1. HEARTS at HOME
COMPANY BACKGROUND
Hearts at Home’s mission is to encourage, educate, and equip every
mom in every season of motherhood using Christian values to
strengthen families.
Hearts at Home (HAH) began out of the need of one mom. Longing for
the camaraderie and encouragement she’d found at teacher
conferences, Jill Savage looked for the same experience in her new role
as “mom.” But she could find no resources specifically designed to help
her be an intentional mom. With a small core group of like-minded
moms and a church willing to host the event, the first conference began
to take shape. The year was 1994. 400 moms were expected to attend.
1100 showed up.
And the Hearts at Home story continues to this day. Moms from all
over the world use Hearts at Home published resources. Nearly 10,000
moms attend a Hearts at Home mom conference each year. Through
social networking, the Hearts at Home website, bulletin board and blog,
thousands of moms find the help they need every day.
CHALLENGES
HAH came to Mylo needing to replace its homegrown online
registration system. The system was not only antiquated but was no
longer supported by their in-house resources, resulting in the search for

“The Mylo system certainly makes the registration process simpler for
our attendeesand is more professional looking,” says Reilly.“Overall, our
Moms signing up for the conference are very happy and satisfied with

“The system is excellent for tracking registrations, payments,
cancellations, and refunds, which are always a problem. Since the
system is connected real-time to our payment gateway, our finance
team must be able to track and reconcile all the payment transactions.
Mylo provides some handholding and support to create the custom
payment reconciliation reports. There are still a few lingering issues
but we’re confident they will resolve everything to our satisfaction.
They are always very responsive.”

SITUATION
HAH needed an easy-to-use registration management system for its
Conferences that would allow their attendees to easily sign up, simplify
the in-house process for managing registrations and payments, and
provide updated personalized conference schedules to attendees.
According to Lisa Reilly, Executive Director at HAH, the decision to
adopt MyloTEAM(Training & Events Administration and
Management) from Mylo Solutions, Inc. as the Conference Management
platform was reached after two months of searching for a suitable
solution.
SOLUTION
In order to ensure a successful implementation, Reilly and her team,
consisting of members from the IT, Conference Production and
Administration departments collaborated closely with the Client
Services team at Mylo to architect a solution for the HAH Conferences.
Together, Mylo and HAH first put in place a prototype of their desired
conference registration process with an “Out-of-the-box”
implementation. Once that was completed the HAH Team reviewed it
and a number of small customizations were made in order to
accommodate their unique requirements for financial reporting and
conference agenda delivery to attendees.
“Our Conference registration requirements are fairly complex and their
system supported most of what we needed without any changes, but
some customization was needed, which required extensive review and
approvals to make sure we got it just right,” said Reilly. “Mylo’s
willingness, and their responsiveness, to work with us to create our
unique solution was the key to our success with the Mylo system.
Though the platform was implemented fairly quickly, we have
continued to make changes along the way. At times, it took longer than
we expected to solve the issues but Mylo did what they promised and
we got everything working.” added Reilly.
RESULTS
MyloTEAM implementation has resulted in HAH realizing a drastic
increase in efficiencies in their in-house processes. According to Reilly,
HAH is now saving considerable time to setup and launch the
registration pages for the Conferences - down from 3+ months to
weeks! The platform has eliminated most of the manual processes
and reduced the amount of administrative overhead, which in turn has
allowed the Conference production team to focus more on the more
critical tasks and on the ground logistics.
