Project Life Cycle
A happy customer is a returning customer, especially in the project management field.
The aim of this paper is to clearly show how I would manage a project from start to finish and
what is required at each stage. It is of the utmost importance for the success of a construction
project that continuously monitoring any issues that might arise be dealt with appropriately and
immediately for the culmination of the project close out process. In the sale of a twenty-year-old
home, there are always going to be projects that need updating. Determining that Bailiff Builders
will be involved in the project as the main contractor was necessary to the mission. The mission
in this project life cycle is to make all necessary repairs and updates, clean, market, and render
the house move-in ready for the next potential homeowner. I will take you through the project
proposal, showing the requirements, any risks, work breakdown structure of each task,
addressing any circumstances that might require change, and closing out of a project.
Project Proposal
This project focuses on the steps needed to make all necessary repairs. The stages of a
project life cycle when remodeling a home assist each team member know where they are in the
completion of their duties. During the first stage, the initiation phase is where the project is
defined, goals are determined, scope of the project, and what roles are needed on the team
(Corsera, 2022). Throughout the planning phase, an established budget can be found, along with
the timelines of the project, and the milestones. This step also involves calculating and predicting
risks. Next is the executing phase, which puts the plan into action and helps keep the team on
track by tracking and measuring progress, mitigating risk, and managing the budget. The last
stage is the closing phase, where we turn over the deliverables back to the homeowner, with the
finished project being complete. We will then celebrate our hard work and evaluate what worked
Project Life Cycle 3
and what did not. After identifying the objectives, the stakeholders recognized first were the
homeowner, along with the project team, Bailiff Builders and its subcontractors, suppliers, local
government, and the new purchasing homeowners as well. This will help the team understand
who will benefit from the project’s success, and lead into the resource requirements. Those fall
under labor costs, building/remodeling costs, permits, design fees, and materials. Lastly, team
organization is critical and requires a common “team mindset,” so that everyone understands the
timeline that must be operated in, and what falls within the budget. While the project proposal
touched on certain aspects, an in-depth overview of key points must be understood.
Project Requirements
In the planning process, there are three fundamental pieces of the project plan to help
drive the team, they are the project requirements, risks, and cost breakdown. These particular
elements are required to be followed, in order to have a successful project. The requirements to
the specific project include, getting approval from the client for the project and project design,
assembling my team, developing the project plan, and project design, as well as, having team
meetings, creating a timeline and budget, before the execution phase can start. Once the
execution phase is complete, we then move on to the closing of the project.

Project Life Cycle 4
Risks
The second aspect to project success is the ability to analyze risks that could pose a threat
to, not only the entire project itself, but also the team, project manager, and every stakeholder
involved. Within the risk assessment matrix, ranging from low risk/low impact, medium
risk/medium impact, and high risk/high impact, and any combination of the three can affect the
finish of the entire project. As you can see from this list, the risk with the highest potential of
occurrence and has the highest level of impact, is supply chain delivery issues.
The third and final aspect the team developed in this process was a comprehensive cost
breakdown sheet. The chart below was created for the project to provide a breakdown of the
resources required and the financial cost of each. There still may be unforeseen problems arise,
this table shows the bare minimum for what the project requires.
Risk Assessment Matrix
Risk Risk Summary
Potential of Risk Occuring
(High/Medium/Low)
Level of Impact to the Project
(High/Medium/Low) How Risk Can be Mitigated
Design Change/Error
During the Home remodel, the
Homeowners made changes to the
design causing the successful
completion to be delayed. 3 3 to 5
Design Change-Review the increase in
budget and timeline with
homeowners.
Mediocre Work
The work that has been completed is
not up to standards they need to be at. 1 5
Continuosly monitor throughout the
project.
Severe Weather
Severe weather/thunderstorms with
the possibility of hail, damaging winds
and tornadic activity. 1 3
Watch for any severe weather alerts
and make adjustments as necessary.
Supply Chain Delivery Issues
Everything that is going on in the world
today, has caused serious supply chain
issues because of the price of gas. 5 5
Follow up weekly with suppliers to
ensure deliveries are on schedule.
Delay with Permits
Due to the Covid Pandemic, lower
number of County employees are
working. 1 5
Review the local county policies on
procedures to file permits.
Inspection Issues
Not enough Inspectors in their field,
which causes supply and demand. 1 5
Conduct pre-inspections of the house
throughout the process and just prior
to final inspection.
