• Knowledge management software plays a role, in organizations as it
offers a platform to capture organize and share knowledge assets.
• facilitates the creation, storage, retrieval and distribution of
knowledge within an organization.
• Experienced and powerful employees retire or leaves one day.
• A best KMP have thirteen (13) must fulfilled criterias in developing
knowledge management tool.
1. Centralized Knowledge Repository
• An online database that helps capture, store, and categorize knowledge-
based information.
• Multimedia content, documents, articles, FAQs, and other knowledge
assets should all be managed and stored centrally by the system.
• All organizational structures’ knowledge like papers, articles, guides, best
practices, and other knowledge resources.
2. Search and Retrieval
• Strong search features, such as full-text search, sophisticated filters, and
metadata tagging, should be provided so users can find pertinent
content in the knowledge base fast.
“All these words” Vs. “This exact word or phrase”
3. Document Management
• Correct and current knowledge, the system should offer version
control, document editing, collaboration, and rights management.
• Well organized document achieving with logical order.
4. Categorization and Taxonomy
• Discovery and retrieval will be much easier if categorization is there.
• Make information assets, such as documents, articles, data, and other
knowledge resources, easier to navigate, retrieve, and comprehend.
• Categorized and arranged hierarchically.
5. Collaboration and Social Features
• Able to work together more easily through the system, contributing,
rating, commenting, and sharing knowledge on the site.
• Communicate, engage, and work together in a shared digital environment.
6. User Access and Permissions
• Only authorized people or groups may access critical information, it
should provide access control.
• To govern and manage user privileges, rights, and restrictions are
referred to as user access and permissions.
7. Analytics and Reporting
• Help find gaps and enhance the knowledge base.
• How knowledge is used, search trends, popular articles, and user
interaction.
• How much of them used it for decision making and scientific researching.
8. Integration Capabilities
• Integration with other tools and systems, including as chat platforms
and project management tools.
• System's capacity to communicate and collaborate with other
programs, services, or systems.

• System should feature mobile apps or adaptable web interfaces so
that users may access information while they're on the go.

• System to withstand increases in demand and grow as the number of

THE CASE OF JIMMA UNIVERSITY RESEARCH REPOSITORY and LIBRARY
GENESIS (online research article and book store)
• Almost all research repositories of Ethiopian Universities have similar
interface.
• For this case, let us see the “Jimma University Research repository”
according to the 13 criterias discussed before.
• Comparing these two KMS’s, The JU KMP (research) have all the colleges
and authors available in the university domain.
• The Libgen, it being an international library for research and other written
materials it is more wholesome when it comes to research papers.

• The JU KMP – lacks a more sophisticated searching and most of advanced filter mechanism is NOT
available
• Libgen KMP – have a more sophisticated and advanced filter mechanisms.
• Libgen also has better search result outcome display and better NLP interpretation than the JU KMP.

• But more or less both have good taxonomy, but Libgen user interface is more convenient.

• Both JU and Libgen KMP lacks this important feature to some extent.
• Wikipedia got this feature in a user friendly way.
• You can co write with and interact with authors, can comment and even
upload and share your knowledge with the scientific community.

• E-mail and password is required to have special privileges.
7. Integration capability
• Confluence is a collaboration and documentation tool developed by
Atlassian.
• Can be integrated with MS. Office You can import and embed Office
documents into Confluence pages, allowing you to collaborate on and
update documents without leaving the Confluence environment.

• E-mail and password is required to have special privileges.
