A3 LEAP Facility Use & Building Security
PLAN
THEME: Facility Use & Building Security
BACKGROUND: Spring 2013- Maintenance/LEAP
meet to discuss building security as well as facility
scheduling issues. Executive decision was made to
reserve all gyms for LEAP purposes from the time of
dismissal until 8 PM. No outside rentals will be allowed
before this time. As a result, facility use calendar
should not be relied upon to schedule doors. Detailed
schedules of actual gym use days and times will be
sent to the AA’s from the LEAP Office, at which point
building doors can be scheduled accordingly.
As a result this will:
1) Ensure LEAP has facilities reserved when needed.
2) Relieve Janna/Debbie of the extensive process of
entering detailed schedules.
3) Be a huge cost saving measure in regards to the
times spent scheduling, invoicing
3) Eliminate the problem of conflicting schedules with
LEAP and outside rentals in the common event of a
schedule change.
4) Eliminate the issue of building security as doors can
be scheduled according to detailed schedules
provided by the LEAP Office.
CURRENT CONDITION: Increased efficiency with
reduced security. All gyms are currently reserved for
LEAP use until 8 PM. Time spent on facility use
scheduling has been greatly reduced freeing
Janna/Debbie to do other duties as required. No
rentals (prior to 8 PM) policy has been adhered to with
minimal resistance from community members,
however basketball season is just beginning and
makes up a large majority of our rental requests. At
the building level, principals/admins feel security is
compromised as doors are remaining open until 8 PM.
PROBLEM: Doors are remaining open until 8 PM
because they are being set based on the online facility
use system. This compromises the security of the
buildings.
DO
TARGET CONDITION: Continued increased efficiency along
with maximum possible building security. All doors should be
programmed based on actual building use provided by the
LEAP Office, not the facility use calendar.