Delay with Contractors
Delays in scheduling the contractors to
complete the work necessary. 1 5
Hire reputable contractors, provide
clearly written contracts and
contiuously follow up with meetings
to make sure timelines are being met.
Changes in Economy
An economic impact has increased
prices and rates have affected the
budget. 3 5
Continuously monitor changes in
market/inflation and adjust budget as
necessary.
Safery Incidents
Circumstances with nail guns have
caused safety concerns. 3 3
Maintain a healthy safety protocol
and standard operating procedures.

Project Life Cycle 6
Change Management
Circumstances that could have an impact on the current project at hand are supply chain
issues that can affect the timeline, so there are change management best practices to learn.
Anytime a project changes, that creates a risk that must be mitigated. Any changes in the project
scope, timeline, and budget must be requested, reviewed, approved, reported, and communicated
in an excel spreadsheet log that shows the day-to-day activities and any inconsistencies. Next an
email with all those details needs to be sent to everyone on the team, if it is approved, great, the
project continues. But, if even one person does not like what is about to change, a team meeting
must be facilitated so that everyone can communicate their concerns and discuss how to proceed.
Project Closure
Every project has a beginning and an end, from the planning phase to the project closing,
and should be met with a project review by the Project Leader and stakeholders. “The final act of
closing a project is an after-action review (AAR), completed when the project has effectively
closed down” (Cobb, 2012). Pay attention to the administrative side of the project, reports need
to be produced, presentations given, payroll and budgets finalized, signatures acquired, and
highest on the list is to meet with the clients personally to ensure they are satisfied with the
deliverables of the project. A checklist of acceptance criteria should be determined against the
deliverables, to include how it is measure, achieved, and shown to the stakeholders in an effort to
prove the work from the project was not only complete but that we met all expectations. Review
how well your team performed to assist leaders in the future, as well as a review of the
stakeholder’s relationship, where things went well and where they did not.
Criteria to be Met
Project Life Cycle 7
For the customer to agree the project has been successfully completed, there is criteria
that must be met. For construction project success, the following is a list of the necessary criteria:
1. Time
2. Cost
3. Quality
4. Safety
5. Client Satisfaction
6. Employee Satisfaction
7. Cash-flow Management
8. Profitability
9. Environment Performance
10. Learning and Development
“The degree and level of detail to which the project scope statement defines the work that will be
performed and the work that is excluded to determine how well the project management team
can control the overall scope” (Project Management Institute, 2017).
Lessons Learned
There is a lot to be considered as lessons learned in this project, but questioning what we
should have, could have, or would have done better can be tough. My skeleton team worked very
well together. What was done well? The end result for this team was the team came together, the
client was happy with all the requirements done, was able to put their home on the market, and
got an offer of $10,000 dollars over the asking price. What could have been done better? Because
the HVAC unit had to be replaced due to a drain pan overflow, adding some fans for the
contractors would have helped to deal with the heat.
Project Life Cycle 8
Project Team Roll-off/Communication to Stakeholders
After the project was accepted, all team members returned to their normal daily duties.
Part of the team immediately moved on to another project. The project manager contacts all other
managers to inform them of the finalization of the project. This should be done by email, and
with that email, a performance evaluation stating if they want to collaborate with them in the
future should be attached to that email. Throughout the project the project manager should be
updating the stakeholders with any and all updates, however, at the conclusion, a formal report
needs to be presented detailing the timeline, events, and the final outcome of the project.
Conclusion
The closing of a project is just as significant as the initiation and planning. The team
worked extremely hard to complete this process with a purpose. We were able to meet our goals
and come in under budget.

