What is SOP ?
A Standard Operating Procedure (SOP) is a set of
document that provides step-by-step clear-cut directions
and instructions compiled by an organization to help
professional carry out complex routine operations.
Purpose of SOP
The purpose of having a SOP would be to ensure that
every member from different departments of
organization is capable of fulfilling their duties and
obligations regardless of the presence of an professional
in charge is there or not.
Importance and Benefits of SOP
 Maintaining the Quality Standard following the
Compliance and Consistency.
 Simplifying Performance Management and Evaluation.
 Establish the Chain of Command and Accountability.
 Reduce errors and enhance productivity and efficiency .

SOP Manual
SOP manuals makes the organization system driven & not
people dependent, brings clarity on the way organizations and
its various departments function and helps to identify & bridge
the gaps between internal processes. SOPs and policies are
not implemented to eliminate people from system but to give
direction to people within the system, so that systems guide
people and avoid people to create systems or work beyond
quality systems framework.
SOP Manual Lifecycle
 Scope & Purpose : Using area, process, department, and stages
of SOP. Specific limitations or exceptions that need to be called
out, SOP required, to give guidance to staff, to meet legislation, to
remove reliance on expert staff.
 Audience & Author: Language skills through to having different
nationalities, review and give considerations to the knowledge
levels of the groups of people within audience. Consider the site
and location and collaboration method.
 Format & Writing Style: Best SOP is an environmental SOP,
where a document or procedure is not required at all. Consider
Pre existing layout, Flow charts, Hierarchical steps and keep simple
list.

 Test & Adjust: Most things it is best to go through a test and
adjust phase with our SOP.
 Distribute & Train: Language skills Ensure that our staff read the
SOP, understand it and can adhere to it in their day to day roles.
 Review & Update: Be it regulatory, structural, legal, physical, or
staff based, the environment our SOP is operating within is almost
certainly an ever changing one. We need to ensure that our SOP
rises to the challenge of staying current and relevant in order for it
to still do its job.
What are SOPs
Standard Operating Procedures (SOPs) are the
documented processes that a company has in place
to ensure that services and products are delivered
consistently every time. SOPs are often used to
demonstrate compliance with the regulation or
operational practices and to document how tasks must
be completed at one organization.
Why do Organization need SOPs
SOPs will do is ensure that you have a structured
quality system and processes in place, qualified
employees, and a motivating company culture. SOPs, in
their purest form support the right people in the right
environment.
SOPs help you to evaluate more than what you’re doing
now but also help you decide how to move forward.

A standard operating procedure or SOP are a set of
instructions that address the WHO, WHAT, WHERE,
WHY, WHEN AND HOW of an activity.
It is said that “Only things that can be defined &
measured, can be improved”.

Plan of ABC…XYZ for SOP
To develop a SOP that could be maintain and follow for
managing the departmental activities through the
system. Detail SOPs will be developed and all the
department and the personnel will maintain, follow and
perform their activities according to the SOP guidelines.

Standard Operating Procedures require a lot of planning and
preparation before we can even begin writing the document.

Scope of the SOP for a Particular Department?
It will cover all the departmental activity. Each
department have to outline their overall departmental job
responsibilities and area of concern and connection with
the other departments.
