Used Data & File Space
• Breakdown of your Storage usage
• Data Storage: records (Opportunities, Accounts, Contacts)
• File Storage: Attachments, Chatter Files, Documents
Salesforce API
• The Salesforce API (Application Programming Interface) allows programs
external to Salesforce to interact with Salesforce data
• Common example of API usage is Data Loader’s Data Operations
• API usage is limited, while using the Salesforce Web User Interface is not
• The limit depends on which edition of Salesforce you are using and how
many User Licenses you have
• Use “API Requests, Last 24 Hours” to monitor external Data Usage
• You can always check if External Data Usage limit is reached
Salesforce Org ID
• Unique for every Salesforce Org
• regardless of Edition, Sandbox or Production
• Often referenced for Support Cases such as Feature activation (e.g.
Multiple Currencies)
Licensing Information
• When new employees join your company: see how many remaining User
and Feature Licenses you have
• Salesforce.com bills on Total Licenses, not on Active Users
• EE/UE Editions come with free Marketing User and Offline User Licenses
Fiscal Year Configuration
• Used for Organization’s Financial Planning
• Impacts Forecasts, Quotes and Reports
• Example: selecting a Current FY or Current FQ date filter on Opportunity
Reports is influenced by Fiscal Year configuration
• Choose between Standard and Custom Fiscal Year
Standard Fiscal Years
• Follows Gregorian Calendar (4 Quarters per Year, 3 months per Quarter)
• Can start at the beginning of any month you choose
• FY: Jan 2013 – Dec 2013
• FY: Mar 2013- Feb 2014
Q1 Q2 Q3 Q4

Custom Fiscal Years
• For companies that break down their fiscal years, quarters, and weeks into
custom fiscal periods
• Example: 4 Quarters per Year, 13 weeks per Quarter (4-4-5)
• Example: 13 Periods per Year, 4 weeks per Period (3-3-3-4)

Custom Fiscal Years
• Enabling Custom Fiscal Years is not reversible
• However, you can define your Custom Fiscal Years to have the same
structure as Standard Fiscal Years
• Changing Fiscal Year Configuration can result in Data Loss
Business Hours and Holidays
- Business Hours used for triggering Case Escalation Rules
- Use different Business Hours Sets for different teams (24x7 for Team 1,
Mo-Fr 08:00 – 17:00 for Team 2)
- Use blank Business Hours if Org does not operate on this day
- Set (reoccurring) Holidays and add them to Business Hours Sets
My Domain
- Allows Login via customized domain
- Normal Login: https://login.salesforce.com
- My Domain Login: https://optimizingsalesforce.my.salesforce.com
Language Settings
The Salesforce Web User interface has two language settings:
- Default Org Language:
- Applies to all new users until they select their Personal language
- Personal Language
- Users can overwrite the Default Org Language and set their own Personal
Language
Language Settings
Salesforce.com offers 3 levels of Language Support:
- Fully Supported Languages (English, German, French, Spanish etc.)
- all Features including Help are translated
- End-User Languages
- all Standard Objects and Pages except Administration Setup and Help are
translated
- Platform-Only Languages
- When you want to localize Custom Functionality (Apps) that you’ve built on the
Salesforce platform
Language Settings
Aside from the 3 levels of Language Support, there are two ways you can actually
localize your organizations:
- The Translation Workbench
- create translations for Customizations you’ve made to your Salesforce Org
- Everything from Custom Picklist Values to Custom Fields can be translated so your global
users can use all of Salesforce in their language
- If your Custom Application uses a small number of Salesforce’s Standard Tabs and
Fields, you can translate them by renaming Tab and Field Labels
Languages cannot be disabled if currently used by a user
Language Settings
Language Settings
Currency Configuration
Currency Configuration
• International Organizations make use of Multiple Currencies
• Multiple Currencies represent the countries in which the Organization does
business
• Multiple Currencies is a feature that must be requested
• Multiple Currencies are used in Opportunities, Forecasts, Reports and other
Currency fields
• The Administrator sets the Corporate Currency
• The Corporate Currency is the Currency in which the Corporate
Headquarters reports revenue
• All Conversion Rates are based on the Corporate Currency
Currency Configuration
Currency Configuration
• You can manage Exchange Rates between your Active and Inactive
Currencies and the Corporate Currency by editing the Conversion Rates
• When you change the Conversion Rates, Currency Amounts are updated
using the new Rates
• Active Currencies can be defined at:
– Company profile (Organization Setup)
– User record (Personal Setup)
– Opportunity (Record)
• Currency is a required field on all Salesforce Objects and must be
considered during Import and Custom Object creation
• Accounts and associated Contacts must use the same Default Currency
Currency Configuration
Currency Configuration
• Organization may also use Dated Exchange Rates for Opportunities and
Opportunity Products
• Administrator must activate ACM (Advanced Currency Management) in
order to create Dated Exchange Rates
• Dated Exchange Rates allow you to map an Exchange Rate to a specific
Date Range
Currency Configuration