CPMGT_300 Week_5__Project Life Cycle Paper.docx

  • 2. Project Life Cycle 2 Project Life Cycle A happy customer is a returning customer, especially in the project management field. The aim of this paper is to clearly show how I would manage a project from start to finish and what is required at each stage. It is of the utmost importance for the success of a construction project that continuously monitoring any issues that might arise be dealt with appropriately and immediately for the culmination of the project close out process. In the sale of a twenty-year-old home, there are always going to be projects that need updating. Determining that Bailiff Builders will be involved in the project as the main contractor was necessary to the mission. The mission in this project life cycle is to make all necessary repairs and updates, clean, market, and render the house move-in ready for the next potential homeowner. I will take you through the project proposal, showing the requirements, any risks, work breakdown structure of each task, addressing any circumstances that might require change, and closing out of a project. Project Proposal This project focuses on the steps needed to make all necessary repairs. The stages of a project life cycle when remodeling a home assist each team member know where they are in the completion of their duties. During the first stage, the initiation phase is where the project is defined, goals are determined, scope of the project, and what roles are needed on the team (Corsera, 2022). Throughout the planning phase, an established budget can be found, along with the timelines of the project, and the milestones. This step also involves calculating and predicting risks. Next is the executing phase, which puts the plan into action and helps keep the team on track by tracking and measuring progress, mitigating risk, and managing the budget. The last stage is the closing phase, where we turn over the deliverables back to the homeowner, with the finished project being complete. We will then celebrate our hard work and evaluate what worked
  • 3. Project Life Cycle 3 and what did not. After identifying the objectives, the stakeholders recognized first were the homeowner, along with the project team, Bailiff Builders and its subcontractors, suppliers, local government, and the new purchasing homeowners as well. This will help the team understand who will benefit from the project’s success, and lead into the resource requirements. Those fall under labor costs, building/remodeling costs, permits, design fees, and materials. Lastly, team organization is critical and requires a common “team mindset,” so that everyone understands the timeline that must be operated in, and what falls within the budget. While the project proposal touched on certain aspects, an in-depth overview of key points must be understood. Project Requirements In the planning process, there are three fundamental pieces of the project plan to help drive the team, they are the project requirements, risks, and cost breakdown. These particular elements are required to be followed, in order to have a successful project. The requirements to the specific project include, getting approval from the client for the project and project design, assembling my team, developing the project plan, and project design, as well as, having team meetings, creating a timeline and budget, before the execution phase can start. Once the execution phase is complete, we then move on to the closing of the project. REQUIREMENTS MATRIX # REQUIREMENT PHASES OF THE PROJECT RESPONSIBLE PARTY COST TO COMPLETE DURATION TO COMPLETE 1 Client Approval for Project Planning Client/Stakeholder $500 1 Week 2 Assemble Project Team Initiation Project Manager $1,500 2 Weeks 3 Develop Project Plan/File Permits Planning Project Manager $650 5 Days 4 Construction of Project Design Planning/Initiation Project Manager/Gen Contractor $2,500 1 Month 5 Develop Budget Initiation Project Manager $150,000 2 Weeks 6 Client Approval for Design Planning/Initiation Client/Project Manager/Stakeholder $500 1 Day 7 Team Meeting Execution Project Manager/Project Team $1,400 1 Day 8 Create Timeline Planning Project Manager $400 1 Week 9 Order Materials/Supplies Initiation Gen Contractor $10,150 Throughout the Project 10 Remove Damaged Wall/Trash Execution Vendor/Contractors $1,250 Throughout the Project 11 Electrical/Plumbing/HVAC Replace Execution Gen Contractor $6,800 Throughout the Project 12 Inspection Closing Project Performance and Control $200 1 Day 13 Drywall & Paint Execution Gen Contractor $1,400 Throughout the Project 14 Replace Flooring Execution Gen Contractor $2,800 3 Days 15 Final Inspection/Funding Closing Project Performance and Control $200 1 Day 16 Close Project Closing Project Manager/Performance and Control $100 1 Week PROJECT TOTAL COST $180,350
  • 4. Project Life Cycle 4 Risks The second aspect to project success is the ability to analyze risks that could pose a threat to, not only the entire project itself, but also the team, project manager, and every stakeholder involved. Within the risk assessment matrix, ranging from low risk/low impact, medium risk/medium impact, and high risk/high impact, and any combination of the three can affect the finish of the entire project. As you can see from this list, the risk with the highest potential of occurrence and has the highest level of impact, is supply chain delivery issues. The third and final aspect the team developed in this process was a comprehensive cost breakdown sheet. The chart below was created for the project to provide a breakdown of the resources required and the financial cost of each. There still may be unforeseen problems arise, this table shows the bare minimum for what the project requires. Risk Assessment Matrix Risk Risk Summary Potential of Risk Occuring (High/Medium/Low) Level of Impact to the Project (High/Medium/Low) How Risk Can be Mitigated Design Change/Error During the Home remodel, the Homeowners made changes to the design causing the successful completion to be delayed. 