Solution

Spain-based Insyte Instalaciones installs and maintains mobile antennae for clients such as Telefonica,
Orange, and Vodafone. The company’s 1,000 engineers record details of each of their assignments
manually, returning their paper forms to head office where staff enter each job’s details into the
company’s SAP system. Insyte wanted to introduce a solution to save time, reduce errors, and improve
reporting, so it approached Consultia IT to implement a mobile smartphone solution based on Windows
Mobile® version 5.0, Microsoft® SQL Server™ 2000 Windows® CE Edition, and the Microsoft .NET
Compact Framework version 2.0. The solution has saved time and cut travel costs, while delivering
greater visiblity of activities across the business. Engineers are happier working with the time-saving
technology and can now concentrate on their core business rather than administration.
Situation
Large companies with networks of field workers must ensure that their mobile teams can communicate
effectively with head office. Without the right IT infrastructure, business-critical activities can be slow
and disjointed.
Spanish-based electrical and telecommunications installations company Insyte Instalaciones found that
its existing technology was limiting effective communication across the business. The company’s
extensive network of field engineers perform mobile antennae installation and maintenance work for
operators including Telefonica, Orange, Vodafone, and original equipment manufacturers (OEMs) such
as Ercisson, Siemens, and Nokia.
With more than 1,000 technical field workers working around the country at any given time, Insyte
wanted to improve operations and gain a clearer view of its engineers’ day-to-day activites.
Ruben Sanchez, Controls Manager, Insyte Instalaciones, says: “We wanted to reduce our paper-based
processes and cut our employees’ adminstrative workload. Engineers working in the field were reporting
back to head office using paper forms that logged information such as hours worked, distance travelled
and activities carried out on site.
“Administrators in head office then had to enter that information into our SAP system manually. I’d
estimate that personnel were wasting around nine hours a month collectively on paper-based
processes.”
The company realised that it needed to integrate its field worker processes with its central SAP system
so that staff across the company could gain access to up-to-date information in real time.
2. Solution
After evaluating a number of solutions on the market, Insyte approached systems integrator Consultia IT
to help mobilise its SAP system. Sanchez says: “We decided that the best way to improve company-wide
communications was to introduce a Web portal as well as providing our field engineers with Windows
Mobile®–based smartphones.”
Consultia based the smartphone solution on Windows Mobile® version 5.0, Microsoft® SQL Server™
2000 Windows® CE Edition and the Microsoft .NET Compact Framework version 2.0. As a result of the
implementation, employees have access to a single view of data through the Web portal, while
engineers can view information related to their assignments in the SAP system.
Insyte engineers record information, such as the hours they’ve worked and the equipment they’ve used,
directly into a smartphone. They can also receive information about the site— including geographical
details or specific client requirements—while on the move.
Sanchez says: “Now, our engineers simply complete their reports and send information electronically.
They don’t need to return to the office to hand over paper reports—they can stay in the field and focus
on their jobs, not adminstration.“
The company’s field workers can also work offline without a central connection. Sanchez says:
“Engineers don’t always have guaranteed connections to the Internet because they are often the ones
putting up the antennae. The new solution helps them to synchronise their devices with the central
system when they are ready.”
Another key feature of the solution is security. Insyte can set user permissions centrally according to
roles. Sanchez says: “In addition, users from one office can’t see information from other offices—they
only have access to information that they need.”

cost-effective solution, employees at head office who were previously occupied with timely data-entry
work, can get involved in higher-value tasks. In addition, the company’s financial controllers have a
clearer view of hours worked and activities completed.
Mobile Solution Delivers Improved Visibility Across the Business
The new portal and smartphone solutions ensure that Insyte employees have access to up-to-date,
business-critical information. Sanchez says: “The finanical controllers, in particular, have a clearer view
of what’s happening across the business in real time.
“Before, they had to wait for adminstrators to complete their paperwork before they could process the
hours spent on each job. Controllers were spending as many as 20 days a month waiting for information,
3. while analysis of our business performance was always delayed. Now that we have quick and easy
access to a single view of up-to-date information through the Web portal, we can respond to employee
and customer demand faster and more effectively.”
Improved Efficiency Saves Time and Boosts Accuracy
By mobilising its workforce with smartphone technology, Insyte has almost completely eliminated its
paper-based process. As a result, engineers can spend more time meeting customer requirements
rather than dealing with timely internal adminstration. In addition, the company has improved the
accuracy of its data-capture process. Employees at head office no longer need to enter engineer data
into the SAP system manually.
Sanchez says: “We used to rely on personnel at head office to type in the data that engineers had
captured in the field. As well as being time and resource-intensive, this process was often prone to
human error. Now that engineers can update the SAP system remotely, a whole process has been
removed. The prescribed forms ensure that the right information is collected time after time. ”
Easy-to-Use Technology Boosts Field-Worker Morale
Insyte engineers must be able to receive and record a wide range of information. In the past, they were
constantly on the phone with head office or writing notes on everything from the materials they were
using to the unique qualities of the site. They needed an automated solution that would simplify their
roles and help them get on with the core engineering work.
Sanchez says: “The new mobile solution has completely transformed the way our engineers work. As
well as saving them time recording information onsite, they’ve halved the amount of travel they need to
do because they’re no longer travelling back and forth to head office to hand over their paper
documentation. In addition, because everyone was so familiar with the Microsoft interface, it took
employees no time at all to start using the new technology.”
Microsoft Technology Ensures Ease of Integration
Because Microsoft technologies integrated seamlessly with the company’s existing SAP system, Insyte
was able to mobilise the solution quickly and easily. Sanchez says: “In Spain, companies tend to spend a
lot of money on enterprise resource planning (ERP), particularly SAP. But, for us, the logic for managing
ERP processes was already there. We’ve just used Microsoft technologies to execute the same processes
without changing the logic of the ERP system. The only thing we’ve done is given visibility to this process
and extend it to new users.”
Due to the .NET Compact Framework, the Insyte solution can also be adapted to meet its future
requirements. Sanchez says: “The OEMs always come out with new models of phone. Because we used
the Compact Framework, the application is independent of the underlying operating system. As a result,
if there is a new version of Windows Mobile or a new phone is introduced to the market, the application
will keep working.”
