Editor's Notes

  • #4 This proposal discusses implementing electronic billing. The proposal includes the benefits, possible problems and solutions, and the planning process of this idea. Our current billing system is a combination of electronic bill generation and sending bills as paper documents.Electronic billing can be extremely time and money saving for any company (Schmandt, P., & Engel-Flechsig, S., 2013).Implementing an electronic billing system will create a more efficient system and possibly expand our client base. Bills are able to be automatically generated and submitted to clients. With most systems, customers are also able to view online invoices to ensure payments were made and the payment amount (Keifer, S., 2011).
  • #5 There is no doubt that e-billing will bring changes to our business and the way it is ran. Most employees will embrace this change.Implementing electronic billing will bring changes that will help us grow and expand in many ways.We currently spend 15 hours a week, or 60 hours a month on editing, producing, and mailing invoices. E-billing could reduce this to as little as 5 hours a week or 20 hours a month.Linda would have an extra 40 hours a month to spend on customer service and relations.
  • #6 Electronic billing offers many benefits. The benefits of this system are further explained throughout the proposal.
  • #7 There was not a lot of information to be found on the specific history of electronic billing. In 1998, LEDES (Legal Electronic Data Exchange Standard) was created to set a standard for electronic billing throughout law firms (Maleske, M., June 1, 2010).In 2007, these same companies began using electronic billing systems.Prior to this, all billing was done through paper invoices.
  • #8 All of our current data and formats can be transferred into our new systems. The only planning on our part would be figuring out which system we prefer to use.Someone will need to be trained in making edits to client data when necessary. Linda is used to working with billing systems, so this would be a quick and easy transition and learning process for her.The technical support issues are dependant on the product we choose. Some companies may have a technical support hotline or website, while other companies may provide training in trouble shooting.
  • #9 Implementing electronic signatures and signature authentication was the main issue that I found during my research (Schmandt, P., & Engel-Flechsig, S., 2013). Since, a solution has been created for these issues in e-billing.There are currently several types of e-signatures used, including PINs, captured signatures, and buttons (AHIMA, 2009).SignHere captures electronic signatures for use in electronic billing (RJS Software, 2013).
  • #10 Some clients may not be as computer savvy and may prefer paper invoices.E-billing allows us to be versatile in our work and how we present bills to our clients. With e-billing, we are able to print and mail invoices as well as deliver them electronically.
  • #11 Electronic billing systems allow us to do more work in less time. Invoices will be generated and sent much quicker. Our clients will be able to view and pay invoices electronically. This ensures more accurate and quicker bill pay.Our company’s record keeping will be much more accurate and organized. All bills, invoices, and payments will be electronically stored for easy access.
  • #12 We will be able to save 480 hours and $12,000.00 each year with a new e-billing system. Our invoices will be a lot more accurate due to a reduction in human error. This system and the data has sho