3 3 to 5 Design Change-Review the increase in budget and timeline with homeowners. Mediocre Work The work that has been completed is not up to standards they need to be at. 1 5 Continuosly monitor throughout the project. Severe Weather Severe weather/thunderstorms with the possibility of hail, damaging winds and tornadic activity. 1 3 Watch for any severe weather alerts and make adjustments as necessary. Supply Chain Delivery Issues Everything that is going on in the world today, has caused serious supply chain issues because of the price of gas. 5 5 Follow up weekly with suppliers to ensure deliveries are on schedule. Delay with Permits Due to the Covid Pandemic, lower number of County employees are working. 1 5 Review the local county policies on procedures to file permits. Inspection Issues Not enough Inspectors in their field, which causes supply and demand. 1 5 Conduct pre-inspections of the house throughout the process and just prior to final inspection. Delay with Contractors Delays in scheduling the contractors to complete the work necessary. 1 5 Hire reputable contractors, provide clearly written contracts and contiuously follow up with meetings to make sure timelines are being met. Changes in Economy An economic impact has increased prices and rates have affected the budget. 3 5 Continuously monitor changes in market/inflation and adjust budget as necessary. Safery Incidents Circumstances with nail guns have caused safety concerns. 3 3 Maintain a healthy safety protocol and standard operating procedures. Risk Matrix Probability Impact 1 3 5 1 LOW LOW MEDIUM 3 LOW MEDIUM HIGH 5 LOW HIGH HIGH

  • 6. Project Life Cycle 6 Change Management Circumstances that could have an impact on the current project at hand are supply chain issues that can affect the timeline, so there are change management best practices to learn. Anytime a project changes, that creates a risk that must be mitigated. Any changes in the project scope, timeline, and budget must be requested, reviewed, approved, reported, and communicated in an excel spreadsheet log that shows the day-to-day activities and any inconsistencies. Next an email with all those details needs to be sent to everyone on the team, if it is approved, great, the project continues. But, if even one person does not like what is about to change, a team meeting must be facilitated so that everyone can communicate their concerns and discuss how to proceed. Project Closure Every project has a beginning and an end, from the planning phase to the project closing, and should be met with a project review by the Project Leader and stakeholders. “The final act of closing a project is an after-action review (AAR), completed when the project has effectively closed down” (Cobb, 2012). Pay attention to the administrative side of the project, reports need to be produced, presentations given, payroll and budgets finalized, signatures acquired, and highest on the list is to meet with the clients personally to ensure they are satisfied with the deliverables of the project. A checklist of acceptance criteria should be determined against the deliverables, to include how it is measure, achieved, and shown to the stakeholders in an effort to prove the work from the project was not only complete but that we met all expectations. Review how well your team performed to assist leaders in the future, as well as a review of the stakeholder’s relationship, where things went well and where they did not. Criteria to be Met
  • 7. Project Life Cycle 7 For the customer to agree the project has been successfully completed, there is criteria that must be met. For construction project success, the following is a list of the necessary criteria: 1. Time 2. Cost 3. Quality 4. Safety 5. Client Satisfaction 6. Employee Satisfaction 7. Cash-flow Management 8. Profitability 9. Environment Performance 10. Learning and Development “The degree and level of detail to which the project scope statement defines the work that will be performed and the work that is excluded to determine how well the project management team can control the overall scope” (Project Management Institute, 2017). Lessons Learned There is a lot to be considered as lessons learned in this project, but questioning what we should have, could have, or would have done better can be tough. My skeleton team worked very well together. What was done well? The end result for this team was the team came together, the client was happy with all the requirements done, was able to put their home on the market, and got an offer of $10,000 dollars over the asking price. What could have been done better? Because the HVAC unit had to be replaced due to a drain pan overflow, adding some fans for the contractors would have helped to deal with the heat.
  • 8. Project Life Cycle 8 Project Team Roll-off/Communication to Stakeholders After the project was accepted, all team members returned to their normal daily duties. Part of the team immediately moved on to another project. The project manager contacts all other managers to inform them of the finalization of the project. This should be done by email, and with that email, a performance evaluation stating if they want to collaborate with them in the future should be attached to that email. Throughout the project the project manager should be updating the stakeholders with any and all updates, however, at the conclusion, a formal report needs to be presented detailing the timeline, events, and the final outcome of the project. Conclusion The closing of a project is just as significant as the initiation and planning. The team worked extremely hard to complete this process with a purpose. We were able to meet our goals and come in under budget.
