Enrollment Service Center Coordinator
Job Description & Specifications
Job Summary: The Enrollment Service Center Coordinator will serve students in both the call center and walk-in
center, will counsel students regarding eligibility for federal, state and institutional aid programs, assist students with
payments or/and questions in reference to their account, and register students for courses.
Duties and Responsibilities:
Financial Aid
• Assess student’s current financial aid status, analyze to determine any potential problems, and coordinate with
processing department, if necessary, to implement solution.
• Learn and implement regulation requirements of Department of Education and convey this information to
students as needed. Continuously train to maintain the most up-to-date information.
• Assess the financial needs of students and/or family and provide all the potential resources for financial assistance
so student and/or parents can make informed decisions when paying for college.
• Assist all Columbia College students, locally and nationwide, with any concerns or questions they have about
financial aid.
• Assist all Extended Studies campus staff with any questions/concerns about financial aid.
• Assist students who have questions about completing the FAFSA. Help students complete the FAFSA.
• Research and explain to students how Pell eligibility can change from year to year to include a decrease in
amounts.
• Explain requirements for satisfactory academic progress to include probation and suspension of Federal Financial
Aid.
Accounting
• Balance cash drawer daily.
• Analyze disputed billing statements and determine if there are any errors in charges.
• Explain our withdrawal policy and the Department of Education Return of Title IV funds policy and the student’s
financial responsibility in these situations.
• Set up payment plan if needed. Must be able to calculate amounts owed to college and be able to determine what
amount is owed after scholarships, Pell Grant, and Loans (minus processing fee for lenders.)
• Primary face-to-face contact for any questions concerning returned checks and collections. Responsible for
explaining Columbia College’s policy for returned checks and amounts owed.
Registration and Additional Duties
• Assist student in registration process to include determining aid, taking payments, registering students and
providing book vouchers for day and evening students.
• Maintain confidential information and handle sensitive information in a discrete manner.
• Present complex information in an understandable manner.
• Relate negative information in a positive and professional way.
