The Transition Guide

Principles of Transition:

The implementation phase of the transition plan brings together both team, as such it implies some new team
dynamics, behaviour. That is why it is important that both teams define and agree some fundamentals that will guide
the behaviour of individuals in the way they interact with the rest. Some of these fundamentals:


1.   One team for two terms
2.   Trust and honesty and transparency
3.   Open Communication
4.   Active learning: Participation, questioning and proactivity
5.   Respect of Cultural and social background
6.   Tolerance and Patience

The Outgoing LCP is the over all in charge of transition.


Standards:

It is also important while designing and implementing a transition plan to consider some critical and fundamental
rules and procedures in order to ensure the efficiency and effectiveness of the process. Some of those standards may
be:

1.   Do prepare the transition in an ongoing basis throughout the year
2.   Transition is planning and strategy oriented
3.   Transition plan covers: transfer on information- Input for planning- Personal development
4.   Do prepare proper documentation and give the elect enough time to go through during the process
5.   A short updating report on every areas with the next steps
6.   Balance team time and social time

Process in a snap shot:
The following process should be followed for transition.


Step 1: Joint to Joint Part 1

At the first Joint to Joint the following should be covered:

1.   Principles of transition
2.   Standards of transition
3.   Transition timelines
4.   Transition Agenda
5.   Toasting to the new team over beer/other liquid. This is important for team building amongst the transition
     team i.e. the old and new EB.


The agendas are attached. The timelines are given pre Natcong and post Natcong. However the outgoing LCP must
decide exact dates and times for each meeting (specially the J to J) and announce.

Whether or not the same was followed will be put in the discharge report of the outgoing EB. The outgoing EB
need not be discharged without effective transition in each area. The discharge report format will be given to LC’s
later.




Step 2: Joint to Joint Part 2

The outgoing EB must carry notes for training on each of the above. They must have a short meeting to discuss this
meeting beforehand.

The following points should be covered.

1.    Provide an Understanding of How the LC operates
2.    Culture of the LC and how to maintain it.
3.    Current Reality of each subsystem.
4.    History
5.    National Direction: For each programme explain the strategies document given to the entire new EB.
6.    International direction: Explain major international developments over the last year clearly.
7.    Discuss People Management in detail.
8.    Discuss EB positioning and respect.
9.    Discuss the role of an EB member( go over the R & R sheets given)
10.   Give Team management Skills
11.   Please read through the document on Linking Global, national and local and ensure the same is done through the
      process of transition as the end result.

The end of this must prepare them for being the EB next year.


Step 3: One on one meetings

The agenda for one on one meeting is in a separate document.


Step 4: Joint to Joint Part 3

1. Discuss some decisions that may directly affect both terms.
2. Take the planning structure and discuss overall suggestions for each area. This must be documented and given to
   the entire new EB. The detailed suggestions need to be given at the end of one on one meeting.
3. Here the new EB will present their plans to the old EB for their feedback.
