppliers of deadlines, etc.
To message supplier from the distribution page simply select the box next to their name and click the
“send message” button. You can communicate with one or many suppliers at a time.
Step 5 - Managing your NDA Process
Depending on the level of protection you placed on your documents you may or may not use the
NDA tab on the RFQ management page. If you did require signature, below is how the page will
render for you once suppliers have read and signed your NDA.
From this page you will either approve the supplier or deny the suppliers. If you need further
clarifications from suppliers you can message them from this page as well.

5. Step 6 - Reviewing your Quotes
LiveSource provides exceptional quotes comparison functionality. This document will provide a high
level overview of the functionality. For detailed instructions on quote comparison please feel free to

At a very high level, the user can see who has responded, when the quote expires, what they have
quoted on and how much they have quoted. From the above screen the user can download the
quotes or do an on-line comparison by clicking on “Quote Comparison” and selecting the suppliers
they are interested in comparing.
On the comparison page, the user may perform the following:
• Create comparison rules
• View supplier responses relative to the SIS (Supplier Information System) cards
• Download results in both a simple or advanced form
