Creating officeSpace was an opportunity for us to improve the work environment using AI and machine learning to make office tasks more efficient and simplified.
Have you ever started a job without any training, or been given a huge manual to read prior to starting your job?
Have you ever sent out an email to a bunch of people, and hated sorting through all the replies?
Have you ever panicked because you almost missed a deadline because your priorities were not in order? Or you have doubt about your submitting work to your boss?
Office Space is the perfect solution for you! It is a fully customizable desktop interface.
We are incorporating parts of existing Microsoft products with some new features that would enhance the productivity in different areas of the office.
We use Microsoft Graph API along with integrating elements of Outlook and Microsoft Teams into a simple interface where you can see everything at once on a seamless dashboard.
Just to share a bit about how and why we came up with OfficeSpace. I have worked as an office assistant for three years, and there are so many scenarios where I always wanted to invent a solution to ease the time and effort wasted on a mundane task. So some of these are from personal experiences, and some are just ways that we think could be applicable to different office situations.
This is our initial design prototype, as we worked on this desktop interface, we fine tuned the features in hope to enhance the efficiency of real life situations.
Prioritizing tasks - using machine learning to give priority to taSks that are important to you
Work Satisfaction - uses data sets and algorithms to compute a satisfaction score for work submissions
Automatic Summarization - Process of shortening emails using AI which preserves the integrity and the major points of the document but saves valuable time and effort for the user.
Training - Creates tutorials resources to improve the skill level of all employees.
Starting from the left hand side
Using AI, the machine will be able to detect upcoming deadlines and help you prioritise your tasks. This way you will be able to see which tasks are more urgent and which tasks are less urgent. This will help you accomplish your to do list in an orderly manner.
SUNNY: Check My Work is an app that allows workers to upload their work to see the approval rating and compatibility against their company or their boss’ expectations. Once the file has been uploaded, the machine will run its diagnostics against an existing data set of company approved documents and reveal a score to see how well the user performed. This tool can be an asset for programmers that want to make sure their code is up to company standards.
Automatic Summarisation. This feature is very useful for simplifying the tedious process of emailing. For instance, you need to send an email out to quite a lot of people, say 5 people or more….
…rather than waiting for each reply one by one, our app will be able to collect all the replies and systematically summarise that outcome for you. This way you don’t need to sit around waiting and sorting countless emails, this will free up your time to focus on more important work tasks.
Ann: Lastly, we also want to develop a Training feature. This unique feature will not only come in handy for training new employees, but also help in sharing knowledge within your team, and your office. A simple record button will be available for video screen capturing, the user will be able to show a certain process or procedure and record it step by step. Then the user selects a certain sharing setting, either between his/her own team or for the entire office and the machine will automatically upload it onto the selected database and use AI to suggest suitable training. This large archive of “how-to’s” will allow a collective contribution by the entire company, and everyone will be able to share knowledge in a productive manner.
Sunny: And on the right hand side, will be the integration of Microsoft Teams, which allows for office communication. Upon setting up an event, our app will be able to detect the information and add the event to the calendar.

With further development, our design for the final application will be similar to the interface seen here - giving employees a powerful and easy to use navigation environment that incorporates all the features that we have talked about. Thank you guys!
